About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

• Abilities to work independently with initiative.

Healthwatch Kensington & Chelsea

Healthwatch was set up in 2013 to champion the rights of health and social care users, and hold the health and social care system to account for how well it engages with the public. Its remit covers all publicly funded health and social care services for adults and children.

About the role

The role is to lead the work of Healthwatch Kensington & Chelsea, working with a small skilled staff team and a range of volunteers and other community stakeholders. In particular, you will share our commitment to embed user engagement and community development at the heart of the Healthwatch service model, empowering user voices and improving access to health services. 

You’ll have an opportunity to develop the service in line with our ambitious vision. This will include leading on the planning and delivery of targeted projects, supporting a diverse and varied engagement programme, and building relationships with a range of strategic partners. The Healthwatch Manager (Kensington & Chelsea) also takes the lead on managing our local Advisory Board.  You will work closely with the Healthwatch teams in Westminster and Brent. 

Key responsibilities

 Ensure Healthwatch Kensington & Chelsea’s work conforms to all required principles, objectives and statutory obligations, and meets all contractual requirements between The Advocacy Project and Brent Council. 

 Manage and motivate a small staff team to deliver an effective and vibrant local Healthwatch.

 Provide leadership to make sure the patient and public voice is heard across health, social care, children’s and other sectors in a continuously changing external environment. 

 Support the effective working of the Healthwatch Kensington & Chelsea Advisory Board.

• To provide pre tenancy guidance and ongoing support to customers on all tenancy matters, including assistance to furnish and move into properties.

• To provide basic Welfare Benefits advice, assisting customers in claiming all benefit entitlements and assisting with accessing specialist support. 
• To work with customers to identify the skills required to manage their own tenancy, including assistance to deal with difficult situations.

Who we are

The problem - On average, 160 young people are excluded from school each week. Once excluded, prospects for these young people are bleak, with only 4% achieving good GCSE grades, and 67% entering sustained education, employment or training compared to 96% of their non-excluded peers. This can be a pipeline to prison, with concerning statistics showing 63% of prisoners having been excluded from school.

Our mission - To ensure that young people who have been excluded from school are not excluded from society.

Who we serve - We support the hardest to reach young people in the most disadvantaged communities, each of whom are most at risk of experiencing school exclusion or are at risk of being excluded. Young people who are eligible for free school meals are 4x more likely to get excluded, along with black Caribbean boys. Young people with special educational needs are also six times as likely to be excluded as their peers.

Our work - We work in a number of different settings both during term time and after school. Our coaches lead small groups of 8-10 young people, using sport as a hook and mentorship as an anchor to develop their soft skills, as well as improve their physical & mental wellbeing. This, coupled with exposure to the work place through Career Taster Days, raises their aspirations and puts young people in a better position to enter sustained education, employment or training (EET) when they leave school.

We are looking for someone to carry out maternity cover for our Programme Manager (Midlands & North). The Programme Manager role purpose is to lead on all aspects of service delivery within the Midlands & North area, which currently covers the following hubs: Birmingham, Solihull, Leicester, Northumberland, Tyne & Wear, County Durham, Liverpool, Warrington & Oldham. You will directly line manage at least 3 people but be responsible for a wider team of circa 15 people.

As a manager you will play a key part in the leadership of the organisation and driving the implementation of strategic plans on the ground.

It is important to us that this role remains embedded within the delivery of our interventions, therefore the post holder will be required to spend up to 25% delivering our programmes or working alongside staff for quality assurance.

Working hours are from 2pm to 10pm, Monday/Tuesday/Wednesday/Friday/Saturday. There will be an opportunity to work from home one day per week, on either a Tuesday/Wednesday/Friday if that was a preference, use of own equipment would be required, although you can also work from the office on all days.

The responsibilities primarily revolve around activities across the university's London campus, encompassing weekly meetings, check-ins/checkouts. The post holder will share rotational on-call duties during working hours, promptly addressing urgent issues with the support of senior team members. Core tasks include managing check-ins, room preparations, assisting students with roommate issues and room changes, addressing student complaints, updating access systems, managing room keys and guest passes, overseeing stock levels, and handling inquiries both in-person and via email.

To qualify for this role, candidates must possess exceptional organisational and administrative skills, along with a track record of delivering top-notch customer service. A comprehensive understanding of London, coupled with adept problem-solving abilities and experience in managing challenging customer conversations, is essential. Additionally, candidates should demonstrate empathy towards the challenges faced by young adults in university settings, especially those from abroad, and exhibit a passion for providing accurate information and caring support during vulnerable moments. Strong interpersonal and written communication skills, along with proficiency in Microsoft Office, are prerequisites.

Income Supervisor

Do you have accounting experience and the ability to support and supervise a small team? Phyllis Tuckwell is looking to appoint an Income Supervisor to lead and coordinate the Income team within our Finance Department.

The main responsibilities are to:

• Supervise a small income team and volunteers.
• Manage, control, analyse and reconcile income onto the financial ledger and the donor database.
• Manage the entry of all direct bank receipts and income from online giving platforms, including set up and monitoring all standing orders and associated bank reconciliation.
• Oversee weekly cash counts for banking via G4S security.
• Act as the main point of contact with the finance department for all retail operations staff and ensure all retail shop income is recorded correctly and reconciles to the retail system.
• Be the main point of contact and information for all income issues, liaising with other departments as required.
• Manage the Gift Aid declaration process including the correct entry on donor database and the scanning process.

The successful candidate will have:

• AAT level 4 / MAAT or be qualified by experience to this level.
• A detailed knowledge of financial accounting and double entry bookkeeping.
• Experience of complex reconciliations of high-volume transactional data.
• Proven experience of implementing & managing strong financial controls.
• Familiarity with accounting in charity sector and gift aid welcomed.
• Experience of operating specialised accounting systems – PT uses Microsoft Business Central.
• Intermediate Excel skills (VLOOKUP, basic pivot, SUMIFS, conditional formatting and similar)
• Excellent communication skills across all levels.
• Strong planning, organisational and flexibility skills.
• Some experience of leading a team (staff & volunteers).
