The purpose of this role is to provide efficient and comprehensive administrative support to the joint directors of development and engagement (D&E), and director of policy and strategy (P&S). This would be an ideal role for a well-organised and enthusiastic candidate who is looking for the next step in their business administration career. Headline overview of responsibilities: 

- Grant identification and pipeline management: Conduct research to identify potential grant funding opportunities. Conduct research and analysis on the reporting and financial requirements of prospective donors. Maintain the funding pipeline/ grant management database

- Grant application oversight: Manage the end-to-end grant application process for new grants.

- Budget and financial management: Collaborate with the project and finance teams to develop project budgets. Monitor spending against grants in relation to activities delivered. Ensure Project Leads receive monthly spend updates. Ensure donor budgets are utilised as directed, financial reporting is on-track, and any alterations are communicated internally and externally. Support Project Leads to re-forecast budgets.

- Grant compliance: Ensure compliance with grant agreements, reporting requirements, and regulatory guidelines. Ensure that the project delivery team is inducted on contractual obligations, and provide support and advice regarding adherence to contracts throughout the grant period. Support on grant management documentation, including quality assuring processes. Support the project delivery teams in the preparation and submission of donor reports, through until grant close-out.

- Grant Performance Management: Ensure that all grant management tools are set up with each grant’s inception period. Coordinate quarterly grant oversight meetings, and hold project delivery teams to account for delivery of projects. Ensure GWEC fulfils its obligations to donors as per grant contracts. Support the finance team to liaise with auditors throughout audits.

- Knowledge sharing: Stay informed about trends and best practices in grant funding and statutory funding. Share technical advice, grant specific guidance and project management best practices and tools. Contribute to GWECs grant-related systems, policies, processes, and guidelines.

- Strategy delivery: Support the Grants Director in the delivery of the fundraising strategy, including assuming responsibility for the delivery of identified tasks within the team’s annual work plan. Engage in regular monitoring of progress against the work plan.

Essentia Person Criteria:

• Right to work in UK or Portugal

• Fluency in written and spoken English

• University Degree (BA or Bsc)

• 3 or more years relevant  experience, in either a non-profit organisation or a grant making organisation

• Be diligently compliance-driven to ensure organisational adherence to grant-maker requirements, and local laws and regulations

• Proven ability to build good working relationships with finance and non-finance staff

Administration and Systems Manager

Location: initially remote working but to be hybrid based in W/NW/SW London.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

Do you have accounting experience and the ability to support and supervise a small team? Phyllis Tuckwell is looking to appoint an Income Supervisor to lead and coordinate the Income team within our Finance Department.

The main responsibilities are to:

• Supervise a small income team and volunteers.
• Manage, control, analyse and reconcile income onto the financial ledger and the donor database.
• Manage the entry of all direct bank receipts and income from online giving platforms, including set up and monitoring all standing orders and associated bank reconciliation.
• Oversee weekly cash counts for banking via G4S security.
• Act as the main point of contact with the finance department for all retail operations staff and ensure all retail shop income is recorded correctly and reconciles to the retail system.
• Be the main point of contact and information for all income issues, liaising with other departments as required.
• Manage the Gift Aid declaration process including the correct entry on donor database and the scanning process.

The successful candidate will have:

• AAT level 4 / MAAT or be qualified by experience to this level.
• A detailed knowledge of financial accounting and double entry bookkeeping.
• Experience of complex reconciliations of high-volume transactional data.
• Proven experience of implementing & managing strong financial controls.
• Familiarity with accounting in charity sector and gift aid welcomed.
• Experience of operating specialised accounting systems – PT uses Microsoft Business Central.

The LSO is seeking a highly motivated and experienced Corporate Partnerships Executive (New Business) to lead on identifying and engaging with a new portfolio of prospective corporate supporters, in liaison with the Senior Corporate Partnerships Manager.

• Lead on initial contact with cold prospects, securing introductory meetings for the LSO, preparing briefings and attending meetings with a colleague from the Development team 
• Identify possible corporate supporters for particular areas of the LSO’s work, including Barbican concerts, international tours, accessible ticket schemes, education and community projects, major fundraising galas, as well as broader initiatives such as improving sustainability and fulfilling the LSO’s DEI plan
• Utilise LSO concerts at the Barbican and other LSO events to attract new prospects, ensuring that all leads are thoroughly progressed
• Work within the Corporate Development team to develop ongoing cultivation plans for the most promising contacts and prepare compelling proposals as needed, and maintain prospect planning within a wider corporate fundraising strategy
• Work with the Senior Corporate Partnerships Manager to develop new opportunities for support, and build a strong prospect pipeline, taking into account current sponsorship and corporate support trends 
• Keep abreast of trends in corporate partnerships in the arts and the broader charity sector to ensure the LSO continues to offer competitive packages 

We are looking for someone with experience in:

• Identifying and connecting with prospective corporate partners, either in the charity or commercial sector (at least two years experience)
• Writing compelling proposals in response to a business need or objectives
• Pitching and securing mutually beneficial partnerships with potential partners
• Achieving income targets

• Organised, self-motivated, target driven and able to work effectively in a fast-paced environment
• Excellent understanding of the corporate sector, and reasons why businesses engage with charities and the arts in particular
• Strong research skills 
• Strong communication skills, including the ability to quickly assimilate large amounts of information and share it in a form tailored to a particular audience 
• High level interpersonal and presentation skills with the ability to engage and interact with individuals at all levels

We are recruiting for a Head of Audit and Improvement job share partner to work up to 26 hours per week alongside our existing Head of Audit and Improvement. We can be flexible on days worked and this can be discussed at interview. This role will be mainly working from home with some occasional travel when required. 

In this role you will:

• Lead quality performance, supporting, advising and proactively identifying risk and areas for improvement in each Operational area including adult social care and educational programmes
• Provide oversight for quality frameworks and methodology ensuring currency according to social care or legislative changes.
• Lead a team to ensure the programme of improvement and quality assurance activities are delivered and performance expectations are met.
• Ensure accurate and meaningful information on aspects of quality performance is collated and analysed, to provide assurance and intelligence to help inform decision-making.
• Be an active and supportive member of the Senior leadership team, advising on issues relating to quality
• Design, implement and embed an audit and improvement programme across operational services
• Deputise on occasion for the Executive Director of Quality and Impact

• has experience of working in a similar role, ideally within Health and Social Care
• is a great communicator and influencer and enjoys working with all stakeholders up to and including exec level
• is knowledgeable of our regulatory environment
• has extensive knowledge of quality frameworks, methodology and tools
