We are looking for a motivated, creative, and organised Engagement and Communications Officer to join our team. This role is a unique opportunity for someone with a passion for building a fairer legal system through impactful events, engaging member outreach, and powerful communications. Working alongside the Director of Development and the Head of Communications, this role will work across teams to maintain and strengthen engagement through events, communications and corporate outreach. You will play an integral role in communicating our work as widely as possible and improving and increasing engagement with our supporters, including our members, donors and corporate partners.

The Engagement and Communications Officer will work to maximise income and support for JUSTICE through events (approximately 45% of the role), communications (approximately 30% of the role) and membership (approximately 25% of the role). They will report to the Director of Development and Head of Communications.

We want someone who can learn and grow in this role so if you don’t have every skill listed but are organised, motivated, and interested in our work then we want to hear from you.

The JUSTICE team currently work in a hybrid manner. Staff members have access to office space in London, however, attendance is currently optional. Our staff enjoy flexible working conditions, 27 days annual leave, plus the week between Christmas and the New Year, 8% employer pension contribution and access to an Employee Assistance Programme.

We are looking for a part time Membership Officer to work 3 days a week, alongside our existing part time Membership Officer. Together, they will lead on administrative support of our membership functions. RSTMH is a charity and membership society for those working or interested in tropical medicine and global health, and currently have almost 1,800 members from more than 90 countries, with a network of more than 10,000 involved with our work in some way. We are looking for an experienced Membership Manager who will help us manage all aspects of our membership programme. This involves maintaining high levels of retention and developing and delivering new recruitment strategies for members across the world.

The role will also focus on developing membership journey programmes to ensure our members receive top quality service from the Society and that all membership processes are undertaken with efficiency, energy and effectiveness.

The Membership Manager will also play a crucial role in ensuring that we are promoting RSTMH, and its membership offer, to our members and supporters. This person would be the first point of contact for our members and so must be professional, a sound communicator and efficient.

The role of the Resident Engagement and Resolution Officer is multi-faceted, not only will you be driving and delivering a growing resident engagement programme you will also handle the administration and complexity surrounding formal complaints.

This is a key role to support the organisation to deliver a service responsive to our resident feedback, as well as meeting governance arrangements and external scrutiny around resident involvement and complaints.

You do not need to have direct experience in these areas, but you must be astutely organised, assertive to chase management members to meet their deadlines and be adaptable.

The transferable skills you have will allow you to work collaboratively with staff across the organisation and with our residents. Your interpersonal skills will allow you to professionally and positively interact with different groups of stakeholders, building relationships where you are trusted and inspire confidence.

You will contribute to ensuring our quality standards are met and our services deliver in meeting our resident’s expectations. To do this you will be able to translate information, policies and legislation demonstrating excellent verbal and written communication skills in your dealings with stakeholders.

• Location: Nottingham Office/Hybrid

• Permanent, 35 hours per week x 52 weeks per year.

This role is part of a small Finance team that supports the work of Headway - the brain injury association. The role is line managed by the Finance Manager and liaises with every team within the organisation.

What you will do

As a Senior Finance Officer, you will be responsible for maintaining all aspects of the purchase and sales ledgers for both the charity and retail company, supporting colleagues, and resolving queries from suppliers and customers. You will monitor the purchase invoice mailbox and online purchase invoice accounts, ensuring that all invoices are downloaded promptly and passed on to relevant colleagues for authorisation.

You will be responsible for recording all purchase and sales invoices on our accounts system, Exchequer and ensuring that all bank transactions are entered on a timely basis. You will also be responsible for preparing and entering key monthly journals, including but not limited to charity and retail income, charity merchandise sales, depreciation, credit card expenditure, pre-paid rent and service charges. The majority of this work will use our Excel linked auto-loaders, but some manual entry will also be required.

You will complete monthly supplier account reconciliations and be responsible for raising any concerns or discrepancies with the Finance Manager.

You will maintain the stock system for the online merchandise shop, updating it with new stock and prices, using the information from the system to create the monthly cost of sales journal.

The Senior Finance Officer will work with the Finance Manager to ensure that all monthly and month-end routines are completed in line with team and organisational deadlines and complete any other finance tasks that may be required.

About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

• Abilities to work independently with initiative.

Desirable Skills

• Understanding of the annual audit process.

• Understanding of the organisation’s annual budgeting process.

• Experience of working in a not-for-profit sector.

• Awareness of charity accounting and restricted funds.

• Submitting Gift Aid Claims.
