Role Summary
This position provides key support for the policy and research functions of the charity, in addition to collaborating on campaigns and public affairs work. You will be responsible for carrying out primary research relevant to the charity’s policy and research functions. You’ll be monitoring and collating new policy and research materials and contributing to public communications including report-writing, blog posts and social media activity. You’ll be providing input into strategic planning regarding policy and research activities. You’ll connect with researchers and policy people from other charities and from universities. Finally, you’ll be attending conferences and meetings on behalf of the charity.
Key Tasks and Responsibilities
Policy

Support the P&RM, DR&PA and CEO in responding to public consultations, advising policymakers and working with national policy and research bodies as appropriate.

Represent the charity in meetings with policy partners where appropriate.

Attend policy and research conferences on behalf of the charity, providing feedback to the team on key learning and opportunities that arise.

Work with the SC&PA and DR&PA to draw up influencing strategies to target key stakeholders on policy priorities.

Research

Work with the P&RM to carry out research activities relevant to the policy and research functions of the charity; including collating and analysing data, and co-authoring reports for both internal and public purposes.

Work with the P&RM and the Communications and Marketing teams to produce engaging and accessible communication of research findings for a range of audiences.

Monitor and collate new policy and research materials, including research reports, policy documents and media activity. Work with the P&RM to produce internal reports where appropriate and to ensure the charity’s activities reflect and respond to the wider policy and research environment.

Work with the P&RM on external research projects funded by the charity, including support with assessing the quality of bids by external researchers.
Across both areas

Produce social media communications where relevant to policy and research. Work with colleagues across the Research and Public Affairs and Communications and Marketing teams to develop strategies for maximising impact, especially in digital communications.

Contribute to strategic planning by contributing to staff meetings, producing supporting materials and providing feedback on public affairs.

The purpose of your role

There will 3 key parts to your role as a HR & Recruitment Coordinator:
- Supporting the recruitment cycle – Who we bring into Police Now's Head Office (PNHQ) is one of the most important decisions we make in terms of driving forward our mission. You will be closely involved with the complete candidate journey, ensuring candidates feel supported throughout the process. This will include supporting with sourcing applicants, liaising with hiring managers, assessing candidates, and greeting candidates during the interview process.
- Onboarding of new starters – Once recruited it's important that our new starters have the best possible start to their time at Police Now. You will be supporting new starters with their onboarding process, including issuing paperwork & conducting the relevant compliance checks.
- Administrative and project support – Our close-knit team works on a range of exciting projects to ensure the wellbeing of our staff at HQ. You will be providing administrative support to deliver a great service, and collaborate on a wide range of projects including Learning & Development, and our Equity, Diversity & Inclusion Strategy.
Key responsibilities
- Manage email queries and staff/candidate communications through the HR and Careers inbox.
- Assist with reviewing job descriptions and posting job adverts on the relevant advertising platforms.
- Update our Application Tracking System (ATS) to accurately reflect each candidate’s journey and provide feedback to candidates, as necessary.
- Support with organising interview timelines, including liaising with candidates and internal staff, scheduling and preparing interview rooms, greeting candidates and conducting Right to Work checks.
- Prepare onboarding documentation for successful candidates including creating and sending onboarding documents and conducting DBS and reference checks.
- Take responsibility for processing invoices and expenses as required by the team.
- Assist with conducting Telephone Interviews with candidates (training and support will be provided).
- Support with wider People Team administration, for example preparing all staff emails, monitoring yearly calendars and communicating key events to our staff.
- Supporting the HR & Recruitment Assistant Manager to prepare monthly management data for the strategic resources committee.
- Assist with office management/health & safety as required.
- Work closely with the wider team to support with projects across various streams of work including PNHQ Attraction Strategy, Learning and Development and Police Now’s Equity, Diversity and Inclusion Strategy.

- Assist in organising event logistics for virtual member working groups on various topics (due diligence, claims, deforestation regulation) including tech support with platforms such as Zoom and MS Teams

Experience, Knowledge and Attribute

- Some understanding of, sustainability standards and certification, which may have been gained in academic, internship, employment or voluntary settings

Organisational Background
The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.
Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.
Cara Objectives ‘To assist academics who have been, or are, or are at risk of being, subject to discrimination, persecution, suffering or violence on account of race, religion, nationality, membership of a particular social group, or political opinion, to relieve needs among them and their dependants and ensure that their specialist knowledge and abilities can continue to be used for the benefit of the public.’

Part-time Fellowship Programme Assistant Role & Responsibilities
· Produce a weekly list of payments.
· Produce financial paperwork.
· Schedule Fellows’ placement disbursements on SalesForce (SF) – those having simple funding allocations and support the schedule of more complex funding requests when needed.
· Update disbursement details once paid on a weekly basis.
· Input payments made via our Pleo card to SF and link allocations.
· Update details for new grant requests (funding request status, disbursement details, and relevant allocations) and ongoing requests when needed.
· Support management of Fellowship-related grants (English, hardship, mentoring, small grants).
· Create payments and allocations for opportunities on SF once an award letter has been issued.
· Track invoice status and notify colleagues to initiate the invoicing process.

Your new role
To provide clerical and administrative support to the staff in a busy and expanding office. To work as one of the team of Support Assistants within the Service, in the provision of an effective, efficient and responsive service.

Main Duties & Responsibilities
- Carry out reception duties and act as 'first point of contact' for visitors to the office.
- Sorting, date stamping, scanning all documents received and distributing post and documents received into the office and verifying delivery of documents, parcels and other goods in accordance with office procedures.
- Provide clerical and administrative support to the field staff, as required.
- Arrange the collection of all samples on a daily basis that need to go to the labs, preparing for collection and liaising with the couriers.

- Input data into internal and external database systems and carry out general internal database maintenance, e.g. modifying tables, queries and reports.
- Maintain and update electronic and paper-based filing and record systems, including the equipment inventory. Assist with the archiving of items, and deal with confidential documents appropriately.
- Under the direction of Official Veterinarians or Officers, record Products of Animal Origin and other imported food consignments on the computerised cargo handling system and port manifesting systems.
- Under the direction of Official Veterinarians or Officers, they undertake the initial documentary check for third country consignments of products of animal origin in accordance with ISO procedures and ensure that documents for charging purposes are sent to the Finance Section on a daily basis.

We are looking to recruit a Head of Member Acquisition and Engagement on a part-time contract. This is an exciting new role that will play a key part in our continued growth and will make a real impact on the teaching profession; we are looking for someone who believes in our mission and the work we do.
Working closely with the Deputy Chief Executive, Associate Director: Partnerships and the Marketing and Communications Manager, the Head of Member Acquisition and Engagement will take a lead on activity related to attracting and retaining our individual teacher members, including developing, rolling out and evaluating recruitment and retention programmes, initiatives and campaigns for current and prospective members. ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group. Key responsibilities:
Chief Executive Officer assistance
- Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
- Arrange meetings and itineraries and coordinate travel as required.
- Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.
Meeting management
- Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
- Provide logistical and administrative support for all meetings, arranging suitable meeting premises or software, preparing and circulating agendas and meeting papers in consultation with the relevant participants (e.g. Chair of the Board, CEO and Senior Leadership Team).
- Coordinate catering requirements and liaise with the finance team to make purchases.
- Take high-quality and accurate meeting minutes and circulate them for appropriate approval and sign-off.
- Ensure prompt follow-up with agreed action points and follow through with ongoing delivery of commitments.
Governance support
- Provide administrative support where applicable to meet the charity’s requirements with
- Companies House and the Charity Commission.
- Support with Trustee recruitment, induction and training.
- Support the charity’s continuous improvement and compliance using tools such as the Governance
- Code.
Senior Leadership Team coordination
- Support with coordinating multi-stakeholder meetings, and liaising with internal and external stakeholders.
- Support members of the Senior Leadership Team or their guests with the use of our core systems and software (Google Workspace, Google Meet, Slack, Mural, Zoom).
- Process any travel expenses for the Senior Leadership Team.
- Manage charity records: provide historical reference by supporting procedures for the retention and disposal of records.
- Welcome guests and provide tours of facilities or support guests to use online meeting software where required.
Other duties
