Partners for a New Economy (P4NE) is an international donor collaborative of philanthropic foundations, hosted by Swiss Philanthropy Foundation, with the vision of our economy redesigned for nature and all people to flourish. Our website gives more detail on our grant-making and field-building activities. Our six funding Partners are based in the UK, Switzerland, Denmark and the United States, and our current staff team, led by Director Jo Swinson, has 5 people (3.3 FTE) all of whom work remotely (currently based in the UK, Denmark and Switzerland).
Responsibilities to include:
- Managing the Director & Programme Officer’s diaries
- Arranging online and in-person meetings and events
- Booking travel and accommodation for the Director and Programme Officer
- Working closely with the Programme Officer and Director to provide administrative support around our grant-making
- Providing support and completing administrative tasks, as required, to contribute to the activities of the P4NE team

We are looking for a Personal Assistant and Office Administrator to provide executive support to the CEO and Board of Trustees, as well as adding administrative capacity to the Support Team.
Our mission is to show Christ's love to people in prison by coming alongside them and supporting them. We run a number of programmes, including Angel Tree, Sycamore Tree, Prayer Line and Pastoral Care.

The Office Administration Assistant will support the smooth running of the office, offer administrative support to the Chief Executive, Senior Leadership Team, Board of Trustees and from time to time the wider team. The postholder will also support the Finance function.
Key responsibilities
* Office Management: Oversee the efficient operation of the office within a shared charity hub, including procurement of supplies, maintaining relationships with IT support contractors, and organising team meetings and events.
* Finance Assistance: Support the Head of Finance and Operations with data entry, invoice processing, and bank reconciliations, ensuring accuracy and compliance with financial procedures.
* Board and Executive Support: Collaborate with the Chair, CEO, and Senior Leadership Team to plan and organise trustee meetings, manage board papers, and provide administrative assistance as needed, including travel arrangements.
* HR Administration: Maintain HR records, support recruitment processes, and facilitate staff onboarding, ensuring compliance with HR policies and regulations. Additionally, assist with staff engagement surveys and GDPR compliance efforts.
* Administrative Support to British Association for the Study of Headache (BASH): From time to time, you will provide Finance/Admin support to this small charity which has close ties to The Migraine Trust.
The role involves handling of confidential information, engagement with external stakeholders and managing a varied workload. This is a diverse, hands-on role which requires professionalism, interpersonal skills, energy, and attention to detail. In addition, you will be highly organised and able to prioritise proactively, take ownership, and drive change to make things happen. The Migraine Trust are more interested in your potential than in a perfect career or education. They are keen to meet people who have a passion for the work that they do and have picked up strong organisational and communication skills as they have gone along.
The role is home-based with around 1 day a week in the office near Borough High Street. The role is 21 hours per week and ideally these hours would be done spread across at least three or four days a week, such as Monday, Wednesday and Friday, or Monday-Friday with shorter days, due to the nature of the role as sometimes things need doing urgently. About the team
The team deliver a range of services, including training on housing and homelessness prevention, housing law consultancy, online resources and projects to support professionals working directly with people at risk of homelessness to get positive outcomes. The team covers all of England and works closely with teams including Learning and Organisational Development, Training and Support, Business Support, as well as our frontline Services and Legal Services.
About the role
Knowledge is power and we run over 1,600 training courses that attract 40,000 delegates each year. Your challenge, together with three other Operations Assistants will be to take responsibility for the administration and operational delivery of all of our courses, including face-to-face training and online via webinars and e-learning. We’ll rely on you to ensure that each course runs smoothly, all delegates and trainers have the instructions and information they need and that the highest level of customer care is provided. Monitoring a number of inboxes, dealing with customer enquiries and bookings, managing financial arrangements and booking speakers, trainers and venues – all are aspects of this vital and varied role.

Job Description
The IRC UK’s Finance Team seeks to achieve excellence in financial management by providing accurate and timely financial information to IRC management and programs and by adhering to established financial practices and accounting principles. We do this by supporting the UK office; by implementing and monitoring IRC and donor policies and procedures; leading financial forecasting and planning, proactive risk management; consolidating financial results; and ensuring reliable financial reporting (internal and external).
The Finance Assistant – Operations assists the UK Finance team in delivering its objectives and providing effective support to IRC UK. This position works closely with the UK Finance and Operations department, wider UK office and suppliers. Furthermore, the incumbent plays a key role in ensuring that Finance remains a critical organizational business partner delivering accurate, insightful, and timely financial management information.
The role is part of the UK Finance Team and reports to the Finance Manager – Operations.
Major Responsibilities
• Maintain accurate files for supplier invoices, staff expenses claims, petty cash and credit card expenses
• Assist in maintaining an up to date – London Finance mailbox, ensuring mails are dealt with in a timely manner.
• Check and prepare invoice journals for all direct debits and ensure supporting invoices and approval are filed.
• Assist with NATWEST bank income and payment journals and the bank reconciliation.
• Post invoices and credit notes in Integra (Dynamics 365), ensuring authorization, budget codes and supporting documents have been provided in a timely manner for payment runs.
• Reconcile supplier statements to creditor accounts in Integra and follow up any queries to ensure they are dealt with in a timely fashion
• Arrange travel advances for staff, check all staff expense claims for compliance with IRC-UK Travel Policy and reconcile against advances in Integra.
• Reconciliation of credit card expenses in Integra.
• Prepare correction journals and post on Integra
• Prepare the weekly payment run as directed and ensure bank sign off staff are allocated well ahead of the run.

Organisational Background
The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.
Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.

· Produce a weekly list of payments.

ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. Key responsibilities:
Chief Executive Officer assistance
- Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
- Arrange meetings and itineraries and coordinate travel as required.
- Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.
Meeting management
- Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
