About the Role

Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London. 

We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills. 

You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.

This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

• Taking charge of the day-to-day financial activities and office administration of the organisation.

• Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines. 

• Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

• Preparing invoices and receipts to stakeholders as required.

• Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review. 

• Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

• Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

• Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed. 

• Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

• Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

• Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance.  TOILs will be provided when the meeting is held outside your normal working hours.

• Assisting the CEO with board papers and circulating them to board members before board meetings.

• Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

• Arranging meetings for the CEO when required.

• Assisting staff and board members with queries on finance or administrative matters.

• Any other appropriate duties.

Essential Skills

• Accounting, finance, or economics qualification.

• A minimum of two years’ experience in bookkeeping and administration roles. 

• Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

• Understanding of the chart of accounts structure, cash/accrual accounting basis.

• Understanding of the expense claim process.

• Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

• Excellent organisation, time management and multi-tasking skills with the ability to prioritise and plan a busy workload. 

• Self-motivated and able to meet all deadlines.

• Supportive, collaborative and able to build relationships with both internal and external stakeholders.

• Abilities to work independently with initiative.

Desirable Skills

• Understanding of the annual audit process.

• Understanding of the organisation’s annual budgeting process.

• Experience of working in a not-for-profit sector.

The role: Fundraising Manager

We are seeking a Fundraising Manager with a passion for our mission, who will build positive relationships to secure significant income, working together to harness the power of adventure to create lasting change and transform communities for all.

This is a new role, leading our small but growing Fundraising Team, and having a real input into our plans and strategies for the future. Reporting to the Head of Business Development, the successful candidate will oversee all fundraising income generation activity and lead on our Major Donor Giving Programme. This opportunity is open to those wishing to work remotely (there would be an expectation to attend the office for a minimum of 2 weeks during the induction process, and thereafter at least 3 days per month throughout the year), looking for a hybrid working pattern or wanting to be fully office-based. The role is full time, however part-time on a minimum of 0.8FTE would be considered for the ideal candidate.

GMYN is looking for a new Grants & Trusts Fundraiser to join our team, and support our exciting youth charity to apply to a range of trusts/grant giving bodies to generate income.

The role:

As an integral part of the Fundraising and Development team, you will work closely with the rest of our team to secure financial income enabling GMYN to meet its income generation targets. Personal Specification:

You don't have to have worked in the voluntary youth sector previously. Our aim is to find a suitable candidate that can meet the selection criteria below. This can be from a past/current income generation/bid writer role, or a role with transferable skills.

What would we like…?

Do you have a track record of delivering accurate, reliable, administrative and project support in a fast moving environment? 
We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis.  You'll support the day-to-day running of the team by providing effective administration and project planning. 

This role is varied and the successful postholder will be responsible for scheduling external and internal meetings, liaising with key internal and external stakeholders, preparing reports, setting agendas and minute taking for meetings and financial administration. You'll also work with the Project Lead to provide project support to achieve implementation of key improvement projects.
 

We would like you to:

• Support the Marketing and Brand Director and Project Lead with managing project workflow (for example task tracking, updating and delegating tasks), sourcing and collating feedback and reporting as required.  
• Manage the Director Marketing and Brand’s diary including booking meetings, setting and minute-taking for key meetings.  
• Organising regular team meetings and events such as away days (booking meeting spaces, agenda, refreshments, liaising with attendees, etc)  
• Process our credit card costs and keep our budget tracker updated.

Working in a hybrid way, you’ll be attached to either our Birmingham, London or Manchester office and will report to the Project Lead.  In line with our current ways of working, you’ll be expected to be in the office at least 1 day a month, in addition to team days and this may be reviewed by Ambition. 

Skills, Knowledge and Experience

To succeed in this role you'll have an helpful attitude, with the ability to take initiative to lead or support on projects as required, and you'll identify opportunities to improve operations. Our ideal candidate will have the ability to manage multiple, competing demands, prioritising as appropriate.  

Whilst an interest in Marketing and Communications is desirable, it is not essential for applying to this role. Rather, you'll have proven experience of minute taking, preparing reports and PowerPoint presentations.

We are seeking a dedicated and experienced operations manager to join our team. We are looking for someone who will help strengthen the foundations of our organisation, as well as help us expand our growing network of partner organisations across the UK. 

As a small charity, the role will require balancing practical tasks with strategic planning and management. Building on what has already been done, you will work directly with the CEO to help build the operational structure of Big Green Heart, and support its day-to-day operations. 

You will also facilitate the national deployment of Big Green Heart workshops across the UK, and will work with the CEO and trustees to implement the strategy needed to upscale the work of Big Green Heart.

RESPONSIBILITIES

• You will develop and implement operational policies, procedures and systems to improve efficiency and effectiveness of the organisation.

• You will monitor and evaluate the operational performance of the organisation, identifying areas for improvement and implementing solutions.

• You will manage the operational activity of our Big Green Heart experience days, supporting the CEO in the delivery of them. 

• You will work closely with our partner organisations who are using the Big Green Heart model, ensuring that the high standards and values of our teaching are maintained.

• You will also work with the Big Green Heart team to onboard new partner organisations. You will work with them to understand their needs and secure buy-in. 

• You will collaborate with the trustees, who also contribute to tasks linked with Big Green Heart's development. 

• You will manage the budgeting and financial planning processes, working closely with the Treasurer.

• You will be trained as a Big Green Heart facilitator with an expectation that you may be needed to facilitate a workshop during your time at the organisation.

• You will participate in professional and networking events related to Big Green Heart’s field of intervention.

• You will support staff members, trustees and volunteers, providing guidance and training in the operations of the charity as needed.

Our Corporate Support Coordinator plays a key role in developing and implementing a compelling package for businesses and organisations to support FareShare GM, which includes running corporate days (team building and volunteering in the FSGM operation) as well as other ways for organisations to engage with us such as sponsorship, fundraising activities, events and so on. 

You'll take a proactive lead in coordinating the activities of corporate partners, in conjunction with the FSGM Operations team, staff and volunteers, to ensure successful outcomes for all.  You'll build and maintain positive relationships with all our stakeholders including FareShare UK, our customers and the wider community to optimise the benefits of corporate engagement activities.

The successful candidate will need to: 

• have proven experience in building relationships with external stakeholders
• have strong communication skills including creating and giving presentations and writing compelling content for external audiences
• have a proven ability to work independently, set priorities and manage deadlines
• be able to work calmly and efficiently in a busy office environment
• have experience gathering, maintaining and analysing data for reporting purpose

Salary: £34,000 to £37,000 per annum (FTE), depending on experience.

Hours: 35 hours per week FTE, we will consider flexible hours & 3 or 4 day week working.

About the team:

The Customer Support Centre is multi-channelled, with a mixture of inbound, outbound and email traffic which receives calls and emails for our network of 21 rehoming centres in the UK. The Customer Support Centre also receives calls for several dedicated hotlines in the organisation along with making outbound post adoption support calls. The role will involve delivering exceptional customer service on every interaction for all sorts of queries coming into the organisation.

What you need to know:

Normal hours in this role are 37.5 per week, our national Customer Support Centre is open from 8am-8pm Monday to Friday and 8.30am-5pm on weekends and bank holidays. Due to the nature of our operation, you will be required to work every other weekend (2 weekends per month) with some bank holiday work required.

The role is based in the Manchester Rehoming Centre with hybrid working. The successful candidate will be required to work two days a week at our Manchester office (M34 3SG) and three days remotely. Some UK travel may be required as and when needed.
