The Office Administrators at UWC International’s locations in Berlin and London ensure the smooth day to day running of the offices. They are part of the UWC International Executive team. UWC International Office
The UWC International Office is the executive arm of UWC International, a UK registered charity, and is situated at the heart of the UWC movement. It is currently located in central London and Berlin.
The UWC International Office collaborates closely with all stakeholders from across the UWC movement, engages the UWC alumni community of more than 60,000 members and serves UWC International’s governance bodies. Responsibilities include global fundraising, global communications, promotion and marketing, supporting the network of over 150 UWC national committees in their daily work and growth, global strategy development and implementation and assisting the UWC schools.
Job Scope, Tasks, and Responsibilities
The Office Administrators at UWC International’s locations in Berlin and London ensure the smooth day to day running of the offices. They are part of the UWC International Executive team. In their role, they support members from across the UWC International team and coordinate with stakeholders from across the UWC movement.
The candidate is expected to engage with the vision and mission of UWC, and work cooperatively with colleagues across the London and Berlin offices, as well as wider constituents to further the mission of the organisation.
As the first contact point for the general public and constituents the candidate will welcome visitors and field questions and issues to be followed up by specialist members of staff. The Office Administrator ensures a professional running of the office, including accounting and other administrative duties. The Office Administrator oversees various office services and provides specific administrative support for Directors and various teams when needed.
This is a ‘hands-on’ position and offers the opportunity to work with colleagues, constituents, suppliers and the wider public.
Key Responsibilities
Office Administration & Support

Responsibility for overall administrative operations including reception, mail, couriers, stationery, office calendars, kitchen supplies and some data entry

Responsibility for maintenance of office space and equipment, liaison with support companies (including IT, telephone, internet, printing, and housekeeping), and ensuring that all parts of the office, including archives, filing systems and contracts, are maintained and are accessible, orderly and functional

Whilst we are working from home, ensuring that the office is secure, and working online is functioning smoothly across the office

Maintaining accounts and financial support for the office, including petty cash

Supporting teams with the distribution of publications, conference calls and meetings where necessary

Maintaining our Zoom online meeting accounts across teams

Reconciling monthly expenses and credit card statements for directors

Booking accommodation and travel, and assisting with visas for office staff and others in the UWC movement.

Coordination of office events including logistics, communications, and arrangements (for example, staff training days)

Resolving IT queries, including the setting up computers/online accounts for new staff including access to necessary platforms, files and drives.
HR support

Providing support to the Head of HR in various areas including recruitment, induction, training, sickness and immigration,

Administration of recruitment which involves placing adverts on various websites, sending invitation letters to job applicants, preparing shortlisting documents, sending rejection letters and responding to queries from potential applicants

Booking interview dates and meeting rooms for interviews

Checking applicants work visas when they come to interviews

Responding to queries and dealing with applications from people who wish to volunteer

Arranging induction meetings for new staff including carrying out health and safety inductions

Recording staff sickness on BreatheHR, the HR software, updating online HR forms and staff handbook

Assisting with the research of policies, staff benefits as and when needed

Compiling recruitment data for the annual HR report

Checking and uploading HR invoices for authorisation

Answering general phone and email enquiries from the public and fielding issues for follow-up by specialist members of staff

Welcoming visitors to the office in a professional and friendly manner

Where appropriate, initiating correspondence with the public directly or on behalf of other members of staff

Candidate Profile

Experience of reception duties and office management

Experience in Google Suite (Gmail, Drive, Docs and other systems (Excel, Zoom and Slack) would be helpful

Understanding of IT systems and an interest in working closely with the IT service company and supporting colleagues with IT issues

I. Position Summary:
The Programmes Coordinator provides extensive support to the Chief Programmes Officer (CPO) and the wider Programmes Department. Key responsibilities include providing support to the CPO with scheduling, travel, expense reports, as well as administering critical aspects of Malala Fund’s Programmes Department, project managing special initiatives, facilitating departmental coordination (including meeting management), providing logistical support for physical and virtual meetings with grantees and programme participants and corresponding with internal and external parties.

II. Responsibilities:
Executive Support

Plans and coordinates diary scheduling for the Chief Programmes Officer (CPO).

Leads on logistics for group events and supports the Programmes Team in trip scheduling and event logistics, including booking travel and securing visas.

Coordinate and administer all departmental contracts, invoices, translations and consultant recruitment.

Ensures key Programmes contacts are captured and recorded in a Salesforce database.

Compiles Programmes data as written summaries for internal and external stakeholders.

ABOUT THE ROLE
Amnesty Tech is looking for a part-time assistant starting immediately on a consultancy basis until the end of 2021. The post-holder will be remotely based.
JOB PURPOSE
Ensure that resources are used and accounted for effectively, Programme activities are well planned and reported on, and communication and cross Programme work is effective. Coordinate the planning, reporting and budgeting for Amnesty Tech. Provide administrative and program support to Amnesty tech and its Director and Deputy Directors, and implement and coordinate the Programme's administrative and communications systems to contribute to the smooth running of the Programme.
MAIN RESPONSIBILITIES
- Assist in the development and operation of Amnesty Tech, including by: arranging meetings; supporting project management; preparation and support of missions, including supporting security preparation, booking flights and accommodations as needed, and preparing expense claims; and other tasks as needed.
- Train and support new staff on various admin processes to ensure that all staff complete administrative responsibilities in a timely and accurate fashion.
- Maintain a detailed understanding of IS financial procedures; deal with expense reports and process payments and invoices; assist with the preparation of project budgets and forecasts; monitor restricted funds; obtain and review regular reports on expenditure and other agreed management information from the Finance Programme.
- Assist in drafting narrative donor reports for restricted funding grants and developing an information management system or systems for tracking funding proposals and reporting requirements.
- Prepare draft contracts for consultancies, track deadlines for consultants' outputs, liaise with consultants as required to ensure that external partners are clear on their terms of work, and coordinate the work of consultants and volunteers. Liaise with the Procurement team and the Accounts Payable team to make sure that crisis consultants have signed contracts and their payments are processed on time.
- Organise and coordinate travel for the Amnesty Tech Director and Deputy Directors and provide support to the Amnesty Tech colleagues for travel for urgent deployments or when on mission, and Programme Organise and coordinate internal and external meetings and associated logistics, (including for example agenda and document distribution, booking rooms, minute taking) to ensure that meetings run smoothly.
- Coordinate and support Amnesty Tech planning, reporting and reviews so that records are maintained and senior team members can report accurately on the performance of the Programme.
- Propose, organise and maintain filing and administrative systems for Amnesty Tech, maintain and update the Amnesty Tech project sites. Establish and maintain accurate record keeping, retrieval systems and other administrative processes to support the efficient operation of the Programme. Support the use of new systems such as SharePoint, OneDrive etc.
SKILLS AND EXPERIENCE
- Ability to communicate clearly, concisely and diplomatically in English, other languages such as French and Arabic are an asset
- Experience of working with restricted funds and of preparing and monitoring budgets; an ability to identify budget problems and solve them
- Ability to organise and coordinate international travel and manage meetings
- Experience of establishing and maintaining office systems and coordinating an efficient flow of communications and information
- Ability to multitask and manage a workload with competing deadlines and to adjust priorities

The Counselling Administrator role:
We are currently recruiting for Counselling Administrator to provide administrative support to the counselling service and help with the recruitment and coordination of trainee counsellors.

ABOUT THE SERVICE
WLM The Haven is a CQC registered care home for men managing an addiction to alcohol. It offers long-term care and accommodation, providing a stable environment using a harm-reduction approach.
The primary aims of the service are to address health, wellbeing and accommodation needs of residents using a Strength and Asset-based approach. We focus on strengths not what’s wrong. Staff and volunteers encourage residents to participate in activities that are of interest to them. We also encourage residents to develop or renew positive relationships where possible with their families and the wider community.
ABOUT THE ROLE
The Team Administrator is responsible for supporting the team to deliver quality care and support to the people resident at The Haven by overseeing core administrative tasks in the service. As part of this role, the holder will also be required to proactively participate in CQC audits and in following CQC regulations and standards.
The role has a regular Monday to Friday rota, however occasional work at weekends may be required.

This post is recruiting to the established London Three Boroughs team and will be based at Queen’s Park Children Centre, but will be home-based during COVID-19 restrictions This role is responsible for the establishment, development and maintenance of the team’s administration and case management systems and the collection, collation and input of data for the For Baby’s Sake London and CONNECT teams.

For Baby’s Sake is an innovative, therapeutic, trauma-informed programme working with all family members supporting a recovery framework to overcome the devastating effects of domestic abuse, acknowledge and explore unresolved and often complex childhood trauma and change harmful patterns of behaviour to develop a home environment where children can flourish.
There must be a current pregnancy to harness change motivations, a desire on behalf of both parents to co-parent their unborn baby, although they do not have to be in a relationship, and we work with the families until the baby reaches the age of two.
The programme is delivered through area-based teams, including one covering the three London boroughs of Westminster, Kensington & Chelsea and Hammersmith & Fulham. This year a new For Baby’s Sake CONNECT team will work remotely serving families in various locations.

Unlocked Graduates is an award-winning charity which exists to break cycles of reoffending by developing outstanding individuals to lead rehabilitation in prisons and throughout society.
At the core of our mission is a leadership development programme that brings top graduates into prisons to work as frontline prison officers for two years. This programme includes mentoring, work placements in partner organisations and a fully funded master’s degree. All of which they take part in while taking on the full duties of a frontline prison officer.
The project grew out of a recommendation in the Coates’ Review of prison education. Programme participants are selected through a rigorous and competitive recruitment process which is raising the profile of the prison officer role. Last year the scheme was ranked 36th in the Times Top 100 Graduate Employers list.
We were initially incubated by Catch22, a charity and social business. As of November 2020, we are now an independent registered charity and have ambitious targets for the next 12 months. These include enhancing our programme offer, expanding our fundraising and Partnership work, and strengthening our internal systems and processes.
The role
Interns are an invaluable part of our team and work across all areas, undertaking a range of tasks and responsibilities. The successful candidate will work within the Programme team to plan, deliver, and evaluate a suite of programme events, with a key focus being placed on the Summer Institute. They will gain broad experience in event coordination and project management, as well as a specific insight into the training required to become an exceptional prison officer.
We are looking for an outstanding candidate to take on this exciting and varied role. We offer the opportunity to get involved with a wide range of activities that will help recruit, train, and develop exceptional prison officers across England and ultimately reduce reoffending rates.
Due to the impacts of Covid-19, this role is currently home-based, with access to the office where required. Once we return to office-based working the role will predominantly be based there, though we will maintain our ongoing commitment to remote working and flexibility to further our staff support. The successful candidate will also be required to be based in Leeds for 6-8 weeks over the summer to support the delivery of our Summer Institute.
