Job purpose: The Events and Administrator Co-Lead will manage our events and provide administrative support efficiently and effectively across the organisation to support the delivery of ALLFIE’s infrastructure programme on our inclusive education campaign work.

Summary of the role:

Organisational Background
The Council for At-Risk Academics is a UK-registered charity founded in 1933 under the leadership of William Beveridge, to rescue academics suffering persecution under the rise of Nazism and facilitate their continued work in safety. Sixteen Cara Fellows from the 1930s and 1940s became Nobel Laureates, and many more innovators in their fields, including, Nikolaus Pevsner, Lise Meitner and Karl Popper. A number of Cara’s founders and Council members also personally provided places and/or funds to help individual academics; and Cara, known in the 1930s as the AAC, later the SPSL, was closely involved in the successful effort in 1933 to bring to London the Warburg Institute art library, which had been prohibited by the Nazis, and six of its staff. The Fellowship Programme is the continuation of the rescue mission operation started in 1933.
Cara has been a lifeline to academics at risk for just over 90 years, as and when world events have placed them in the line of fire: Hungarian Uprising, Cold War, Apartheid South Africa, Iran, Latin American Juntas, Vietnam, Kosovo, DRC, Rwanda, Sudan, Zimbabwe etc. and, more recently Iraq, Turkey, Yemen, Palestine, Syria, Afghanistan and Ukraine. Cara support is typically framed as temporary sanctuary offered at times of heightened risk.
Cara Objectives ‘To assist academics who have been, or are, or are at risk of being, subject to discrimination, persecution, suffering or violence on account of race, religion, nationality, membership of a particular social group, or political opinion, to relieve needs among them and their dependants and ensure that their specialist knowledge and abilities can continue to be used for the benefit of the public.’

Fellowship Programme Officer Role & Responsibilities
Casework
- Provide support for a caseload of at-risk academics (Cara Fellows) carrying out research placements at UK or international universities
- Assess Fellows’ suitability for academic placements/extensions

- Develop relationships with universities and other partner organisations
- Secure fee waivers, bursaries & in-kind support from universities, research institutes and other funding bodies.

The Grants Programme Assistant will support both the Executive Director and the Assistant Manager across the remit of the SCLF’s work to help it deliver its objectives. This is a unique and interesting opportunity to join the organisation at a key point in its ten-year trajectory as it works to support schools to continue their language provision post 2026 and help shape what that future might look like.
The postholder will play a key role when it comes to supporting the Executive Director and Assistant Manager in their day-to-day roles and get very involved in the operations of the Foundation. Your Responsibilities:
As a Programme Manager at Talent Spaces & Upskill Me, you will play a vital role in supporting the Programmes Lead in the successful delivery of our flagship STEM programme, career events and employability programmes. We are looking to fill two roles one will have specific focus on leading on our social mobility Industry Societies programmes and one role will focus on our STEM events and programmes. As a small team we do however expect team members to work in collaboration across all our programmes and events.
Your focus will be on managing day-to-day programme activities, coordinating workshops and events, and providing direct support to participants. It will include everything from student recruitment & onboarding, liaising with clients & volunteers through to delivery and gaining feedback. Your role will contribute directly to the effective implementation of the programmes & events, ensuring the impact on the growth and development of young people from disadvantaged and underrepresented backgrounds.
Key Responsibilities:
Programme Delivery:
- Recruiting & onboarding and screening students to our programmes & events
- Co-ordinate and oversee the delivery of employability programmes & events, ensuring they align with programme schedules and objectives.
- Facilitate and lead workshop sessions, events, and mentoring activities for participants, creating a positive and engaging environment.
- Prepared for occasional travel within the South, Midlands and North of England during programme delivery periods (expenses paid)
- Provide hands-on support and guidance to participants (students, clients, and volunteers) addressing their needs and challenges during the programme.
- Ensuring supporting materials, content and slides are up to date with support from the Programmes lead and Marketing executive.
Impact Reporting:
- Drive, gather & collate data for impact reports, ensuring relevant evaluations are completed pre and post programme/event and providing relevant information to support programme evaluation.
- Collaborating with the Programme Lead to analyse results and identify areas for improvement and supporting in creating impact summaries for clients.
Participant Engagement:
- Cultivate positive relationships with programme participants, creating a supportive and inclusive environment.
- Respond to participant inquiries and concerns promptly, ensuring a high level of participant satisfaction.

Stakeholder Collaboration:
- Collaborate with key stakeholders, including schools and external partners, and our clients to ensure smooth programme delivery.
- Ensure clear and timely communications with clients to ensure they are supported throughout the programme and ensuring smooth programme delivery.
- Support the Account manager in maintaining effective communication with stakeholders.
- Liaise with external venues to ensure adequate provisions for engaging and successful events/programmes.
About You:
To excel in this role, you should possess the following experience and attributes:
- Prior experience in coordinating & facilitating programme delivery or similar responsibilities.
- Basic understanding of programme management principles and impact reporting.
- Strong organisational and time management skills, good attention to detail.
- Strong facilitation, classroom management and presentation skills.
- Ability to work on own initiative, taking the lead in ensuring communications with all parties are clear and any actions or next steps are succinctly outlined.
- Effective communication and interpersonal abilities to engage participants and build rapport.

OFFICE OPERATIONS AND EVENTS

Act as a first point of contact for enquiries coming into both general and programme specific inboxes, via the website and phone.

Support on the smooth running of the London office. Tasks may include managing post, stationery orders, preparing and packing resources for training and events, and supporting on any other duties as required.

Act as one of the designated fire marshals and first aiders for the London office, with occasional support at other events as required (please note full training will be provided in these posts)

Support on the smooth running of organisational and programme events, including staff away days, and school events. Tasks may include managing guests lists and correspondence, liaising with event suppliers/contractors/schools, preparing and circulating briefing packs, attending and supporting at events when required, and any other event administration duties as required.
PROGRAMME ADMINISTRATIVE SUPPORT

Managing programme specific communications related to our Award & Development and Mentoring programmes via email, phone, and website, including but not limited to general enquires and continued engagement with programme participants and volunteers.

Ensure accurate and up-to-date records are kept across programme databases (Excel and Salesforce)
-
Managing programme resources, including stock counts, and organising couriers.

Processing application data, and event registrations across the two programmes, including due diligence check processes such as DBS, right to work and reference checks.

Support with the onboarding of mentors and award recipients across the two programmes, ensure that all personal data and consent forms are collected and stored appropriately and in line with organisation policies.

Support in outreach to schools and mentors, including supporting online volunteer networks, as well as creation of email templates and resources

Support with the delivery of the Diana Award Development Programme, including scheduling Diana Award recipient blog posts and signposting to opportunities (both internally and externally).

Maintaining and updating volunteer expense processes in collaboration with Finance Team

Supporting with the organisation of programme events and training such as but not limited to, Online careers fair, career lounges, mentor networking and training sessions, annual volunteer appreciation events, award recipient networking events and opportunities.
There may also be occasions where the administrative team provide support to other programmes/teams as required, however this will be subject to existing workload/capacity.
