Westway Trust is seeking a qualified accountant to join as our Head of Finance who will lead on all aspects of the finance function to achieve the Trusts goals.  You will also manage a small team and will offer strategic finance support across the range of activities undertaken by the organisation.

You will have significant experience operating at a senior level within a complex organisation and registered charity, and will possess the right blend and balance of strategic, communication, innovation and people skills.

Key responsibilities of the role include but not limited to:

• Lead, manage and improve the Trust’s finance function and provide accurate, timely and relevant financial reports as required by the CEO, Executive Team and the Trust Board.
• Be the Executive Lead of the Finance Audit and Risk Committee, ensuring timely papers to the CEO and to the Committee and Board as required and liaising with the Head of Governance and HR as required.
• Ensure the provision and reporting of financial accounts, forecasting and large-scale project/programme budgets, estate development plans, and the associated reporting.
• Oversight of the legal and financial statutory processes in line with the Charity Commission and Companies House requirements, including the Annual Audit. Allocating tasks for timely responses and keeping all colleagues abreast of progress.
• Monitor, cash flow, reserves, analysis of performance against the organisation’s annual business plan and dashboard as it relates to the finance function.
• Contribute to the overall leadership of the Trust and to the Trust’s future strategic and operational planning. Support Executive Team colleagues as required on the delivery of cross-team initiatives.
• Line management of the Senior Finance Manager, the Debt Recovery Consultant and the Development Partnerships Lead.

Essential Experience, Skills and Attributes:

• Significant and successful experience of operating as a Head of Finance, ideally in a charity setting.
• A track record of working collaboratively with a team to develop successful internal partnerships and achieve joint success against shared objectives.
• Experience of the finance function and all the associated processes, with strong attention to detail.
• Experience of implementing enhanced reporting tools within financial software, including the ability to coach others.
• Practical knowledge of VAT, including accounting of partial exemption relevant to charities.
• Experience of managing staff and supporting their development.
• Strong interpersonal skills for both workplace and external representation contexts, operating with enthusiasm, flexibility, energy and commitment and demonstrating credibility and gravitas.

Desirable Experience, Skills and Attributes:

• A good understanding of the local area.
• Experience of change management.
• Competency in use of Access Dimensions, Focal Point and other MS Office software packages.

Qualification:

• Must hold a formally recognised professional accounting qualification.

You will lead the front of house providing professional, competent reception and clerical support in a very busy office. Excellent interpersonal and IT skills a necessity.   

Main Duties of the Role

• To ensure the smooth running of the office on a day–to-day basis 
• To ensure a professional approach when meeting and greeting visitors, responding to enquiries by telephone, by e-mail, in writing and in person from members of the public.  This includes taking and confirming bookings, issuing reminders and appointment slips.
• To assist with maintaining and updating database information, carer registrations, emergency cards, records and filing systems both manual and computerized, ensuring that data handling complies with GDPR requirements.
• To assist with the production of monitoring and evaluation reports, extracting statistical information from database.
• To organise venues, agendas and minute-taking of meetings as required by Enfield Carers Centre.
• To attend appropriate meetings as identified by the line manager.
• To assist with the organisation of events, including ensuring the readiness of leaflets for information stands at partner events and outreach work.
• To assist with training events and activities held at Enfield Carers Centre including liaising with sessional       workers/trainers/speakers preparing room set-up, refreshments and set up of Zoom 
• To lead on matters relating to office management including supporting the CEO and ensuring the office adheres to health and safety compliance issues
• To assist in maintaining ECC’s electronic database, website and email system e.g. ensuring events are uploaded and attendance data kept up to date
• To act in accordance with all policies and procedures laid down by Enfield Carers Centre.

As a key partner to the CEO, this role demands a leader skilled in operational management and strategy implementation, preferably with experience in the third sector and a deep commitment to animal welfare.

Objectives of the role

1. Strategic implementation and operational leadership - working in close partnership with the CEO to integrate strategic objectives into the organisation's day-to-day operations. This will include focusing on enhancing process efficiency, ensuring operational excellence and maintaining budgetary control connected to operational issues.

2. Developing high performing teams – driving team excellence through targeted recruitment, comprehensive onboarding, ongoing professional development, and robust performance management strategies, ensuring team cohesion and high retention rates

3. Ensuring regulatory compliance and safety - maintaining rigorous adherence to all relevant charity and health & safety regulations, proactively ensuring a safe environment for staff, volunteers, visitors and our equines.

Responsibilities

Responsibilities include:

· Evaluating internal operations to identify and implement efficiency improvements

· Developing and implementing policies (in collaboration with the CEO and Trustees) that support the sanctuary's goals and ensure operational alignment.

· Overseeing daily operations across the estate, including visitor facilities, barn and paddock maintenance, and health and safety compliance, ensuring a safe environment for staff, volunteers, visitors and equines.

· Directly overseeing the performance of our teams in Visitor Experience, Volunteering, Estates and Facilities, ensuring these areas not only operate efficiently but also focus on creating exceptional experiences for visitors and volunteers. · Ensuring the sanctuary is ready and welcoming for visitors each day, effectively monitored and managed throughout the day and securely closed at night

· Health and safety leadership - spearheading safety initiatives and training a skilled team in safety protocols, ensuring a secure and safe environment for staff, volunteers, visitors and over 130 donkeys and ponies. The COO will work closely with the Head of Facilities and Estates Supervisor to enforce health and safety policies, address safety issues, as well as ensuring readiness and responsiveness for critical incidents, including fire and medical emergencies.

· Serving as the deputy for the CEO, including leading the sanctuary in the CEO’s absence, making critical decisions, and managing external relationships.

The above role encompasses an understanding that the sanctuary operates seven days a week and requires a willingness to work weekends and evenings as needed to ensure continuous leadership and operational excellence.

Reporting structure

Reporting directly to the CEO, the COO will have the following direct reports: Head of Estates, Visitor Experience Manager, and Volunteer Manager.

Required skills and Experience

· A strong ethical commitment to animal welfare, demonstrated through previous work or personal advocacy, with the desire to make a positive impact in the community and beyond.

· A track record of managing operations effectively, demonstrating the ability to oversee day-to-day activities

Process donations in line with established receipting procedures.

Adhere to audit procedures and liaise with the Charity’s auditors.

Carrying out filing in line with office procedures and ensuring the safe storage and archiving of documents/records on a regular basis.

Provide support to the senior management team, including organising and scheduling meetings and room bookings.

Undertake banking procedures and ensure donations are accurately recorded and banked.  

Hospital & Online Shop

Process online orders for the shop in a timely manner.

Run regular reports for the Fundraising & People Team Leader relating to online sales.

Support the management of the online and hospital shop, ensuring they are stocked, and products are displayed in the best way.

Provide good customer service within the shop inside the hospital Atrium.

Cash up the till, ensuring sales are correctly recorded and takings are passed through for banking.  

Database support

Process donations on the CRM database, liaising with fundraising teams to ensure this is recorded correctly, including from online platforms.

Produce analytical reports from the fundraising database system, for audit purposes.

HR support

Provide HR administrative support within the areas of:

· Recruitment, including coordinating the recruitment process and the induction of new starters;

· Ensuring all staff have a DBS in line with the Trust requirements;

· Administration of staff annual leave allowance and absence reporting;

· Creating staff correspondence letters, including pay award, furlough or other required communication; and

· Attending and minuting HR meetings where required.

Other Duties

Be an outstanding advocate for Alder Hey Children’s Charity in line with the core values of the organisation.

Be an active and supportive member of the Alder Hey Children’s Charity team, contributing to the team’s development and working collaboratively with colleagues and volunteers. Attend and support on events run by the fundraising teams where required.

The charity is currently conducting a four-day working week trial, due to end on 30th September 2024. The Role
