The Role of Safeguarding Administrator

We have an exciting opportunity to join the Coventry Diocesan Safeguarding team as a Safeguarding Administrator. 

You will have excellent interpersonal skills with the ability to work successfully with a range of stakeholders. Effective communication skills, both verbal and written will be key, as well as working collaboratively within a team.

The main responsibilities of the Safeguarding Administrator are:

• To provide effective and efficient administrative and logical support to the diocesan safeguarding team ensuring that all systems contribute to the delivery of high-quality service and the smooth running of the diocesan safeguarding teams work.
• Overseeing the team’s diary management, booking internal and external meetings
• Minute taking meetings including safeguarding meetings
• Screening calls and emails for the diocesan safeguarding team from a range of stake holders including those who may have vulnerabilities, using your initiative to respond to enquiries, delegate safeguarding referrals to the relevant members of the team
• Maintain and update relevant databases and recording systems, ensuring accurate records
• Be responsible for DBS administration of Parish Safeguarding Officers
• Developing knowledge of safeguarding policy to advise appropriately on matters relating to general parish safeguarding such as safer recruitment, training and parish dashboard
• Provide general administrative support, as deemed appropriate by the Diocesan Safeguarding Advisor

As Supporter Care Administrator you will be the first point of contact for supporters, partner organisations, media representatives and others who get in touch with CSW in person, by phone or email.  We are looking for a warm, friendly person who loves people and is also highly organised.

Key Responsibilities (full responsibilities listed in the application pack):

• Act as the first port of call for all enquiries.
• Oversee the smooth running of reception, including receiving visitors and processing deliveries.
• Respond to telephone enquiries, ensuring that requests are followed up within a reasonable timeframe or passed on to the relevant person.

Community Advice Works is an established community charity based in New Cross in South
East London. As the only charity in the London Borough of Lewisham offering a general
drop-in advice service, we are a critical source of support to vulnerable residents. We have
built a strong reputation within the Borough for providing high quality, independent, person-
centred welfare and housing advice. The organisation employs several part-time staff and
has a team of volunteers. In addition to providing advice we currently deliver a domestic
violence project at Guys and St Thomas’ Hospital.

Like many charities in the advice sector, CAW is going through a process of change. We are
looking for an experienced and community-driven individual with a strong set of managerial
and interpersonal skills, preferably with a background in advice work, to maintain the strong
structures and reputation for excellence that we have developed.

As service manager, you will work with our friendly staff and trustee team to deliver our vital
service. We pride ourselves on providing a flexible, inclusive and rewarding work

Key duties

• Staff and volunteer management
• Line manage staff by providing support and supervision as needed, conducting regular performance reviews, and identifying staff training needs

Service delivery

• Ensure high quality and timely service delivery in line with the Service Level Agreements with our various service partners

• Compile and maintain accurate statistics on service performance to share with funders and CAW trustees

• Engage regularly with our funders and other key stakeholders to build and maintain positive working relationships, and provide them with timely reporting on our service performance as needed 
•  Update service level agreements with existing funders, and draft new agreements as needed

Administration and Finance

• Ensure day-to-day administrative processes are functioning smoothly, and that necessary policies and procedures are up to date
• Line manage work of receptionist/administrative support worker

Fundraising and Marketing

• Help identify new funding and other revenue-raising opportunities
• Support the work of the fundraising sub-committee in preparing funding applications
• Work with trustees and external vendors to ensure CAW website is kept up-to-date
• Work with trustees and external vendors (as appropriate) to develop a social media presence for CAW
• Identifying and supporting efforts to increase CAW’s profile in the local community and to build relationships with key local stakeholders as appropriate Governance

OFFICE OPERATIONS AND EVENTS  

• Act as a first point of contact for enquiries coming into both general and programme specific inboxes, via the website and phone. 

• Support on the smooth running of the London office. Tasks may include managing post, stationery orders, preparing and packing resources for training and events, and supporting on any other duties as required. 

• Act as one of the designated fire marshals and first aiders for the London office, with occasional support at other events as required (please note full training will be provided in these posts) 

• Support on the smooth running of organisational and programme events, including staff away days, and school events. Tasks may include managing guests lists and correspondence, liaising with event suppliers/contractors/schools, preparing and circulating briefing packs, attending and supporting at events when required, and any other event administration duties as required. 

PROGRAMME ADMINISTRATIVE SUPPORT   

• Managing programme specific communications related to our Award & Development and Mentoring programmes via email, phone, and website, including but not limited to general enquires and continued engagement with programme participants and volunteers. 

• Ensure accurate and up-to-date records are kept across programme databases (Excel and Salesforce)    

• Managing programme resources, including stock counts, and organising couriers. 

• Processing application data, and event registrations across the two programmes, including due diligence check processes such as DBS, right to work and reference checks. 

• Support with the onboarding of mentors and award recipients across the two programmes, ensure that all personal data and consent forms are collected and stored appropriately and in line with organisation policies. 

• Support in outreach to schools and mentors, including supporting online volunteer networks, as well as creation of email templates and resources 

• Support with the delivery of the Diana Award Development Programme, including scheduling Diana Award recipient blog posts and signposting to opportunities (both internally and externally). 

• Maintaining and updating volunteer expense processes in collaboration with Finance Team 

• Supporting with the organisation of programme events and training such as but not limited to, Online careers fair, career lounges, mentor networking and training sessions, annual volunteer appreciation events, award recipient networking events and opportunities.

There may also be occasions where the administrative team provide support to other programmes/teams as required, however this will be subject to existing workload/capacity.

The team administrator will play a crucial role in providing administrative support to the Research and Publications (R&P) team, aiding in their operational efficiency, research, and development activities. • Working alongside three post approval adoption caseworkers, you will be responsible for providing efficient administrative and business support to the Post Approval and Domestic Adoption Teams;

Victim Support is proud to have been commissioned to provide an Affected by Crime (ABC) service across Humberside which will provide a single point of contact for victims of all crime, whether or not they have reported to the police, to receive support and information.

The ABC service will be a valuable point of contact for anyone affected by crime at any time to contact and receive help, support and information. It will be a busy and fast paced hub, receiving calls of varying nature from a variety of people.

We have opportunities available to work within the Humberside ABC service and are looking for dedicated, passionate and empathic people to join and enhance our team.

The Administrator (known internally as a Service Delivery Assistant (SDA)) role is one which will provide general administrative support to the Humberside Affected By Crime (ABC) service. The SDA will work with the whole team to ensure the smooth running of the service including purchases and invoicing, administration on cases and the case management system, health and safety processes and general administration.

About the role:

Your role as a Service Delivery Assistant (SDA) will be to provide an administrative function to the Humberside staff team.

The SDA role is a crucial one, to ensure the efficient running of the service and support the frontline staff to provide an effective service.

As an SDA you will;

• provide an administrative function to include administration of cases and referrals including updating case management systems and communicating with referral agencies to gain further information
• Raise purchase orders, deal with invoicing and purchasing
• Work with the management team and staff team to ensure adherence to policy and procedure including health and safety checks and audits
• Monitor some HR functions such as DBS checking, working with the police vetting unit and ID checking

You will be confident in using your IT skills to work on a case management system, access phone and online systems, email and Microsoft Office programmes.

As the Administration and Liaison Officer you will be the primary point of contact and the face of the Rugby foodbank for all stakeholders.  You will need to have excellent administration and communication skills as you will be our contact point for volunteers, clients, voucher issuing agencies, food and financial donors. In partnership with the Service Delivery Manager, you will guide the development of the foodbank project including its material resources, financial assets, reputation, partnerships and volunteer body.

Your key skills will be effective communication and the ability to work with all types of people from every kind of background. You will engage with volunteers, clients, Trustees and external agencies such as statutory agencies, churches, schools and businesses to maximise engagement. You will need to be a flexible team member with the ability to balance duties according to the needs and opportunities of the organisation. You will be an outgoing self-starter who is confident working on their own initiative as well as part of a wider team.

Our stakeholders are primarily our volunteers, clients, voucher issuing agencies including statutory and community groups, food and financial donors from the community including churches and other faith groups, schools, other charities and businesses, our Trustees and staff.

Colostomy UK is a national charity that offers support and advice to people who have had stoma surgery (ostomates) and to their friends, families and carers. Our projects empower ostomates to return to sports, hobbies and other activities after their surgery and give them the confidence to take on fresh challenges. We advocate for ostomates’ rights and are their voice on the bigger issues. Our campaigns raise awareness of ‘life with a stoma’ and encourage organisations to make their facilities more inclusive.

About the role:

As the Volunteers and Support Administrator you will provide efficient administration to our support services and volunteer team. You will also undertake any admin duties involved with running the Colostomy UK office and support other members of the team. You will be answering and re-directing incoming calls on our stoma helpline. You won’t be providing support to callers; however you will need to have an empathetic approach whilst explaining that you will arrange a support call back from one of our volunteers. You will action calls that come through on our admin line and manage our central email inbox, ensuring requests are actioned promptly. You will organise volunteer rotas, help with onboarding our volunteers and organise incoming and outgoing post. The postholder will take minutes at meetings, ensure the office is kept tidy and co-ordinate stock delivery for events and exhibitions.

Our ideal candidate:

The ideal candidate for this position is organized, efficient, and reliable, capable of managing multiple tasks concurrently. They will possess excellent customer care skills, demonstrating a professional and empathetic telephone manner. Attention to detail is vital, along with strong time management abilities. The successful post holder will have effective verbal and written communication skills, coupled with proficiency in Microsoft programs and accurate data entry. While prior administration experience is preferred, it is not mandatory.
