Job Description

Job title: Welcome Volunteer

Closing date: rolling interview date, TBC

Location: Calais, France

Help Refugees was founded in 2015 to provide emergency aid and vital services to those affected by the global refugee crisis. We quickly became the primary aid-provider in the Calais ‘Jungle’, whilst also funding and supporting projects elsewhere in Europe and the Middle East. We are part of a new movement in humanitarian response, growing and developing in the face of today’s global refugee crisis and the ever-changing needs of those affected by it. We respond rapidly to get aid and services directly to the people who need it most.

Whilst the Calais ‘Jungle’ has been evicted, Help Refugees continues to support refugees in the region through material aid and advocacy. We are also turning our sights towards the growing refugee crisis across Europe and the Middle East, using our warehouse as a base to meet the needs of other humanitarian organisations and supply aid to those regions most affected.

This role is primarily an administrative role - part of the behind the scenes work that goes into all of the active field work that is done at the Calais site. Being the first person that new volunteers meet on arrival and facilitating their ability to work and volunteer at the site is absolutely essential to our operations.

Responsibilities:

  • Welcome new volunteers to the site in the morning and lead orientations and warehouse tours

  • Register volunteers, ensuring all liability documents are filled in and filed correctly.

  • Communicate with other coordinators about incoming volunteer's skills and be part of human resources management

  • Deliverer morning briefings to groups of volunteers, outlining security precautions, code of conduct, organisation policies and daily job roles.

  •  Be a friendly and known face to volunteers; answering questions regarding our operations in Calais and providing assistance with day-to-day issues as a representative of the organisation

  •  Respond to Calais volunteering inquiry emails. Communicating with prospective volunteers, coordinating their stay by answering questions regarding roles and operations as well as booking accommodation.

  •  Allocating and coordinating volunteer accommodation.

  • Basic administration (and translation if possible)

Essential Criteria:

  •  Excellent interpersonal skills

  •  Patience and positivity

  •  Flexible and adaptable - recognising the constantly changing needs of a new, grassroots organisation.

  • Ability to remain calm in an often high-pressured, stressful environment.

  •  Excellent organisational skills

  • Outgoing and personable approach.

Desirable:

  •  Experience working in an administrative role, and/or working in a front-of-house/hospitality setting

  •  Experience in volunteer coordination

  • Experience in the humanitarian field and/or working with refugees

  • French language proficiency

  • Knowledge of the situation - particularly the history of refugees in Calais and the European migration context

  • Other Information:

  • Two month minimum commitment.

  •  Shared role. Working pattern: 5 day week

  •  Basic accommodation and daily lunch provided

  • Living expenses (based on time commitment to the role, skills and competancies)

    Application:

Please send your CV and a supporting statement of no more than 1 side of A4

Interviews will be held on a rolling basis, preferred start date w/c (to be negotiated) or ASAP .
