To support the Programme Finance Manager in running efficient and effective programme financial accounting, programme financial management and programme financial reporting processes in relation to AKF (UK)’s programmes and grants. To provide support to the full life cycle of grants: from donor concept notes/proposals to final reports. To maintain a close working relationship with AKF (UK) finance and programme teams and relevant staff from across the Aga Khan Development Network (AKDN) agencies and external donors as required.
4. KEY RESPONSIBILITIES AND CORE TECHNICAL COMPETENCIES
4.1 Programme financial planning, management and reporting
In close consultation with the programmes/partnerships team:
• Support the design and implementation of effective quality controls to ensure compliance with donor requirements and to maintain appropriate donor stewardship, including through manuals, checklists, templates, and other tools
• Monitor spending and activity implementation and ensure regular scheduling of grants management meetings, alerting the Programme Finance Manager and Programmes/Partnerships team about significant under or overspend on a timely basis
• Maintain internal tools that track active grants, cost recoveries and cash balances and ensure they are kept up-todate
• Maintain internal tools tracking pipeline and secured funding (Awards Information Management System -AIMS) and ensure they are kept up-to-date
• Prepare financial information for internal reporting purposes, including (but not limited to) the quarterly CEO report, monthly dashboard and quarterly cash balances (co-finance) report.
4.2 Grants management and compliance
• Maintain the grants management tracker so that grants are properly recorded and monitored, ensuring that input from the Programmes/Partnerships team and the Programme Finance Manager are incorporated on a timely basis
• Undertake administrative tasks related to grants, including setting up of grant codes (pipeline and secured), collecting and forwarding information to different units and executing follow up tasks as required
• Review budgets for concepts/proposals, ensuring the inclusion of AKF(UK) costs, make recommendations for improvements and liaise with the programme/partnerships team and field units to ensure these are complete, accurate, consistent with the narrative, compliant with donor requirements, and correctly formatted for presentation to donors
• Support the preparation, review and submission process for donor financial (and narrative as relevant, e.g. ECHO) reports to ensure compliance with donor requirements; ensure reports are produced on time to a high standard and are consistent with the narrative
• Ensure timely submission of cash requests as required by donor contracts and internal sub-grant agreements
• Prepare donor and internal sub-grant agreements with AKDN agencies, field units, and implementing partners, including (but not limited to) those with co-financing
• Ensure that donor and AKDN rules are being adhered to regarding procurement, accounting, project expenditure, and implementation of activities through regular reporting, engagement with the field, and remote spot checks
• Carry out monitoring visits and audits on specific projects as necessary
• Assist in the preparation, support, and follow up of internal or external grant audits and expenditure verifications of AKDN field units, including direct liaison with auditors as required, and ensure that management (programmes and finance) is apprised, including through maintaining and updating the audit and disallowance summary
• Develop and deliver relevant training and reference material on grants management, including procurement, donor regulations, IATI, finance and reporting for Programme, Finance, and other field-based staff; act as a resource for agencies/field units on donor regulations and compliance
• Ensure all AKF (UK) direct grants are reflected on the IATI system, and update the required information on a quarterly basis
4.3 Audit, internal controls and risk
• Contribute on programme finance to all audits and statutory compliance in line with UK and AKF/AKDN regulations and compliance requirements
• In collaboration with field units, prepare due diligence assessments for potential new partners or donors and ensure these are refreshed periodically
• Troubleshoot financial, donor compliance and procurement-related queries identified through monitoring grants or as raised by management or field units
Carry out any other duties as assigned by the Programme Finance Manager or the Head of Finance and Operations. The role will involve travel to countries in which we operate grants. Normally this could be 2 – 3 trips per year.

The Programme Manager role will be crucial to the success and development of the charity. The Sustainability Manager is an exciting new role for ShelterBox and will be responsible for supporting the implementation of our environmental strategy. This will be a collaborative role working across teams and the sector to research, assess and implement initiatives that will see a reduction in our environmental impact. Who are we looking for?
ShelterBox is seeking a bright, motivated, and proactive individual with great collaboration skills. They must have experience of having implemented a sustainability strategy or having been part of a team in a larger organisation that has done so. Sector experience is not essential but experience from an organisation involved in product sales and freight in an international context would be important.
This role cannot succeed on its own and will be dependent on colleagues throughout the organisation to research and implement changes to working practice. The candidate will need to work alongside teams in the organisation and be their sustainability trusted advisor. This role is therefore a truly collaborative role, and it will be essential that the candidate can build effective cross org relationships to support and influence colleagues. The successful candidate will engage with colleagues across the business, international partners, the wider INGO sector, and the commercial sector, to identify, research and implement new or enhanced shelter offerings with a lower environmental impact or introducing new or amended ways of working that would lead to the same outcomes. This role will need to consider, and carefully balance the environmental imperative with social, economic, and humanitarian needs.
Providing tools, data, and frameworks to support our programme managers project design decision making, will be an essential part of this role. The candidate will therefore also need to be willing to research, analyse and present research data. The successful candidate will have developed an emissions inventory before and be familiar with carbon accounting principles, or be willing to learn, as they will also be responsible for maintaining the charity’s emissions reporting.
The candidate has to be comfortable working across, and regularly switching between, a wide range of levels from the strategic, to the operational and rolling up sleeves to work with detailed reporting data.
They will be able to demonstrate experience in a similar environmental sustainability role, preferably but not essentially, within the INGO sector, with significant management experience and proven knowledge of driving sustainability.

Project and Finance Manager
The Hanns Seidel Foundation is a German publicly funded political foundation with its headquarters in Munich and offices around the world. The London office was established in 2019 and its main activities are international conferences, smaller panel-discussions/ roundtables, and high-level delegation visits primarily in the UK. The focus of the Foundation’s work is in key political areas such as bilateral UK-German relations and Europe, security and defence issues, the economy, and devolution/federalism where it often cooperates with renowned partner organisations. We are looking to hire a project and finance manager at the earliest possible date to work as an essential part of our small dynamic office who will support the UK director in carrying out projects&activities, running the London office and who will be responsible for accurate accounting presentable to both German and UK authorities. - Maintaining contact management systems and monitoring and evaluation data, drafting reports, newsletters, and mailing lists
Office and Finance management
- Financial administration of projects and London office including budget planning in close coordination with the Foundation’s Headquarters in Munich
- Liaise with UK authorities, auditors, cooperation partners und legal counsel regarding finance, tax and legal matters
- Scan and file all relevant documents/receipts, carrying out regular data back-ups
- Assist director in administration of London office, incl. procurement of office supplies and liaising with external service providers
- Maintain London office inbox and liaise with Foundation’s headquarters regarding IT matters
Bookkeeping
- Collate, process & pay all invoices in a timely manner and manage the Foundation’s bank account
- Verify and collate receipts for the Foundation’s credit card expenditure and reconcile them with card statement
- Ensure accurate accounting for all events and activities, including checking receipts
- Bookkeeping in multi-currencies (GBP&Euro) in both UK accounting format and the foundation’s own accounts system (training will be provided)
- Prepare monthly and annual UK accounts up to trial balance, incl. accruals, prepayments, etc.
About you
- Relevant degree/qualification (Master or equivalent years of experience) in social sciences, finance management, business administration or similar
- 2-3 years of project/event/financial management experience primarily in the UK
- Native or near-native English skills, at least basic German (intermediate/advanced desirable)
- Excellent MS Office and Adobe Acrobat skills, proficient in Windows apps as well as proven experience with accounting software (e.g. Xero)
- Be familiar with current PAYE, pension regulations, HMRC, and Companies House.
- A great self-starter who is not afraid to take the initiative and to solve arising problems
- Ability to work collaboratively in a small team, responding flexibly to changing demands of the role, and adapting quickly to new and complex systems and software
- Strong attention to detail, carrying out tasks diligently to ensure accurate accounting
- Excellent social and interpersonal skills
- Prepared to undertake short work trips to Europe once or twice a year
