Events Administrator

We are seeking an organised, dynamic, and flexible administrator to support our extensive events calendar. This includes large assemblies, forums, and training sessions. The post-holder will maintain accurate attendance records on the database and maintain membership details. They will collaborate closely with staff across teams to ensure that all aspects of organising events are covered from the planning to evaluation stage.

The successful candidate will be very IT savvy with high levels of literacy. They will have solid experience of providing effective administrative support to a range of people and functions within an organisation, as well as experience of planning and administering a range of training activities and network meetings. Our staff are expected to have a positive influence on culture and values within the organisation and reflect those positive values externally with stakeholders.

The Healthy Ageing Project will address specific challenges within the community, while actively promoting healthy ageing in practical and effective ways across our network.

We will focus on the strengths and expertise of our member groups to promote engagement with Ireland's unique music, dance, sport, language and culture.

We will work together with our members throughout this three-year journey. Together, we will develop, launch and promote a project geared towards improving health and wellbeing, reducing health inequality and providing strategic direction for national health programmes and policy recommendations for the Irish community.

This post is part time (17.5 hours per week) and will be based in the North of England, Liverpool, Leeds, Manchester etc.

About the role  

Smart Works are looking to appoint a HR Advisor to join our People team at a time of significant growth for the organisation. Working closely with the existing team of two, the HR Advisor will play a crucial role in developing the centralisation of the function for all 11 centres across the UK.

Duties and responsibilities

• Manage the HR Inbox, advising managers and staff on terms and conditions of employment and legislation relevant to specific policies and procedures.

• Lead user of the ATS system, oversee the recruitment process, posting job adverts, scheduling interviews, drafting letters and contracts.

Groundswell Community Connector (Luton) – Job Description

Groundswell Project is seeking to recruit community connectors to work on a Big Lottery funded project called ‘Together we are’. LGBTQ+ Heritage Project Worker

Responsible to: Communications and Engagement Manager

Q:alliance provides support, information and representation for the LGBTQ+ people who live, work and play in Milton Keynes and Bedford. We have detailed knowledge of the issues and challenges that organisations and individuals face locally. It’s our goal to create more safe spaces and resources to ensure the LGBTQ+ community is well represented and supported.

This exciting new role will help deliver the directives of a history and heritage project funded by the Heritage Lottery. The project will support the erudition of LGBTQ+ heritage in Milton Keynes, advancing local communities’ understanding of Milton Keynes’ LGBTQ+ history and inspiring a commitment to encapsulating, celebrating, and feeling connected through shared heritage. This post will be key to extending our reach into seldom asked communities, as well as securing relationships with founding community members. This role will support our Communications and Engagement Manager to develop safer spaces for LGBTQ+ local communities through collaboration with partner agencies and delivery of LGBTQ+ cultural competency training to a range of stakeholders involved in the wider project.

You will work cross-departmentally and participate in effective monitoring systems to ensure robust reporting.

• Project Development - Develop and implement the directives of the funded project, supporting key partners in their collaboration with Q:alliance. Communicate project aims with communities and stakeholders and establish meaningful engagement in the concept of encapsulating heritage and celebrating differing LGBTQ+ identities in Milton Keynes. Support the gathering of audio histories and the collection and succession of community artefacts through the archive. Evaluate and analyse impact.

• E-book creation – Support the Communications and Engagement Manager on the development of an E-book to capture the outputs of the project, including key heritage findings and personal stories.

• Event coordination – Plan, organise and support the delivery of history clubs in line with the project plan, ensuring accessibility for a wide range of invested community members. Support the curation of associated exhibition events.

• Stakeholder and community engagement – Work with the Communications and Engagement Manager to plan engagement and outreach activities in line with the directives of the funded project. Forge and support enduring relationships with key partners, strengthening our commitment to building an alliance of cross-sector compassionate advocates for the LGBTQ+ community in its diverse forms.

• Training – Support the development and delivery of LGBTQ+ cultural competency training to a range of stakeholders involved in the project.

Bexley Food Alliance Project Coordinator

The Bexley Food Alliance is a new network which was funded by the GLA to work towards taking pressure off the emergency food aid services and providing increased financial support to Bexley residents. This network has now expanded and aims to build a collaborative network of agencies that can increase fairer access to healthy, nutritious and culturally appropriate food, as well as any additional support residents might need. We are looking for a Project Coordinator to take over the day-to-day running of this network (see below for a brief description). You will work closely with the VCS within Bexley to build the capacity and capabilities of local groups, provide partnership/networking opportunities that enable them to carry out their own objectives effectively and offer high quality services.

You will work flexibly, applying initiative to provide consistent and seamless support to organisations.  You will support across a variety of charity development but focus on food partnerships and wraparound support to provide more holistic support.

Key Duties:

• Build and promote positive working relationships between VCS groups and organisations, statutory partners, commissioners and funders.
• Work with a wide range of delivery partners and other key stakeholders to maximise the use of community resources and ensure opportunities are maximised.
• Undertake community and outreach work – particularly to parts of the borough where the VCS voice is less heard.
• Encourage and support groups to seek funding from a range of sources including contracts and grants and provide the necessary support.
• Use our database to keep well maintained records of support given, funding achieved as a result of our support, case studies and outcomes, brief summary reports for monitoring and development purposes.
• To continuously engage in a mapping process, highlighting existing providers and supporting the start-up of new services.
• To organise and facilitate network meetings bringing organisations together to tackle food poverty and offer increased support with additional needs such as financial, physical and mental health wellbeing.
• To build relationships with various organisations, offering diverse support to increase collaboration, new offers and increased support.
• To work closely with the Local Authority to support policy change.
• To build relationships and network outside of the borough to bring in good practice and successful initiatives.
• To attend any relevant training and/or workshops that support the development of the network.
• To increase knowledge and understanding of food poverty and the cost-of-living crisis in general as well as grants and funding opportunities.
• Attend staff meetings, and training as required.
• Identify, report, and monitor any safeguarding concerns in accordance with the latest local procedures relating to the appropriate service.
• To support and work closely with all the teams within BVSC.
•  To comply with, and share responsibility for ensuring the implementation of, BVSC policies and procedures and key legislation such as GDPR and Safeguarding.
• Undertake any other duties that may reasonably be assigned from time to time including travel throughout the borough to attend events, occasionally on evenings/weekends, meet with volunteers and organisations.

These are the normal duties which are required of the position; however, we do require that all staff be flexible and may be required to perform other duties to ensure the efficient running of services. 

Please note that the base for this role is split between the Engine House, Bexley, and Bexley Civic Offices. In addition, the post will involve occasional working from various venues across the borough.

An average day as Bexley Food Alliance Project Coordinator is below. Your Line Manager will support your development throughout the process.

• Continue to develop relationships with the voluntary sector and local organisations to find out more about what services they currently offer, if they have scope/capacity to expand their offer and what support they might need.
• Encourage and support collaborative projects between organisations within Bexley.
• Research and keep up to date with current developments, grants and opportunities for voluntary organisations and charities relevant to Bexley.
•  Network with various organisations offering support, learning opportunities and guidance in running the network.
• Continue to work on an agenda for regular, local networking sessions which you would facilitate (with support if needed).
•  Engage with and attend all relevant training offered by GLA as part of the Food Roots 2 Programme as well as any other relevant training.
• Familiarise yourself with services in Bexley and the current needs of local residents and the voluntary sector.

Job Purpose: To develop and manage, to a high standard, Age UK Bromley & Greenwich’s Information and Advice Service. To be responsible for the effective delivery of the I&A Service which will be delivered through a range of channels, including face to face, telephone, email, digital, and other means, across the Bromley and Greenwich boroughs.

Key Responsibilities:

Line management and supervision

• Provide line management and supervision to advisers and support staff.
• Supervising team advice sessions and casework
• Manage the practicalities of the advice session and ensure adequate staffing and resources.
• Undertake monthly supervision with individual team members and annual appraisal.
• Ensure referrals are actioned and clients are supported in a timely manner.
• Develop team competence in key advice areas. (Benefits, Housing,  Social care)
• Provide technical support to advisers and identify areas of further development for individuals and the team.

Support learning and development

• Support the team to embrace continuous learning and development and provide timely feedback on cases reviewed.
• Make recommendations for staff training and development areas of need.

Staff recruitment and development

• Create a positive working environment in which equality and diversity are well-managed, dignity at work is upheld and everyone can do their best.
• Participate in recruitment and selection activities as delegated.
• Undertake new  staff induction.
• Ensure the team receive appropriate support, supervision and appraisal and have opportunities for continuous learning and development.

Quality assurance and reporting

• Undertake Independent File Reviews ( IFR) and monitor the quality  to meet quality standards and service level agreements
• Maintain and develop  QAS/ AQS standards incl. renewal process.
• Ensure remedial and developmental issues are identified and acted on to develop individuals, improve the quality of advice, and ensure clients do not suffer detriment due to poor or inadequate advice.
• Keep technical knowledge up to date and provide technical support to advisers.
• Maintain a case load as demonstration of ongoing personal development and learning.
• Undertake advice work as required e.g. during staff absences.
• Provide statistical reports on outputs and outcomes as required by funders and management
• Review and implement outcome measures for the work of the I&A team, including an annual survey of clients.

Partnership working and development

• To manage networking/ liaison with other local key stakeholders and organisations and feed into wider local engagement and community development work.
• Develop effective partner relationships with referral agencies across  both boroughs, and to refer/ signpost cases to external agencies as appropriate.
• Represent the organisation at outreach and community events as required, continuing to raise the organisational profile and develop wider awareness of our services.
• Work with colleagues to develop marketing materials, give talks and presentations, identify outreach opportunities .
