About the role

This role is pivotal in contributing to the overall mission of RFUK to protect rainforests and support Indigenous Peoples and local communities.

The Programme Support Officer will play a crucial role in ensuring sound management of specific projects in line with strategy, agreed budgets, log frames, work plans and procedures and ensuring compliance with donor requirements. This position involves a wide range of responsibilities, including monitoring project implementation and documentation, as well as ensuring timely and accurate reporting to donors in collaboration with team members and partners.

This is a full-time (35 hours per week) fixed-term role for 12 months, with the possibility of extension. The post can be based fully remotely in France or offered as a hybrid role from our London office, with at least 1 day per week in the office. About you

You are a highly motivated and detail-oriented professional with a background in project management, preferably in the NGO or international development sector. Background

Freshwater Habitats Trust (FHT) is the UK’s leading conservation charity concerned with the protection of freshwater habitats. We are a friendly, evidence-based organisation that works to protect UK and European freshwater wildlife through practical and innovative nature conservation projects. Our organisation is well respected nationally and internationally, and we work with a network of statutory, NGO and private partners both in the UK and the rest of Europe. Freshwater Habitats Trust was originally founded in 1988 (as Pond Conservation) and has a substantial track-record of originating new ideas through research in freshwater biodiversity conservation to inform and drive our practical conservation and policy work.

FHT has a central office in Oxford, and regional hubs in the north of England and the New Forest and out-posted staff in Cornwall and Wales. We run a range of practical projects throughout the Midlands and work with partners on research and policy projects throughout the UK and internationally. Since 2017 we have seconded staff to the Newt Conservation Partnership (NCP), a new community-benefit society established by NatureSpace, Amphibian and Reptile Conservation (ARC) and FHT, to create and manage habitats for the NatureSpace District Licensing scheme for great crested newts.

Oxfordshire and Buckinghamshire are key areas for Freshwater Habitats Trust’s work. Building on the Trust’s historic work in the county and starting in 2021, Oxfordshire was the first region where we began the implementation of the organisation’s new strategic approach to freshwater conservation, the Freshwater Network. The Freshwater Network is the network of high quality freshwater and wetland habitats, and terrestrial habitats generating clean water across the landscape, that together support our most important freshwater wildlife.

Role

This is a strategically important role within the organisation, offering substantial responsibility and an opportunity for the successful candidate to play a leading role in delivering one of the UK's most ambitious freshwater restoration programmes.

The role will primarily focus on the Ock and Thame Farmers: Floodplains and Freshwaters Project, Ock and Thame Farmers: Freshwaters and Floodplain Restoration, one of Defra's pilot Landscape Recovery projects. Having recently completed its two-year development phase, the project is now entering a critical stage of assurance and negotiations with Defra ahead of implementation.

Key areas of work will include ongoing engagement with land managers, supporting informed decision-making and participation, supporting the establishment of governance and legal structures required for delivery, developing agreements and ecosystem service contracts, undertaking land assessments, and refining habitat designs where required. The project currently involves more than 80 land managers across approximately 7,100 hectares of land in Oxfordshire and Buckinghamshire.

In addition to the Landscape Recovery project, the role will involve managing a portfolio of smaller projects across the region. This will include supporting staff delivering catchment monitoring programmes and helping to develop a pipeline of habitat creation and Natural Flood Management opportunities.

You will be responsible for the day-to-day management and coordination of project delivery, working closely with the Programme Manager, Finance Manager, Senior Management Team, project partners, consultants, contractors, and participating land managers.

Key responsibilities

Project management:

· Responsible for work planning, defining tasks and allocating resources.

· Resource, manage and support the project team.

· Responsible for the projects’ budgeting and financial management including: (i) regular reporting to the Project Director and Regional Programme Manager; and (ii) implementation of all financial processes for the projects including regular claiming and reporting funder.

· Responsible for all contract and logistics management

· Responsible for ensuring health and safety procedures are followed, implemented and reported on.

· Track and monitor project progress.

· Present to stakeholders, as required.

· Implement and manage change when necessary to meet project outputs.

· Update all internal management information data systems

Project communications:

· Working with the Freshwater Habitats Trust Communications Team to deliver the communication plans for the projects.

Project development:

· Working with other members of Freshwater Habitats Trust staff and landowner networks to develop future projects to continue our work on the Freshwater Network in the region.

In the longer term there will be opportunities to influence the development of the Freshwater Network concept as it builds and develops in Oxfordshire, Buckinghamshire and adjacent counties.

Additional general responsibilities for the post holder

· Help to build a positive relationship between Freshwater Habitats Trust and its partners.

· Understand and follow Freshwater Habitats Trust’s internal procedures including Health and Safety, information management systems, site protocols etc.

· Work closely and constructively with your manager and colleagues in all areas of your responsibility.

· Undertake other duties as the Senior Management Team may from time to time require.

Knowledge and experience

· Degree or equivalent in a relevant subject (at least a 2:1)

· Full current driving licence

· Proven project and budget management skills

· Proven experience of managing multi-partner projects in the field of practical habitat creation and management, including on the ground delivery to deliver practical conservation outcomes

· Experience of staff management

· Good knowledge of restoration ecology for both freshwater and wetland habitats

· Experience of contractor management

· Knowledge of land management stakeholders and policy

· Computer literate: Word and Excel are essential, GIS is desirable

· Proven ability to communicate effectively with a range of stakeholders, including landowners and the public

The Service Delivery team provides tools and services that increase peoples’ ability to understand, measure and act upon experiences of care in order to improve its quality. Safe Haven Sussex CIC is a non-profit community interest company providing accommodation and support for vulnerable adults who have been homeless or vulnerably housed. The Seagull Project is a medium-support service providing housing for up to 40 residents across 7 properties in Brighton and Hove. The Seagull Project takes a harm-reduction approach, supporting individuals with a range of complex and multiple support needs, which may include the active use of substances.

The Seagull Project Manager will be responsible for overseeing the delivery of the service and manage a team of Support Coordinators, ensuring a high standard of person-centred and trauma informed support is consistently provided to residents. In addition, the Project Manager will be responsible for supporting the team to manage risk, enabling residents to live safely and are supported to work toward their goals. A comprehensive understanding of safeguarding procedures and risk management is necessary for this role.

Job Type: Full-time, 1 year contract with possibility of extension.
Schedule: Monday - Friday (9am-5pm).
A full driving licence, use of a vehicle and business insurance is essential for the role.

Responsibilities:

• Oversee the referrals and assessments process, working closely with Brighton and Hove City Council.

Parallel is a small charitable initiative with big ambitions. Our mission is to increase the number and diversity of excellent young mathematicians. We are a Good Thinking project (registered Charity Number: 1147404).

Founded in 2023 by Simon Singh MBE and Dr Junaid Mubeen, our online Parallel Academy supports highly capable students to excel in maths, by providing them with structured programmes that develop their reasoning and problem-solving skills beyond the curriculum.  We currently support more than 10,000 students through the Academy, around 1000 of whom receive highly targeted support through weekly, small-group online tutorials.

We are at an exciting phase in our journey, with plans to expand tutoring to 5000 students over the next four years. Our students are motivated and ambitious. Our maths programme takes place outside of school hours, yet students have an average attendance above 95%. All of our work takes place online and is subject to safeguarding and data protection policies that are reviewed periodically to reflect up-to-date best practice.

The purpose of this role
 

We are seeking an experienced Head of Operations to join and help lead our committed and energetic team. This role is pivotal to achieving Parallel’s growth ambitions while maintaining the quality of service we are renowned for. As a senior leader, you will be a lynch pin of our core team and will make a real difference to the life prospects of thousands of young students. 

On a practical level, you will coordinate and drive our core programmes, with oversight and accountability for their smooth, day-to-day delivery. You will also line-manage two full-time administrators (this may increase as the team expands), overseeing and supporting their work across communications, data and operational delivery.

We have established several processes and tools for delivering our programme effectively and the ideal candidate will have a sharp eye for process improvement and opportunity. You will need to understand and consolidate our current best practices, but also identify ones that need to be adapted or enhanced as we look to scale up. 

This role is offered initially as a fixed-term contract for 12 months, though we have every intention to extend the position longer term should the appointment prove successful. 

A note on working hours
 

This is a fully-remote role. As part of your contracted hours you will be required to regularly do some work during evenings and weekends (approx 5-8 hours a week). You may occasionally need to step in at short notice, outside of standard working hours, to support and resolve urgent operational issues.

There will also be periods when there is a higher workload (e.g., during student admissions cycles), so you may be required to offer some flexibility in working longer  - and then shorter - hours week to week. Time off in-lieu is provided for additional hours worked. 

In general, you will have significant autonomy in how you structure your working week, provided you ensure that our core operational needs are covered within the whole team.

Key responsibilities

Working for Parallel is challenging and rewarding in equal parts. On a typical day you will be fielding queries from parents, managing the logistics of 200+ tutorials a week and ensuring tutors are fully supported. We are a dynamic team that readily adapts to new situations and relishes the challenge of working through problems together. 

As part of your key responsibilities you will:
 

• Oversee the smooth day-to-day running of our Tutorial and Webinar Programmes, ensuring that sessions proceed as planned, and that any issues - from tutor cover needs to student absence requests - are swiftly and effectively addressed.

• Coordinate key aspects of our start and end-of-term administration, including payments, parent and student communications, website setup, spreadsheets and logistics.

• Oversee the admin team’s responsiveness to our high-volume shared inboxes, responding to the most sensitive student and parent queries and acting as a point of escalation where needed.

• Manage a small but growing admin team, providing regular guidance, support, and feedback.

• Play a key role in overseeing our student admissions cycles, from planning to testing, setup, delivery and communication of decisions.

• Make everyday operational decisions independently, exercising good judgement in when to bring issues to senior management.

• Work effectively with data (e.g. student learning data) - as managed through our central directories - and use it to guide decision-making and to support the effective running of our programmes. 

• Review our policies on an ongoing basis, ensuring that we are complying with our safeguarding and data protection obligations at all times and that our policies are built for scale.

• Support with schools outreach initiatives.

• Develop and document key administrative procedures (an ever-evolving ‘Operations Handbook’) to ensure that we have reliability and stability across all programmes.

• Help to shape and build on our ethos of high expectations, which translates into concrete policies regarding attendance, homework, participation and criteria for both admitting and removing students from our Tutorial Programme.

We are seeking a proactive, organised and relationship-focused Community & Volunteer Events Coordinator to lead the coordination and delivery of community projects, family activities and volunteer engagement opportunities across Camden and Islington.

This is a hands-on operational role focused on strengthening community connections, increasing family engagement and supporting inclusive, welcoming activities for families accessing our services.

The postholder will coordinate a varied programme of projects, groups and events while building positive relationships with community partners, venues and local stakeholders. We’re looking for a Programme Manager to apply project management methodologies to our Dogs Trust Ireland transformation programme, which will involve migrating a legacy customer relationship management (CRM) system to Salesforce.

What does this role do?
As IT Programme Manager (Dogs Trust Ireland CRM Delivery), you will:

• apply standardised project management lifecycles, methodologies and governance to all activity in the Dogs Trust Ireland transformation programme, ensuring all work is aligned with wider programme objectives,
• work with key stakeholders to define and document the project scope, objectives and outcomes, and then deliver organisational change and embed new ways of working,

4. Scope of Work and Key Responsibilities

Programme Coordination and Partner Management

• Maintain regular communication with implementing partners across multiple countries
• Coordinate programme activities to ensure timely and effective delivery
• Support negotiation and alignment with field teams and partners on implementation priorities
• Build and maintain strong working relationships with partners and stakeholders

Proposal Development, Business Development and Donor Engagement

• Lead the development of project proposals, concept notes, and budgets
• Contribute to business development efforts, including drafting marketing materials and supporting donor engagement
• Develop marketing and programme-related materials to support fundraising and visibility
• Build and maintain relationships with donors and external stakeholders

Programme Monitoring, Reporting and Compliance

• Review narrative and financial reports from partners for quality and accuracy
• Track programme deliverables, milestones, and deadlines across projects
• Maintain programme trackers, dashboards, and internal monitoring tools
• Liaise with Monitoring and Evaluation (M&E) teams to support programme tracking and learning

Financial Coordination

Design, Communications and Knowledge Products

• Develop visual and written materials including presentations, one-pagers, capability statements, and reports
• Support media and communications outputs using design tools such as Canva and Adobe Creative Suite
• Contribute to internal and external communications materials to enhance programme visibility
• Support media-related activities, including content development and basic media training where required

Capacity Building and Team Support

• Provide training and guidance to implementing partners on project requirements and standard operating procedures (SOPs)
• Develop and refine internal documents such as SOPs and guidance materials
• Support onboarding, training, and supervision of interns
• Provide support to colleagues across programme activities as required

Systems, Learning and Operational Support

• Maintain and update programme databases and information systems
• Support feedback collection processes, including surveys and learning inputs
• Contribute to problem-solving and continuous improvement across programmes
• Participate in calls across multiple time zones and undertake occasional travel as required

Procurement and supply chain support

• Support review of procurement requests, specifications, delivery schedules, and procurement documentation for completeness before onward processing.
• Track status of procurement packages, purchase actions, vendor communications, and delivery milestones and flag bottlenecks for management attention.
• Coordinate with the Operations and Logistics Officer in the field on shipment status, local sourcing issues, warehousing constraints, and asset receipt confirmation.

Operational risk management

• Identify operational bottlenecks relating to procurement timing, delivery sequencing, documentation gaps, or service support readiness.
• Provide timely updates to the Programmes Manager on issues requiring escalation or re-prioritisation.

5. Qualifications and Experience

• Degree or equivalent experience in international development, humanitarian studies, or a related field
• Minimum of 3 years of relevant experience in programme coordination, project management, or humanitarian/development settings
• Proven experience in proposal development, including budget preparation
• Strong experience working with implementing partners and managing multi-country programmes
• Experience reviewing narrative and financial reports and ensuring donor compliance
• Familiarity with working alongside finance and monitoring and evaluation (M&E) teams

6. Core Competencies

• Strong organisational and coordination skills with the ability to manage multiple priorities
• Excellent written and verbal communication skills, with fluency in English required; Arabic is desirable
• Strong analytical and problem-solving abilities
• Experience developing presentations, reports, and programme materials
