About the role

As our Senior Finance & Operations Officer, you will be at the heart of our organisation’s success. Working closely with the Director, Finance and Operations, you will help to manage financial processes, streamline operations, and ensure both our UK and EU teams are properly resourced to drive our mission forward. You will interact daily with a broad range of stakeholders in the UK and the EU including senior level staff, external consultants and suppliers in the while also working closely with Finance, HR & IT colleagues in the US.

Key responsibilities

Financial Management (30%)

• Support on day-to-day financial activities including financial reporting, accounts payable and accounts receivable.
• Develop and implement best practices to optimise operational efficiency and effectiveness.
• Collaborate with the team to develop and monitor project budgets.
• Support decision-making through insightful financial analysis.

Operational Support (40%)

• Be the first point of contact for all enquiries from the campaigns and fundraising teams in the UK and EU.

Contracts Lifecycle Management (30%)

• Oversee the lifecycle of all supplier contracts: creation, submission and signing. (Legal contract knowledge is not required.)

You will be a dynamic individual with a can-do attitude who has a proven track record of juggling competing priorities and meeting deadlines in a fast-paced environment.  The role is varied and has a significant financial element so strong numeracy skills, a solid knowledge of financial management principles paired with good communications skills are important. The Role

This role will ensure the organisation is following robust financial systems and processes; carry out all day-to-day accounting tasks; and ensure timely production of financial information to inform management decisions. Most tasks can be done from home, however some tasks such as banking and petty cash reconciliation will require you to attend our offices. Once the initial training is complete you will be able to arrange your own hours, to be worked Monday to Friday.

This role is for a fixed period of 12 months, to cover maternity leave.

About You

A proven track record of relevant financial administration experience is essential and competence in the use of Xero accounting software, Excel and other MS packages such as word and Outlook is essential. The successful candidate will be a qualified Accountant with a track record of working at a similar level within the Charity space. You will be as comfortable leading strategic discussions as you are handling numbers and explaining financial information to a non-finance audience.

My client works on a flexible hybrid model, with 1 day a week in their central Bath office. This role has been assessed as inside of IR35.

This new role will work across varied charity management projects to help set up a new UK office for a fast growing medical INGO that has already treated over 13 million patients across Africa!

It will include leading on a broad range of projects that support the set up and management of the UK registered office and will require working autonomously while being part of an experienced and supportive team. Role Context

ALIMA UK is in its start-up phase and is made up of a small team. This period is exciting at times unpredictable.  We need someone reliable who enjoys and has a proven track record of leading and delivering on operational projects for a business or charity while working with senior stakeholders. They should be a highly organised self-starter who is able to work autonomously and lead on projects as well as a great team player.

The role is varied and has a significant financial element, so strong numerical skills and good written communication skills are both important as well as a flexible, responsible approach. Ideally they will also have experience of, and good knowledge of, the charity sector in the UK.

This role is posted as a one year contract as the needs of the business are changing as the organisation develops. At the end of the year the needs of ALIMA will be reviewed and there may be scope to further shape the role, depending on the needs of the business and funding available at the time.

RESPONSIBILITIES

ORGANISATIONAL DEVELOPMENT

• Driving and implementing a varied range of projects that support the smooth set-up of the UK charity, in collaboration with the UK Head of Development 
• Virtual Office Management, including organising cloud based filing systems, managing resources including IT, coordinating information collection 

 FINANCIAL MANAGEMENT

• Working with the Head of Development & Chair to create and develop new financial management systems for the charity
• Ongoing management of the financial systems of the charity including bookkeeping, invoice management and basic reporting
• Working with colleagues to produce financial reports for the Board, donors and others on request

EVENT & PROGRAMME CO-ORDINATION 

• Coordination of small events
• Organising and coordinating staff and trustee visits to the UK and overseas 

SUPPORTING SENIOR STAKEHOLDERS 

• Organise UK board meetings including booking venues, finalising and circulating papers, minute taking
• Copywriting

Skills, Experience & Knowledge

• Experience working for a UK-based charity in an administrative, executive support, finance, fundraising or project management role 
• Strong project management skills: a track record of successfully driving small to medium-sized projects
• Strong numerical skills, including experience reporting on or managing budgets, producing management accounts or equivalent
• Excellent verbal and written English language skills

Key Purpose:

Contribute to the coordination of assured services at RABI and support with the administration of the Service Delivery Team liaising with key stakeholders.

Key Responsibilities:

• Manage the administration of the weekly grant process, collating relevant paperwork and creating purchase orders and reconciling invoices where appropriate.
• Manage the audit process of the weekly grants.
• Weekly monitoring of Staysafe Activity.
• Weekly monitoring of Service Delivery attendance at events.
• Monthly collation of Service Delivery statistics

You will be reporting to the Head of Management Accounts and will be office based twice a week.

Some of your main duties are:

• Developing budgets for concept notes and proposals.
• Ensuring financial requirements for grants are managed properly by all involved in approved grants.
