Charity Trustee

You and Me Counselling are currently recruiting volunteer trustees to complement the committee members already in their role.

This is a home working role and will be for immediate start.

Our charity

You and Me Counselling is a charitable organisation established in 2011. We are a counselling and psychotherapy service based in Hornchurch, Essex that works with children, young people, adults, and their families in the boroughs of Havering, Barking & Dagenham, Redbridge, and Waltham Forest. Our counsellors and therapists work both within schools and from our counselling rooms located in Hornchurch and Ilford.

You and Me Counselling are an organisational member of the British Association for Counselling & Psychotherapy (BACP). This means we are fully governed by the BACP’s Ethical Framework for the Counselling Professions.

Job Description

As a trustee you will need to:

• Acknowledge emails at least once a day.
• Give a minimum of one hour per week to the role.
• Attend quarterly trustee meetings online.
• Ensure that You and Me Counselling pursues its stated objectives
• Ensure there is regular review of changes that might affect the organisation (political, financial, demographic, etc.)
• Ensure that the charity complies with charity law, company law and any other relevant legislation or regulations.
• Monitor finance to ensure that the charity applies its resources exclusively for its charitable objectives.
• Uphold the good name and values of You and Me Counselling.
• Ensure the effective and efficient administration of the organisation, including having appropriate policies and procedures in place.
• Ensure the financial stability of the organisation.
• Supervise, support and appraise the chief executive officer.
• Hold the chief executive officer to account for the management and administration of the charity.
• Ensure that the organisation acts in accordance with employment law and exercises a duty of care to its employees.
• Identify major risks to the organisation and put systems in place to mitigate or minimise the risks.
• Ensure that the organisation has a governance structure that is appropriate to a charity of its size/complexity, stage of development, and its charitable objectives
• Regularly review your own training needs and create an expectation of continuous professional development throughout the organisation.
• Ensure that trustees have an agreed code of conduct and comply with it, and that there are mechanisms for the removal of trustees who do not abide by the principles stated therein.

The ideal candidate would have one of more of the following:

• Experience in law and governance
• Experience in charity fundraising
• Knowledge of counselling or psychotherapy (as a therapist or client)
• Experience in accounting or financial management
• A parent of a young person who has experience of mental health issues

Description

You'll be raising awareness, & improving understanding of sight loss through delivering RNIB’s Awareness to Action sessions in your local community. Through these engaging sessions, you'll inspire participants to make small changes to their behaviour that make a massive difference in the day-to-day lives of people with sight loss. As a Community Change Champion, this will involve:

• Talking directly with community leaders, businesses, & local groups about ways they can get involved & inviting them to join an Awareness to Action session.
• Delivering RNIB’s Awareness to Action sessions either in person or online, using our resources. You may do this on your own or with a team of other local volunteers, both sighted and with sight loss.
• Sharing RNIB’s information & initiatives so people know we’re here for them.
• If you have a personal link to sight loss, sharing your experience during the session to help give a tangible example of how local people can make a real difference.
• Telling us about any activities you have engaged in via a Microsoft form.

Overall Purpose of Role

• To ensure on behalf of the Board that Plateful Cafe’s assets are properly managed, only used for approved purposes, and applied as effectively as possible
• Oversee the financial affairs of the organisation and ensure they are legal, constitutional and within accepted accounting practice

Main Responsibilities

• Share the responsibility of jointly reporting the financial position (balance sheet, cash flow, fundraising performance etc).
• Oversee the production of necessary financial reports/returns, accounts and audits and the production of an annual budget and propose its adoption at the last meeting of the previous financial year.
• To ensure that proper accounts and records are kept and that Plateful Cafe meets its legal obligations in respect of its financial affairs and financial reporting
• To ensure that Plateful Cafe’s financial resources are spent in line with good governance and legal and regulatory requirements
• To be jointly instrumental in the development and implementation of Plateful Cafe's financial policies
• To supervise and assist Finance assistants

Main Tasks
- Liaising with the appropriate member(s) of volunteers responsible for Plateful Cafe’s
financial activities and financial record-keeping
- Make members aware of their financial obligations and take a lead in interpreting
financial data to them.
- Monitoring that financial systems and controls are in place and adhered to
- Assist the fundraising team and team with Funding applications with the finance
questions
- Assist with preparing budgets and other financial information for funding bids
- Assist volunteers with the preparation of financial reports for funders
- Acting as a financial spokesperson for Plateful Cafe as appropriate
- Ensure proper records are kept and that effective financial procedures and controls
are in place, ie:

• Cheque signatories
• Purchasing limits
• Purchasing systems
• Petty cash/ float
• Others as appropriate

- Appraising the financial viability of plans, proposals and feasibility studies.

- Lead on appointing and liaising with auditors/an independent examiner.

- Undertake bookkeeping duties and/or oversee the finance volunteer ensuring posting
and bookkeeping is kept up-to-date.

- Maintain the petty cash system and regularly process petty cash claims.

- Regularly carry out reconciliations/ oversee regular reconciliations by the finance
volunteer.

- Arrange payments to creditors as appropriate and arrange appropriate signatures on
payments.

- Make the necessary arrangements to collect payments from debtors and bank
payments promptly.

Qualities
 Knowledge and experience of current and fundraising finance practice relevant to
voluntary and community organisations.
 Knowledge of bookkeeping and financial management (as necessary).
 Good financial analysis skills.
 Ability to communicate clearly
 Previous usage of Free Agent system preferable
 Attention to details
 Preferable previous experience on payroll
 Experience on preparing budget
