Receptionist Administrator Volunteer Roles

Can you help with providing a welcoming reception service to visitors and callers to Age UK BRWF's Windsor Street (Bromsgrove) office?

Age UK Bromsgrove, Redditch & Wyre Forest is seeking the support of friendly and organised volunteers at its Windsor Street office to: 

• Meet and greet visitors to the office
• Answer the telephone (referring to the appropriate person or taking messages)
• Support members of the team with simple administration tasks (e.g. booking appointments, photocopying, preparing post for mailing, updating databases etc.)
• Have an understanding of the services and support provided by Age UK BRWF and convey this in a positive manner when speaking to people

Personal qualities and experience most suited to this role:

• Friendly and approachable, with good interpersonal and communication skills
• Patient and flexible
• Experience of answering Telephones and using IT
• Able to use their initiative and also be part of a team
• Understands the need for confidentiality
• Willingness to undertake training and work within Age UK BRWF’s guidelines and policies (including Data Protection)

How much time is involved? 

• Regular commitment of 3 hours a week (10am-1pm, Monday – Thursday)

We are looking for volunteer receptionists to help meet and greet visitors (including children, families, supporters and external guests) at Claire House Liverpool (based in West Derby).

Tasks will include:

• Monitoring the door and using the phone to let visitors into the site
• Accepting deliveries
• Answering queries
• Signing visitors in using the guest book
• Providing refreshments (e.g. making them a cup of tea/coffee)
• Re-stocking refreshments
• Clearing away equipment after use (e.g. placing used mugs in the dishwasher, wiping down surfaces)
• When required, picking up deliveries and supplies such as milk, pre-ordered lunches etc.
• Assisting staff in setting up and preparing rooms/equipment
• If suitable, supporting teams with admin tasks

You’ll help to make sure every visitor receives the best welcome and experience possible.

We’re looking for someone who takes everything in their stride and is able to put others at ease. Volunteers should be friendly, personable and empathetic. Experience in reception, customer service and/or in a clinical environment would be helpful, but isn’t essential. Volunteers should be comfortable using IT (including operating our phone system).

This opportunity would be best suited to someone who is happy to be busy but also understands there may be quieter times. You should be flexible, adaptable to change and a good communicator. We’re looking for confident and reliable team player.

Time: Weekdays, 9am-5pm (flexible shifts available within these times). We’re particularly looking for volunteers available on Tuesdays.

We are looking for a friendly face to help staff the Yeldall Manor reception desk for a few hours each week.

The role entails being the first point of contact for telephone callers, visitors and residents, welcoming and redirecting their queries/calls as appropriate. You will be comfortable using a computer in order to send emails, access the diary and assist with basic admin tasks, although there may also be times with less to do.

The role includes a lot of client contact, so you will have daily contact with those men whom you are helping. They inspire and motivate us just as much as we seek to encourage and support them. As part of this, we ask that all our staff and volunteers help support the residents by interacting with them and encouraging them in their recovery and spiritual growth, and so ask that you will have a committed Christian faith yourself.

Yeldall Manor is set in the Berkshire countryside, about three miles from Twyford station. Lunch is provided with fellow staff and resident.

Hours: 4 hours per week, Monday – Saturday

As part of the Croydon Health and Wellbeing Space we are recruiting for volunteers who understand how connecting people to local services improves their mental health and wellbeing. You’ll be welcoming people into the space and helping to support people with mental health problems by signposting them to local organisations that meet their mental health and wellbeing needs.  

You’ll need to be able to establish good relationships with people from different backgrounds and have some understanding of mental health and what resources there are locally.

We’ll support and train you as one of our volunteers, which could be the first step of a new career in mental health.

We are looking for a Reception Volunteer to provide a friendly welcome to patients and guests when they arrive at the hospice, helping to create an enjoyable environment for everyone. We are currently looking for a volunteer to be on recpetion on Thursday evenings between 4:30pm-6:30pm.

The Women & Families Resource Centre (WFRC) is a registered charity based in Wolverhampton which supports, empowers and advocates for women and children. We aim to actively encourage women to be self-reliant, through empowering them to identify their own needs, make their own choices and create their own solutions.

We offer short term home visits, counselling sessions, practical & emotional One to One support, Domestic violence groups, Awareness raising workshops and drop in or chat groups to help women facing crises or challenging situations.

Purpose
The effective provision of a welcoming client administration service for WFRC.

Main Duties & Responsibilities

1. Reception

To welcome clients and other visitors in person or on the telephone.

To answer the telephone and pass on messages to other WFRC staff and volunteers as well as signpost to other organisations where appropriate.

2. To assist the Office Manager to make reservations for and be the first point of contact for WFRC’s Chat group, events & other activities. To keep a record of all interested clients and send out relevant literature.

3. To assist with the purchasing and control of domestic matters, stationery, kitchen supplies and office equipment as requested by the Office Manager.

4. To assist in general recruitment activities such as writing, placing and updating adverts and undertake administrative duties to support WFRC Services.

5. To take the post to the central post office at the end of each day.

You will support our Administrators and front line workers with a range of administrative functions to support them with their daily activities and workload. This will give you the opportunity to be involved with a variety of administrative duties including filing, writing notes and supporting the front line workers with the administrative preparations of their group delivery and updating of their client case notes.

This is a fantastic opportunity to use your organisational and administrative skills while gaining an understanding of the roles and support function of our front line services.

The volunteer role will be subject to prison vetting and security checks. This is in addition to what is required for community working.

Accountabilities 

Service Delivery – Client support tasks

· Support administrative staff and front line workers with data entry onto database system.

· Provide assistance at reception/in admin office answering and taking messages and transferring phone calls.

· To assist with filing and maintaining of administration records in an orderly user-friendly system. 

· Support front line staff with administrative paperwork required for group sessions or group meetings.

· To assist with minute taking.

· To maintain confidentiality and data protection principles, raising any issues with your line manager as appropriate.

Additional tasks

· Engage in support and supervision provided.

· To keep a good record of your work, including reporting verbally to their supervisor and completing relevant forms.

This may vary depending on your specific team and time commitment.

Expenses

• Travel expenses (within 20 miles of the service) 
• Up to £6.50 lunch expenses.
• Any additional expenses will need to be pre-agreed with placement supervisor.

Qualities

Administrative Support Volunteer

As an Administrative Support Volunteer, you will play an essential role in the team, complimenting the work of the London Hub and allowing Shelter clients to receive the support that they need. The opportunity will allow you to make a difference in your local community as well as gaining hands-on experience in one of the UK's leading housing charities.

Suggested Involvement: A suggested minimum commitment of one day per week for six months

Availability:  This volunteering opportunity will take place within our working hours, Monday-Friday, 10:00-17:00
