Role Summary:

The Fundraising Lead for Roots Academy Canada will be responsible for developing and executing fundraising strategies to support the expansion of Roots Academy’s programs.

This role is critical in ensuring that Roots Academy has the financial resources needed to deliver high-quality Islamic education to communities around the world.

The ideal candidate will be passionate about the mission of Roots Academy, skilled in engaging donors and securing funding through various channels, and able to build lasting relationships with key stakeholders.

Key Responsibilities:

Community Engagement:

• Develop and implement a dynamic fundraising plan that includes a variety of strategies tailored to Roots Academy’s target audiences, including university MSAs, mosques, and Islamic organisations.

• Identify and build partnerships with key community organisations, MSAs, and Islamic centres to create collaborative fundraising opportunities.

• Stay adaptable to emerging opportunities for funding, leveraging both traditional and innovative approaches to engage and attract potential donors.

Relationship Building:

• Actively engage with MSAs, Islamic centres, and community organisations to establish Roots Academy as a cause worth supporting and to cultivate long-term donor relationships.

• Collaborate with MSAs and community partners to organise local fundraising events, campaigns, and other initiatives that resonate with the community.

• Serve as a liaison between Roots Academy and these partner organisations to foster a spirit of collaboration and mutual support.

• Work closely with MSAs and community organisations to retain donors by creating meaningful engagement opportunities and maintaining a sense of involvement with Roots Academy’s mission.

Campaign Management:

• Lead and coordinate diverse fundraising campaigns, including online initiatives, MSA-driven campaigns, and in-person events like benefit dinners and community gatherings.

• Work with Roots Academy’s marketing team to create campaign materials and digital content, ensuring that each initiative is tailored to engage and inspire potential donors.

• Coordinate and oversee logistics for events, ensuring a smooth and impactful experience for all participants and maximising fundraising outcomes.

Tracking and Reporting:

• Maintain accurate records of fundraising activities, donor interactions, and campaign outcomes to ensure transparency and accountability.

• Provide regular reports to the leadership team on fundraising efforts, adapting strategies as needed based on campaign performance and community feedback.

• Use data to evaluate the effectiveness of different fundraising approaches, enabling continuous improvement in future efforts.

Skills and Qualifications:

• Fundraising Experience: Proven experience in developing and executing successful fundraising strategies, particularly for nonprofit organisations, educational initiatives, or Islamic institutions.

• Community-Oriented: A deep understanding of the Muslim community in Canada, especially in relation to university students and local mosques.

• Relationship Building: Proven experience in building and maintaining meaningful relationships with a wide variety of stakeholders.

• Project Management: Strong organisational skills with the ability to support program delivery efficiently.

• Communication: Excellent communication skills, with the ability to engage diverse audiences, from students to community leaders.

As a Graphic Designer, you will be instrumental in shaping the visual identity of Roots Academy Canada. From designing educational resources and social media assets to crafting digital campaigns and event materials, your work will ensure our content reflects ihsan (excellence), clarity, and spiritual depth. You will help bring Islamic learning to life through purposeful, polished, and impactful design.

Key tasks

• Design Development: Create visually compelling graphics for use across social media, email, web, presentations, and print

• Brand Consistency: Ensure all visual materials align with Roots Academy’s brand guidelines and Islamic values

• Content Support: Collaborate with the social media and education teams to translate ideas and scripts into polished, engaging visuals

• Campaign Assets: Support event and program launches by designing posters, promo kits, and other visual collateral

• Template Creation: Build easy-to-edit templates for internal teams to use (e.g., Canva or Google Slides)

• Revision & Feedback: Adapt designs based on team feedback while maintaining efficiency and quality

• Trend Awareness: Stay up to date on design and content trends, especially within the faith-based and youth development space

• Project Management: Maintain organized design files and deliver work in a timely manner

What we’re looking for

• Strong design portfolio demonstrating creativity, clarity, and alignment with brand guidelines

• Experience using tools like Canva, Adobe Illustrator, Photoshop, or Figma

• Attention to detail and a strong sense of layout, typography, and visual hierarchy

• Ability to take direction while contributing creative input

• A deep understanding of Islamic values and visual modesty in design

• Experience designing for social media platforms (Instagram, YouTube, TikTok)

The Event Lead will lead the strategy, design, and execution of all events, ensuring they align with the organization’s goals and deliver memorable experiences. This role oversees the end-to-end event planning process, including budgeting, logistics, vendor management, and team coordination. As the driving force behind the organization’s events, the Event Lead will ensure high standards of creativity, efficiency, and impact while fostering strong relationships with stakeholders, partners, and vendors.

Key Responsibilities:

• Strategic Event Planning:

  • Develop and implement a comprehensive event strategy that aligns with organizational goals and enhances brand visibility.

  • Identify event opportunities, including conferences, product launches, fundraisers, and internal engagements, to achieve strategic objectives.

• Event Design & Execution:

  • Lead the planning and execution of all events, ensuring seamless logistics, creative concepts, and high-quality delivery.

  • Collaborate with internal teams to ensure event themes, messaging, and objectives are aligned with organizational priorities.

• Budget Management:

  • Manage event budgets, ensuring cost efficiency without compromising quality.

  • Track expenses, negotiate vendor contracts, and identify opportunities for cost savings.

• Vendor & Stakeholder Management:

  • Build and maintain relationships with vendors, suppliers, venues, and partners to ensure successful event execution.

  • Negotiate contracts and manage vendor performance to meet quality standards and timelines.

• Team Leadership:

  • Lead, mentor, and develop the event planning team to achieve excellence in execution.

We are seeking a detail-oriented and proactive Email Marketing Officer to support the planning and delivery of email campaigns that engage and inspire our audience. You will be responsible for creating, scheduling, and optimising emails to strengthen communication with students, parents, and supporters. This is an exciting opportunity to shape the email marketing efforts of a growing international education platform.

Key tasks

• Design, build, and schedule email campaigns using email marketing tools.

• Manage audience segmentation and ensure email lists are accurate and up to date.

• Collaborate with copywriters and designers to deliver engaging, on-brand email content.

• Conduct A/B tests to improve open rates, click-through rates, and overall performance.

• Monitor and report on email campaign performance, suggesting improvements.

• Ensure all email content complies with data protection and GDPR guidelines.

• Some experience or training in email marketing platforms (such as Mailerlite or similar).

Are you looking for a pivotal role in a diverse, groundbreaking charity? Join Hidayah as our next treasurer on the Board of Trustees. 

Hidayah is a volunteer-led organisation supporting LGBTQ+ Muslims through community support, advocacy, education, and wellbeing initiatives.

The treasurer carries out Hidayah’s financial responsibilities, files reports, and presents regularly to the Board of Trustees. 

What do we specifically expect of this role?

• To take accountability for the bank account and to be an authorised signatory.

• To present financial updates at Trustee meetings and to devolve budgets where necessary.

• To ensure adherence to budgets.

• To present a predicted target and actual budget for the year.

• To work with the chair to give breakdowns of costings for fundraising bids and for events/activities/paid members of staff.

• To create the annual year-end financial report for the Charity Commission.

• To seek out revenue opportunities within the limits of Hidayah’s activities.

• To document how restricted and unrestricted funds are spent, including reports for grant funders.

• To approach organisations for donations and sponsorship opportunities.

• To increase revenue through public donations (online and actual) and to be proactive in doing this.

• To work with other Trustees to plan income-generating activities.

How much commitment is required?

This role requires a minimum commitment of 4–5 hours per week, with additional time required during busy periods or organisational activities. The following commitments are in place for all Hidayah Trustees:

• To be able to attend all Trustee meetings.

• To deliver a comprehensive report at each Board meeting with updates, completing actions in time;

• To aim to attend all other meetings as necessary, including the annual Strategy Day, annual General Meeting and (where geography permits) Hidayah events.

• To help to fundraise for and advertise any Hidayah events and fundraising drives.

• To be part of a communications group (via Discord) to keep up to date with Hidayah developments.

• To contribute to and to maintain the administration of our file-sharing system, Google Drive, so it is always up-to-date with clear records, templates, and forms.

• To check emails and to respond when needed.

• Line managing the finance assistant, including regular 121 meetings.

• Enthusiasm, dedication, responsiveness, flexibility, and eagerness in supporting the aims, vision, and mission of Hidayah.

• To contribute to the Charity Commission's annual report once a year.

• The role is subject to a 6-month probationary period.

• To read new Hidayah policies and initiatives.

• To read, understand, and agree with the constitution of Hidayah (available on the website).

What do we expect from a treasurer?

Please note that you must agree with and fit the essential criteria below to be eligible to volunteer in this role:

Knowledge & Experience:

• Educated to degree level or has experience which demonstrates equivalent analytical ability.

• Knowledge of quality assurance systems and their benefits for the voluntary sector.

• Knowledge of good governance procedures for the voluntary sector.

• Experience of budget management, preferably in the charity sector, but applicable to other sectors.

• High level of numeracy and close attention to detail.

• Basic AAT (Association of Accounting Technicians) experience is desirable but not essential.

Skills & Attributes

• Ability or willingness to learn line managing, developing, coaching, and motivating volunteers.

• Working and influencing at both a strategic and operational level, ensuring excellent working relationships with trustees and volunteers.

• A self-starter who can maintain their workload with minimal supervision.

• Friendliness, enthusiasm, dedication, responsiveness, flexibility, and eagerness in supporting the aims, vision, and mission of Hidayah.

The National Outreach Officer Trustee leads on developing and maintaining relationships with external stakeholders, community organisations, and outreach partners. • Act as a key point of contact between Hidayah and external organisations, community groups, and stakeholders.

• Coordinate and schedule onboarding sessions in collaboration with the People Lead
• Maintain accurate records by tracking volunteer training completion and participation
• Upload, organize, and manage personnel documentation within Roots’ Google Drive in accordance with confidentiality and data-handling standards
• Support volunteer engagement by planning and organizing logistics for volunteer appreciation events
• Assist with coordination, communication, and follow-up related to recognition initiatives

As the Fundraising Coordinator, you will be responsible for helping create and implementing strategies to fundraise from both existing and new sources (individuals, mosques, grants etc.) with the aim of securing the long-term financial stability of Roots Academy.

Key tasks

Fundraising Planning:

• Develop and execute comprehensive fundraising plans to achieve income goals.
• Identify potential new funding sources and opportunities for income generation.

Campaign Management:

• Plan and oversee fundraising campaigns and events, including direct appeals, online campaigns, and fundraising events at mosques.
• Coordinate with marketing and communications teams to develop compelling fundraising material.

Proposal Development:

• Research trusts, foundations and corporations for grant opportunities.
• Work with the team to develop proposals, supporting with grant writing when needed.

Budget Oversight:

• Work closely with the finance team to monitor fundraising budgets, expenditure, and financial projections.

Donor Relations:

• Support with Donor Communications in activities related to donor relationship management and stewardship.

• Strong understanding of fundraising principles and techniques, including donor cultivation

The chair of trustees provides strategic leadership to Hidayah, ensuring the organisation is well-governed, sustainable, and aligned with its mission and values.

Key Responsibilities

The chair will:

• Chair trustee board meetings and the AGM.
• Provide strategic leadership and oversee organisational development.

The Wellbeing Officer (Trustee) provides information, guidance and advice to volunteers and service users around topics such as mental health and wellbeing. Additionally, if service users or volunteers have any concerns, the best point of contact is the wellbeing officer.

What do we specifically expect of this role?

● Delivery of a plan to proactively assist officers and volunteers in public-facing roles, with tools and techniques to prevent or reduce any initial harm/trauma from purposeful or accidental harmful interactions - social media, live events, outreach, panel events, etc.

● Providing support for service users by way of triaging and responding to requests that come through to the wellbeing inbox. ● Building and maintaining wellbeing resources for service users and following a data-informed approach as to areas of wellbeing improvement. How much commitment is required?

We are flexible around your own schedule. However, the following commitments are in place for all member of the Hidayah board:

● To be able to attend all Trustee meetings and to deliver a comprehensive report to the committee each meeting with updates and to completed actions as and when they appear;

● To aim to attend all other planning meetings as necessary when close to Hidayah events as well as the events themselves (where possible due to geography);

● To help to fundraise for, and advertise, any Hidayah events and fundraising drives;

● To be part of a communications group to keep up to date with Hidayah developments;

● To contribute toward and to maintain the administration of our file sharing system ‘Google Drive’ so it is always up to date with clear records, templates and forms; 1

● To check emails and to respond when needed;
