Volunteer Trustee (Secretary Role)

Location: Kent- however this role can be done virtually.
Time Commitment: Around 3–5 hours per month
Reporting to: The Board of Trustees

About the Role:

We’re a charity supporting young people and families through grief, loss, and emotional wellbeing. As our Secretary, you’ll be the organised heartbeat of the board, keeping everything running smoothly, making sure meetings are well-structured, and helping us stay on top of our legal and admin responsibilities.

You don’t need to have charity admin experience — just good organisational skills, a bit of tech confidence, and a passion for helping young people heal and thrive.

Key Responsibilities:

 Meetings & Records

• Arrange trustee meetings (usually every 1–2 months) and make sure everyone has the agenda and papers in advance.

• Take clear minutes and track action points so nothing slips through the cracks.

• Keep an organised record of all meetings, decisions, and official documents.

Governance & Compliance

• Help ensure the charity meets its legal requirements with the Charity Commission.

• Maintain up-to-date trustee contact details and declarations of interest.

• Support the Chair and Treasurer with key governance documents like policies, annual returns, and reports.

 Communication & Coordination

• Be the main point of contact for trustee communication — keeping everyone in the loop.

• Help coordinate between trustees, volunteers, and partners.

• Make sure important dates, tasks, and documents are shared in good time.

What We’re Looking For:

• Super organised and reliable — someone who loves keeping things in order.

• Good written communication skills and attention to detail.

• Comfortable using email, Google Drive, Word, or similar tools.

• Friendly and collaborative, with a genuine passion for supporting young people and families through loss.

Commitment & Expenses:

• This is a voluntary trustee role. Reasonable out-of-pocket expenses (like travel or supplies) can be reimbursed.

• Trustees usually meet once every 1–2 months, with a few extra hours between meetings for admin or follow-ups.

• You will have the opportunity to be involved with community work, however this is not an expectation.

What is a Training Coordinator?

There are SSAFA branches throughout the UK and overseas. Each one has a Training Coordinator to make sure that all volunteers get all the training they need for their role and that training events are organised and run for the branch. This is a key role involving administration and coordinating people.

Why do we need you?

We’ve been supporting the Armed Forces community for more than 130 years. Our clients come from all backgrounds and age groups. To offer the best possible service to our clients SSAFA volunteers need training appropriate to their role. It’s important that we keep records of all the training completed by volunteers and provide local training to meet their needs, whilst also being interesting, fun and varied. We’d love to hear from you if think you could help with this important role.

When would you be needed and where would you be based?

As part of your local branch you might have access to an office, but many volunteers are based at home. The role would suit someone looking to offer a regular commitment to the branch but days and times could vary to suit you.

What would you be doing?

• Coordinating induction and training for new volunteers
• Completing the admin needed for new volunteer to attend local and national training
• Running interesting and relevant annual branch training days (minimum of one per year)
• Maintaining an accurate list of all volunteers and the dates when training was completed
• Working with the Regional Trainer, branch volunteers and the Learning and Development team to identify local training needs and arrange for the required courses to be delivered
• Supporting and encouraging any volunteers facing barriers to completing their training
• Providing reports to the local SSAFA branch and to SSAFA’s Central Office
• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer or fundraiser
• Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

What are we looking for?

• Friendly and approachable people, possibly with some experience of teaching/training and admin
• Good written and spoken English
• Ability to be respectful and non-judgemental with clients, their family, other agencies and SSAFA colleagues
• Ability to send and receive emails – you will receive your own SSAFA email address
• Ability to encourage and motivate all volunteers to undertake training
• Willingness to use spreadsheets/records of volunteer training
• Reliable attitude, contact clients and volunteers promptly, keep appointments etc.
• Ability to maintain confidentiality and keep information safely
• Access to public transport or a car to travel to meetings, events etc.

Could you look after the finances for the local SSAFA service in your area? You don’t need a military background, just some basic I.T and finance skills. If so, this could be the role for you.

What is a Branch Treasurer?

There are SSAFA branches throughout the UK and overseas. These are divided into small local areas that we call divisions. Each branch has a treasurer overseeing the divisions that, in turn each have a treasurer of their own. This is a key role involving financial planning and financial administration.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles and fundraisers.

One of the key ways we help people is by tapping into various sources of funding on their behalf. Monitoring and reconciling this flow of funding into and out of SSAFA accounts is important to ensure clients receive timely support and we are able to account for all charitable funds in our care.

When would you be needed and where would you be based?

As part of your local branch, you might have access to an office, but many volunteers are based at home. This flexible role involves using our on-line financial management system and on-line bank accounts and so can be done when and where suits you best. You will need to attend a number of branch committee meetings each year.

What would you be doing?

· Maintaining and reconciling local bank accounts and recording transactions

· Supporting divisions to manage their local finances.

· Making and recording all authorised payments

· Preparing year end accounts and financial statements including arranging an independent review

· Working with the branch secretary, advise on a local fundraising programme to cover branch running costs.

· Identify and manage the return of any surplus monies from grants as appropriate.

· Providing reports to the branch committee and to SSAFA’s Central Office

· Maintaining accurate records using our on-line finance management system

· Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer, or fundraiser.

· Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

· Access to a range of e-learning courses

· Support from the Volunteer Support Manager and the Volunteer Support Team based at our central office.

· Reimbursement of out-of-pocket expenses

· Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

This is an opportunity to use your expertise and skills in website development and social media presentation to make a difference to the arts in Ukraine. Our charity is focused on projects within Ukraine to support the future of dance there. This volunteer role will play a key role in fundraising and communications in support of this work.

Responsibilities:

Website:

• Developing and maintaining website (currently Wix)
• SEO and analytics

 Social media:

• Technical support for development of presence on Instagram, Facebook
• Support for Fundraising and Communications Manager in development of presentation

Technical oversight:

• Ensure and advise on security
• Ensure data protection compliance
• Advise on development of technical support for administration of the charity

 Key Skills / Attributes:

• Strong interest in volunteering within the arts in the third sector
• Strong experience of website development and maintenance
• Knowledge of JavaScript, SQL useful
• Experience in use of social media for corporate communications

Likely to have had 3 years plus relevant professional experience supporting corporate communications or  marketing or similar disciplines.

A bit about this role:

As a charity we can help thousands of cats each year thanks to the generous donations from our supporters. Raising funds is a key role in our charity, helping to raise the vital funds needed to help more cats and kittens in need.

As a fundraising volunteer, we will support you every step of the way to ensure your time at Cats Protection is a positive and rewarding one. Whatever time you can give really does make a big difference We have lots of exciting activities to choose from for example attending a fundraising event, fundraising online, promoting fundraising activities on social media, handling administrative tasks, or contributing to the development of new fundraising ideas. Whatever your skill set, this role could be perfect for you!

What can you expect to be doing?

As a flexible role, you have the choice to be involved in the following:

• face-to-face fundraising – organising or helping with fundraising events, attending supermarket collections and monitoring collection boxes.
• online fundraising – assisting with online appeals, increasing social media engagement to maximise funds raised.
• bringing new ideas! We always love to come up with new ideas to raise funds for cats and we’d love to help bring yours to life.
• engaging with your local branch and Fundraising Hub and feeling like an integral part of the team.

Support, guidance and keeping you safe

At Cats Protection we believe our volunteers should be happy and confident in their roles. We provide support and guidance from our National Cat Centre and through our regional and local volunteer groups and teams. We offer engaging online and face-to-face training, expenses and have policies and processes to help volunteers get the most out of their time with us.

The well being of our people is important and at Cats Protection we are committed to safeguarding children, adults at risk and all those that we encounter as part of our activities.

Could you help to raise vital funds for SSAFA in your local area? You don’t need a military background, just the ability to get on with all kinds of people, some basic I.T skills and good written and spoken English. If you already have some fundraising experience that would be great too but it’s not essential.

What is a Fundraising Coordinator?

As Fundraising Coordinator, you would work with your local SSAFA branch to develop a Fundraising Plan. You would be central to delivering this local plan to raise funds through a range of local sources including grants, trusts, appeals, collections, and events.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

There are SSAFA branches throughout the UK and overseas who support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

SSAFA branches rely on a regular charitable income to fund all the necessities behind our support for clients. This includes volunteer travel expenses, phone bills, publicity, and grants for clients in urgent needs. A varied programme of fundraising also keeps the SSAFA profile high in the local community. We’d love to hear from you if you could help by coordinating this vital aspect of your local SSAFA branch.

When would you be needed and where would you be based?

As part of your local branch, you might have access to an office, but many volunteers are based at home. You would also be out and about at events and meetings. This role would suit someone looking to give a regular time commitment to SSAFA although when and where would be flexible to suit you.

What would you be doing?

• Developing an ethical fundraising plan based on the needs of the branch and choosing a mix of sources.
• Working with the branch secretary and Regional Fundraising Manager, recruit a team of fundraising volunteers to support events, appeals and collections.
• Working with the Regional Fundraising Manager, support national fundraising campaigns.
• Working with the Branch Publicity Officer, develop opportunities to combine awareness and fundraising.
• Planning and running local appeals, collections, and events
• Identifying and submitting applications to appropriate trusts and grant funding organisations
• Working with Marketing staff at central office check that all fundraising materials meet SSAFA branding style and current key messages.
• Liaise with Regional Fundraising Manager when pursuing opportunities beyond local sources e.g., corporates.
• Evaluate fundraising activities and provide reports and information for the branch.
• Being a positive ambassador for SSAFA including all sections of the community in awareness raising
• Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

What training and support would you receive?

• Mandatory on-line training modules to complete at home, so you are up to date on how to keep clients, their families safe and personal information safe.
• Role specific training to prepare you for your voluntary role - Fundraising workshops. 
• Access to a range of e-learning courses, fundraising guidance, and marketing materials
• Fundraising Manager (per region)
• Fundraising and Marketing teams based at our central office.
• Reimbursement of out-of-pocket expenses
• Volunteers will be covered by SSAFAs Public Liability Insurance whilst carrying out the role.

What are we looking for?

• Friendly and approachable people with good communication skills including written and spoken English.
• Confident to deal with the public, potential clients, volunteers, other agencies and SSAFA colleagues – face-to-face, by phone, email or via social media.
• Experience of running events and or submitting funding applications would be welcome but not essential.
• Ability to send and receive emails – you will receive your own SSAFA email address.
• Ability to make enquires about fundraising opportunities by phone, email, letter or by filling in forms
• Reliable attitude, keep appointments, update the branch regarding your availability.
• Ability to maintain confidentiality and keep information safely.
• Access to public transport or a car to get to meetings and events.
