The role of Volunteer Clerk

The Clerk attends board meetings, provides effective administrative support to the Council, ensures the Council is properly constituted, and manages information and document control effectively in accordance with legal requirements. This is a flexible role which for the most part can fit around the existing commitments of a volunteer.

Make a difference to the lives of cats and kittens in York and surrounding areas as an adoption coordinator. 

Role overview:​

As the adoption coordinator, you will oversee the rehoming process for cats in our care. This role is essential in matching cats with suitable adoptive families, ensuring a smooth transition from foster homes to permanent residences. You will work closely with fosters, adopters, the Trustees and the Home Visit Co-ordinator to facilitate successful adoptions that benefit both the cats and their new families.

Key responsibilities:​​

• ​Adoption management: Oversee the adoption process from home visit stage to adoption day, including participating in screening potential adopters, facilitating home visits, coordinating meet and greets and providing after care support. 

• ​Communication: Act as the primary point of liaison between prospective adopters and foster carers, providing information about available cats and addressing any questions or concerns with the aim of facilitating a smooth running adoption process. We use Facebook messenger and email as primary forms of communication so access to these is essential.

• ​Matchmaking:  Assess the needs and preferences of both cats and adopters to ensure the best possible matches for long-term success.

• ​Record keeping: Maintain accurate and organised records of adoption applications, follow-ups, and outcomes to track the progress of each adoption.

• ​Support and guidence: Provide resources and support to adopters on cat care, behaviour, and integration into their new homes to facilitate successful adoption. 

• ​Post-adoption support: Facilitate after care support for adopters and ensure the conditions of adoption agreements are upheld- for example sending out neutering reminders when adopted kittens are old enough  and sign adoptions off once fully complete. 

What we’re looking for:​

• Passion for animal welfare and a strong commitment to helping cats in need.

• ​Excellent communication and interpersonal skills.

• ​Strong organisational skills and attention to detail.

• ​Ability to handle cats safely and compassionately.

• ​Proficiency in basic computer skills with experience in using Microsoft Word, Teams, Excel and Docusign.

• ​Previous experience in animal rescue is preferred but not essential.

Role Overview
We are seeking a proactive and experienced volunteer to take on the role of Senior Human Resources Manager. This is a remote, volunteer position with the option to attend our office, located in Hackney, London, for those who prefer occasional in-person meetings. Key Responsibilities

1. Strategic HR Leadership

   • Develop and implement HR strategies that align with Children With Voices’ mission and values.

2. Recruitment and Onboarding

   • Oversee and lead the recruitment process, ensuring the organisation attracts and retains talented individuals who are passionate about our cause.

   • Manage onboarding procedures for new staff and volunteers to ensure a smooth integration into the organisation.

3. Employee Relations and Compliance

   • Provide expert advice on employee relations matters, ensuring fairness and compliance with UK employment law.

   • Offer guidance on disciplinary and grievance procedures and ensure that these processes are conducted fairly and in accordance with best practice.

   • Develop, implement, and maintain HR policies and procedures to ensure consistency and fairness across the organisation.

4. Training and Development

   • Identify opportunities for training and development that will enhance the skills of both staff and volunteers.

   • Promote continuous professional development and support leadership initiatives.

   • Ensure that staff and volunteers have access to the necessary tools and resources to succeed in their roles.

5. Wellbeing and Staff Engagement

   • Lead initiatives to promote the wellbeing and mental health of all staff and volunteers.

   • Develop and implement staff engagement programmes to foster a motivated, satisfied, and high-performing workforce.

6. HR Operations and Administration

   • Oversee the day-to-day HR administration, including maintaining accurate records, supporting payroll processing (where relevant), and ensuring that employee benefits are effectively managed.

   • Develop HR reports and provide insights to support decision-making.

   • Ensure all HR activities are managed efficiently and with the highest level of confidentiality.

Key Requirements

• Experience:

  • Proven experience in HR management, with a strong understanding of employment law and best practices.

  • Experience in managing employee relations, performance management, recruitment, and organisational development.

  • Experience working with senior teams to implement HR strategies.

• Skills:

  • Strong leadership and communication skills, with the ability to work collaboratively and provide strategic guidance.

  • High organisational skills and the ability to manage multiple priorities in a remote working environment.

Role Summary.

We are seeking a dedicated Technical Support Specialist to serve as the first point of contact for our application users, including students, instructors, and administrators. This role involves resolving technical issues, supporting user onboarding, and developing helpful resources and documentation. You will collaborate with our digital and product teams to ensure a seamless and stable user experience.

Key tasks

• Serve as the primary point of contact for application users, addressing technical issues and inquiries across various channels including email, chat, and support ticketing systems.

• Diagnose and resolve user interface (UI) issues specifically related to the student application.

• Develop and maintain comprehensive documentation of frequently asked questions and common technical issues to enhance self-service options and improve overall support efficiency.

• Effectively escalate complex or unresolved technical problems to the digital team.

• Provide support for new users onboarding onto instructor and administrator portals, including user training sessions and the creation of helpful support materials like how-to guides and instructional videos.

• Collaborate closely with the product development team to thoroughly test new features and updates prior to their public release, ensuring stability and user-friendliness.

• Demonstrated commitment to Roots Academy’s mission and eagerness to contribute.

• Proven experience in a technical support, help desk, or similar client-facing role, preferably within a software or education technology environment.

• Strong problem-solving abilities with a methodical approach to diagnosing and resolving technical issues, particularly related to user interfaces.

• Excellent written and verbal communication skills, with the ability to explain technical concepts clearly and empathetically to non-technical users.

• Familiarity with support ticketing systems and knowledge base management.

• Ability to work collaboratively with cross-functional teams.

• A proactive attitude towards identifying areas for improvement in support processes and user experience.

• Experience in creating user-friendly documentation, training materials, or video tutorials is desirable.

Role overview:​

As the Volunteer Foster Coordinator, you will play a vital role in managing our foster program for cats in our care. This position is essential for ensuring that our cats are placed in loving, temporary homes while they await adoption. You will collaborate closely with foster carers, potential adopters, and other volunteers to create a supportive environment that benefits both the cats and their fosters.

Key responsibilities:​​

• ​Foster management: Oversee the onboarding and ongoing support of foster carers.

• Communication: Serve as the primary point of contact for foster carers, addressing any questions or concerns and providing necessary updates. Communication will primarily occur through email and messaging platforms, access to facebook and Whatapp is essential.

• Training and support: Provide guidance and resources to foster carers on cat care, behaviour, and best practices to ensure the well-being of the cats in their care and ensuring our policies and procedures are upheld.

• Record keeping: Maintain organised and accurate records of foster placements, including intake forms, health updates, and feedback from foster homes.

• Coordination of resources: Ensure that foster homes have the necessary supplies (food, litter, etc.) and access to veterinary care as needed.

• Post-Foster follow-up: Check in with fosterers to gather feedback and facilitate any transitions to permanent homes, ensuring a smooth process for both the cats and their fosters.

What we’re looking for:​​

• Passion for animal welfare: A strong commitment to the well-being of cats and a desire to support their journey to permanent homes.

• Excellent communication skills: Ability to build rapport and communicate effectively with foster carers and the volunteer team.

• Organisational skills: Strong attention to detail and the ability to manage multiple foster placements simultaneously.

• Computer proficiency: Familiarity with Microsoft Word, Excel, and communication platforms such as email and social media.

• Previous experience in animal rescue: Preferred but not essential; a willingness to learn and grow in this role is important. It is essential, however, to have experience and knowledge of cat health and behaviour.

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising volunteers use their passion for cats and people to raise the vital funds needed to help more cats and kittens in need. As a fundraising volunteer we want to support you to fundraise in whatever way suits you best, whether that’s organising a fundraising event, fundraising online, promoting fundraising activities on social media, completing administration or supporting the development of new fundraising ideas! Whatever your skill set, this could be the role for you!

What we need from you

This is a really flexible role, you can choose what you’d like to get involved with, for example: 

• face-to-face fundraising. Organising or helping with fundraising events, running supermarket collections and fundraising stands, monitoring collection tins 

• online fundraising. Setting up online appeals and writing impactful cat case studies that maximise donations

• marketing. Spreading the word about our fundraising activities, for example on social media and with the local press  

• completing administration. Processing donations, sorting and recording donated goods, completing Gift Aid paperwork

● championing our work. Getting involved with developing new fundraising ideas and increasing community engagement

● photography. Capturing images of cats in care, cats we are helping, events and all things Cats Protection

Time expectation

This is a flexible role that can fit around your other commitments to suit you. You’ll be part of a team raising vital funds while having fun in the process!

Position Overview:
The Programme Specialist is critical in supporting the delivery of a high-impact employability and skills development programme. Working under the guidance of the Programme Lead, this position focuses on coordinating projects, managing participant engagement, and ensuring the smooth execution of training initiatives, mentorship activities, and job placement efforts. The Programme Specialist directly empowers individuals to achieve workforce readiness and sustainable employment.

Key Responsibilities:

1. Project Coordination:

   • Assist in managing day-to-day activities of the programme, including onboarding, skills assessments, and skills development of participants.

   • Track progress against programme milestones (e.g., participant enrollment and completion rates) and flag delays to the Programme Lead.

2. Participant Support:

   • Serve as a primary point of contact for participants, addressing inquiries and providing guidance on programme resources, training modules, and job search tools.

   • Maintain accurate participant records, including attendance, skill assessments, and post-program outcomes.

3. Stakeholder Engagement:

   • Support the Programme Lead in building relationships with internal stakeholders.

4. Data Management & Reporting:

   • Collect and analyse data on participant progress, employment outcomes, and programme effectiveness using CRM systems or databases.

   • Prepare regular reports for the Programme Lead to inform decision-making and demonstrate impact to funders/stakeholders.

5. Logistics & Compliance:

   • Manage programme materials, including training resources, digital platforms, and participant handbooks.

   • Ensure compliance with programme guidelines, confidentiality policies, and grant reporting requirements.

1. Continuous Improvement:

   • Gather feedback from participants and partners to identify opportunities to enhance programme delivery.

   • Support the implementation of new tools or processes to improve efficiency and participant satisfaction.

Required Qualifications:

• Education: Bachelor’s degree in Social Sciences, Education, Human Resources, or a related field.

• Experience:

  • 1–3 years in programme coordination, workforce development, adult education, or a similar role.

  • Experience working with diverse populations, including youth, underserved communities, or career changers.

• Skills:

  • Strong organisational and multitasking abilities, with attention to detail.

  • Proficiency in Google products (Forms, Sheets, Docs, Slides) and familiarity with CRM tools.

  • Excellent interpersonal and communication skills for engaging participants and stakeholders.

  • Basic data analysis and reporting capabilities.

The Professional Development Programme with Quilombo UK is a 16-week UNPAID opportunity that requires a minimum commitment of 12 hours per week, Monday to Friday.
