“Solta o Jogo” is a vibrant cultural competition and festival celebrating Brazilian heritage through Capoeira, music, dance, acrobatics, and a Brazilian arts & crafts fair. Hosted at Kingston University Townhouse, the event invites the community to participate in free performances, workshops, and exhibitions promoting cross-cultural understanding.

As part of this initiative, we are seeking a Personal Assistant to support daily coordination, scheduling, and communication tasks across departments. This remote volunteer opportunity is ideal for someone who is detail-oriented, proactive, and looking to gain experience in nonprofit administration while contributing to a meaningful community-driven programme. 

Position Overview:
The Personal Assistant will be responsible for organising meetings, managing calendars, supporting internal communications, and assisting in day-to-day administrative operations. This role plays a vital part in ensuring smooth coordination between teams, and offers autonomy, flexibility, and mentorship opportunities for someone looking to develop or apply their administrative and organisational skills in the Third Sector.

Key Responsibilities:

Administrative Support & Coordination:

• Manage meeting schedules, appointments, and internal calendars.

• Organise virtual events, staff briefings, and team check-ins.

• Support in planning and executing internal conferences or training sessions.

Data & System Management:

• Maintain and update internal databases and contact lists.

• Implement and uphold procedures and administrative systems.

General Administrative Tasks:

Required Qualifications:

Education:

• Prior experience as an administrative or personal assistant is an advantage.

Volunteer Trustee (Secretary Role)

About the Role:

We’re a charity supporting young people and families through grief, loss, and emotional wellbeing. As our Secretary, you’ll be the organised heartbeat of the board, keeping everything running smoothly, making sure meetings are well-structured, and helping us stay on top of our legal and admin responsibilities.

You don’t need to have charity admin experience — just good organisational skills, a bit of tech confidence, and a passion for helping young people heal and thrive.

Key Responsibilities:

 Meetings & Records

• Arrange trustee meetings (usually every 1–2 months) and make sure everyone has the agenda and papers in advance.

• Take clear minutes and track action points so nothing slips through the cracks.

• Keep an organised record of all meetings, decisions, and official documents.

Governance & Compliance

• Help ensure the charity meets its legal requirements with the Charity Commission.

• Maintain up-to-date trustee contact details and declarations of interest.

• Support the Chair and Treasurer with key governance documents like policies, annual returns, and reports.

 Communication & Coordination

• Be the main point of contact for trustee communication — keeping everyone in the loop.

• Help coordinate between trustees, volunteers, and partners.

• Make sure important dates, tasks, and documents are shared in good time.

Commitment & Expenses:

Purpose of role 

You will play a crucial role in supporting our Senior Hospital Services Partnerships & Outreach Executive with the administration and delivery of our Sunshine in Hospitals programme. From carrying out general administrative duties, liaising with medical professionals across our core hospitals, to supporting with the delivery of our diverse hospital programme, you will help create a positive and uplifting environment for young patients and their families currently undergoing medical treatment.  

Key Responsibilities: 

· General administrative duties, including sending out of promotional materials to hospitals, monitoring and responding to email enquiries from the hospital services inbox, and taking telephones calls.

• Supporting with the planning and delivery of activities at our Hospital Activity Days, such as arts and crafts, games, and storytelling sessions, tailored to the interests and abilities of the children. 

• Collaborate with hospital staff to ensure activities are safe and appropriate for the medical setting. 

• Assist in setting up and cleaning up activity areas before and after sessions. 

• Support with the delivery of our special projects (i.e. sensory bags, teddybear day, world book day, liquid to tablets initiative). Including and not limited to researching and sourcing products, dealing with suppliers and associated administrative duties.

• Support with the distribution and collection of feedback from medical teams and families taking part in any of our programmes.

What skills do I need to have? 

• Friendly, you'll be an ambassador of Rays of Sunshine whilst volunteering with us 

• Experience of working with children and young people (not essential but preferred) 

• Be comfortable interacting with others (especially children and young people) to create a relaxed and positive experience for them and their families 

• Creative and organised, with knowledge of using Microsoft programmes (such as powerpoint and excel)

• Ability to solve problems and manage unexpected situations/last minute requests with a calm and professional manner

This is an opportunity to use your expertise and skills in website development and social media presentation to make a difference to the arts in Ukraine. Our charity is focused on projects within Ukraine to support the future of dance there. This volunteer role will play a key role in fundraising and communications in support of this work.

Responsibilities:

Website:

• Developing and maintaining website (currently Wix)
• SEO and analytics

 Social media:

• Technical support for development of presence on Instagram, Facebook
• Support for Fundraising and Communications Manager in development of presentation

Technical oversight:

• Ensure and advise on security
• Ensure data protection compliance
• Advise on development of technical support for administration of the charity

 Key Skills / Attributes:

• Strong interest in volunteering within the arts in the third sector
• Strong experience of website development and maintenance
• Knowledge of JavaScript, SQL useful
• Experience in use of social media for corporate communications

Likely to have had 3 years plus relevant professional experience supporting corporate communications or  marketing or similar disciplines.
