About the Role
Reporting to our Operations Manager in the Investment Team this role plays an important part in supporting SIBs Investment Team in delivering funding programmes (grants and loans) to charities and social enterprises. As a member of the operations team the role will contribute to the efficient and effective running of the Investment Team.
The role holder will support the day-to-day delivery of funding programmes, including dealing with initial enquiries from our customers, providing support to our Relationship Managers (internal and external) throughout the customer journey, and providing administrative support to the team.
We are looking for someone who is eager to learn, organised, and has good attention to detail, excellent customer service skills and a desire to support our customers throughout their customer journey. We require someone who is able to manage a varied workload, and keen to contribute to the delivery of our funding programmes.
Key responsibilities
1. Manage relevant email inboxes and respond to enquiries using guidance notes and signposting queries where relevant.
2. Generate, check, validate and send offer documents to customers.
3. Carry out subsidy and due diligence checks and maintain accurate records.
4. Work with the Operations and Relationship Managers to check and authorise payment requests, ensuring all conditions have been satisfied (grants team only).
5. Set up customer monitoring records, send monitoring requests, complete monitoring records and close grant/ loan cases (as required).
6. Carry out audit sampling of grant/ loan cases (as required).
7. Respond to requests for information and produce regular management information reports for the team.
8. Prepare, review and format reports and papers, including for Grant Panels and Senior Management Team.
9. Be responsible for the minutes of Grant Committees, recording decisions taken, pursue actions and report on matters arising (grants team only).
10. Keep customer Salesforce details (e.g. contact details) and SharePoint files and folders (e.g. bank details, signatories, end of grant report tracking) up to date and accurate (as required).
11. Keep fund Salesforce (e.g. reports) and SharePoint files and folders (e.g. fund information, guidance docs) up to date and accurate.
12. Maintain administrative systems to support the on-going efficient and effective running of the team and ensure they are reviewed and updated if needed.
13. Provide administrative and other support to members of the team.
14. Support the operations team with the setup of new funds and the update of established fund policies, procedures and templates (as required).
15. Provide cover for the Operations Manager and the other Investment Team Assistant when they are on leave, and to provide cover for other operations team tasks as required.
16. Ensure that all work factors in customer needs and where possible improves the experience for them.
17. Work within the organisation's values, principles and processes to achieve operational excellence.

General Administrative Assistant
The successful candidate will work within the admin team closely supporting the training managers and coordinators to deliver high quality training. This will include general admin and reception tasks. Providing office cover including the monitoring of shared email accounts, electronic filing, and data collection as well as working closely with the training managers and coordinators to deliver high quality training. Focusing on our customers and promoting the growth of the training programme.
Key Responsibilities:
To support the delivery of the annual training programme of the BPF
- Assist in the receiving and responding to general enquiries, signposting to relevant TM & TC or to other BPF staff as appropriate.
- Assist in the formatting and distribution of annual programmes, handbooks and all training related documents as directed.
- Assist in the setting up of zoom and teams’ meetings.
- Work with the librarians and the admin team on gathering reading lists in a timely and productive manner.
- Collating feedback from trainees and seminar leaders for distribution as directed
- Assist in maintaining trainee records.
- Processing purchase orders and supporting claimants with queries.
Support the application process for the training programmes
- Answer queries and directing customers to information, events and advisors.
- Assist in processing training applications and enquiries. Gathering and collating information, e.g. chasing references, DBS checks, etc.

General support to the team and the wider organisation
- Checking shared email accounts such as the enquires and room bookings addresses.
- Making room bookings as requested.

Qualifications
- Good level of general education.
Experience
- Some experience in an administration role, preferably in a client/customer-facing training or education environment.

Knowledge, skills and abilities
- Excellent verbal and written communication skills, including the ability to compose communications to a wide range of professionals, and to take accurate minutes.

About you
You will have administrative support experience and previous PA/Secretariat experience, including responsibility for diary management for multiple principals concurrently. You will have a proven ability to work efficiently under pressure to meet deadlines and have excellent organizational skills.
Excellent communication skills (both written and oral) and proven experience of engaging with a wide range of people at all levels in a professional capacity are essential. Candidates must also demonstrate a high level of attention to detail and be comfortable working with various new IT systems and software.
Interest in sustainability, business, and/or finance, as well as knowledge of Salesforce or similar CRM systems and European languages other than English, would be an advantage.

Purpose of job:
Comic Relief are looking for a Production Assistant to join their Production Directorate of talented Storytellers, Producers and Creatives. Purpose of the Assistant Designer role:
The Assistant Designer will support the Exhibitions and Interpretation department to develop and deliver graphic design across the Museum, working closely with the Designer. They will design both permanent and temporary exhibition graphics, as well as designing wayfinding signage for the Museum sites and supporting wider Museum departments with design requests, such as events marketing materials.
The Assistant Designer will support the delivery of the Museum’s Midlands Development Programme, developing and delivering graphic design for exhibition updates and wayfinding graphics, as well as supporting co-creation activities with local communities.
Key responsibilities of our Assistant Designer include:
- Designing and managing production of exhibition graphics, wayfinding and signage at both Museum sites, including permanent and temporary exhibitions 3
- Supporting Museum departments with graphic design production as required, working closely with the Communications and Marketing, Retail, Learning and Engagement, Visitor Experience and Development teams
- Responding to graphic design helpdesk requests in a timely manner

Go-Forward Youth was founded by care leavers to provide support to care experienced young people as they transition to adulthood and independence. Main Tasks:
To support the Go-Forward Youth CEO in maintaining professional, robust, and efficient administrative systems and records for both Go-Forward Youth as follows:
1.Be the first point of contact for both entities and to manage the office email account and diary, drawing to CEO, Funding Manager or Chair of Trustees matters that they need to action, and ensuring that we respond in timely fashion to all external communications.
2. Administration of courses and programmes
a. Maintain lists of participants and volunteers, including attendance logs
b. Ensure that we maintain appropriate records for each – for identification and compliance, for communications, and for programme progress
c. Produce and distribute regular updates to both volunteers and programme participants
d. Liaise with Local Authorities (LAs) regarding the administrative aspects of developing Go-Forward Youth projects and programmes in other LA boroughs
e. Assist with recruitment and onboarding and on boarding of new staff.
f. Maintain risk assessment, safeguarding, fire safety and other records, making sure all policies are reviewed and updated yearly. Ensure that all staff and volunteers working with clients have been DBS checked (Enhanced).
3. Administration of grant applications
a. Support the Funding Manager by logging, recording and monitoring the progress of Go-Forward Youth grant and funding applications, along with report deadline.
b. Update the CEO and Trustees on in-progress funding applications and ensure action is taken and deadlines are met where necessary.
c. For grants won, ensure that reporting cycles are noted in the charity’s diary, and that the appropriate reports to funders get sent
4. Administration of Board and other internal compliance processes
a. Meet with the CEO weekly to review the overall performance and objectives of the charity.
b. Maintain systemised record keeping of invoices and receipts, to be stored securely and sent to the relevant key personnel.
c. Undertake any other administrative activity necessary to support the smooth running of the charity as instructed by the CEO.
d. Assist the Treasurer or Chair in the preparation, administration and submission of the annual accounts to the Charity Commission and Companies House in a timely manner.
e. Assist in the preparation of board meeting papers, including circulating meeting agendas and taking and distributing minutes of meetings as required.
f. Prepare and send out personalised birthday and celebration cards to young participants.
g. Look for opportunities to create, develop and streamline existing office systems.
h. Support the administration of the lived-experience-led Youth Advisory Board (YAB) and Own-It Alumni Network.
i. Maintain and develop clear and full electronic and physical filing systems.
j. Organise the logistics, catering and other event organisation for the quarterly Trustee meetings and other ad hoc meetings and events as appropriate.
