A bit about the role
Supporting the Advice Supervisor, giving a warm and friendly greet to visitors to our services, identify what help is needed, direct people to information and self-help resources, book appointments and take enquiries.
What happens at Citizens Advice West Sussex
Our ambition is to reduce health and social inequalities by empowering people through information, advice and advocacy. We help people with all sorts of problems, from employment rights to food vouchers.
We listen and take people through their options so they make informed choices and support them to get the help they need. We advocate for residents, giving them a voice to bring changes to policy, so no one has to face their problems alone.
What will I do
Welcome clients and other visitors to our services Identify what help is needed and if there are emergencies Directing leaflets, self- help materials and support clients to use our website pages Setting up new clients on our database and record client information, book client appointments Help the Supervisor with office tasks What skills do I need Be friendly and approachable Be open-minded and non-judgemental Be confident to work independently Have good IT skills ( Microsoft, database )
Where will I be
We have a number of vacancies on different days at our locations across Crawley, Haywards Heath, East Grinstead, Horsham, Shoreham and Worthing.
As well as at out growing community outreaches in each of those Districts and Boroughs.

What Training will be given?
Full and ongoing training is provided by our Training team and first class training portals. We will work with you to identify what your needs are.
Training can include customer service skills and how to use our database.

Volunteer Role: Reception and Meet & Greet
We were set up to transform the former Edward Hain hospital, in St Ives, Cornwall, into a community centre for health and wellbeing. The hospital was founded in 1920, with funds from the Cornish Hain Steamship Company. When it closed n 2021, our community, led by the hospital’s League of Friends, came together to save the building for the town. Now it brings together much needed health and wellbeing services, along with social, community and welfare support, all under one roof.
About the role
Can you commit to between 2 and 4 hours a week to help us run the Reception area at The Edward Hain Centre?
We are looking for volunteers to spend a short time each week helping in our Reception area. This role would particularly be of advantage to College leavers or those between employment positions looking to gain some experience and references for their CV and we welcome anyone with spare time who wants to give back to their community and make connections with new people.
What’s involved?
As the Edward Hain Centre grows we are getting busier! We need volunteers who can spend a short time each week supporting our Community Hub Officer (CHO) by manning our Reception desk. The people who use our Centre can expect a warm welcome and directions to the different areas of the building. We need help with small admin tasks like printing and folding leaflets and there will be opportunity (with training if needed) to create posters in Canva. We also need to gather feedback from our Users in the form of surveys or testimonials and answering our phone and taking messages is vital! Join us in creating a friendly and supportive space for everyone! Specific tasks include:
· Greet and assist Centre Users with warmth and respect and directing them around the building.
· Maintain a tidy and organised front desk
· Answer the phone and take messages
· Ensure visitors sign in (where applicable)
· Gather feedback from service users
· Some administration tasks

As a Front Desk Volunteer, you will be the welcoming face of Historic Croydon Airport, responsible for ensuring visitors have a smooth and enjoyable experience. You will manage visitor check-ins, handle donations, and support merchandising activities.
Responsibilities:
Reception Duties:

Visitor Reception:
-
Greet visitors warmly at the front door or Reception desk.

Check if visitors have pre-booked and verify booking details.
-
Keep the Reception Desk attended at all times.

Booking Management:
-
Obtain booking sheets from Graeme and update them throughout the day.

Set out and supervise the donation box.
-
Maintain a supply of hand sanitisers, leaflets, and other materials.
-
Re-stock leaflet holders in the Main Entrance lobby.

Visitor Handling Procedures: People with a Booking:
-
Check the Lead Name off the booking list and confirm the number of visitors in the group.
-
Request a donation of £8 per adult on entry, payable by cash, credit card, cheque (to Historic Croydon Airport Trust), or QR code.
-
Ensure the donation process is completed.
-
Inform visitors of the location of toilets and answer any questions.
-
Ask visitors to wait in the Waiting Area until their Guide collects them.
-
Manage additional visitors, ensuring tour groups do not exceed 12 people, including the Tour Guide.
People without a Booking:
-
Politely inform visitors that entry is by pre-booking online.
-
Check the booking list for vacant slots and inform visitors of available times and spaces.
-
Advise visitors to book and return at the specified time, noting they cannot wait inside AH.
-
Allow visitors to wait outside for potential "no-shows" if they wish.
-
Be polite, sympathetic, but firm if turning people away, and provide the date of the next Open Day and booking details.

Seek assistance from Graeme or Mike if needed.

Visitor Departure:

Thank visitors for coming and say goodbye.

Encourage visitors to review their experience on Tripadvisor (Croydon Airport Visitor Centre).
Merchandising Duties:

Merchandise Stall Management:
-
Set up and take down the HCAT Merchandise stall.
-
Retrieve and replace sale items from/to the cupboards under the model in Reception.

Run the merchandise stall, selling items to visitors.
-
Cash Handling:
-
Manage the float, monetary takings, cashing up, and recording total takings at the end of the day.
-
Ensure cash takings are not left unattended and hand them over to a Trustee at the end of the day.

Stock Monitoring:
-
Monitor stock levels and advise Jeff if stocks are running low.

Training: Volunteers will receive an induction, including a review of booking procedures, handling donations, and merchandise management. Ongoing training sessions and resources will be provided to support the role.
