What is the overall purpose of the role?

At Youth Action Alliance (YAA), our mission is to support the personal and social development (their values, beliefs, ideas and skills) of the young people living in Kensington and Chelsea, enabling them to increase their resilience and skills in the present and promote their ambitions for the future.

We are ambitious to grow, to continue supporting more young people and influence positive change. To do this we are looking to appoint a Business Support Officer to provide a range of financial support duties and administer the organisation’s general ledger and finance system.

This post will provide high-quality support to the technology and operations of the organisation, to ensure the smooth running of the main site and enable YAA to meet and deliver on its core objectives and obligations.

The post holder will provide administrative support to YAA, covering a wide range of tasks and activities including (but not limited to) procurement coordination, travel and logistics, department meetings and off-site activities, diary management, meeting coordination, and minute-taking for our board and meetings for staff, members and stakeholders. 

General Requirements

• To support the delivery of Youth Action Alliance
• To ensure a friendly, professional and informative service to all visitors and stakeholders, ensuring that any enquiries are responded to sensitively and appropriately
• To maintain a diary and manage all incoming calls and all correspondence
• To develop good working relationships across all YAA teams and external partners
• To attend and support meetings including minuting (including evening, weekend and events as/when required)
• To collate and maintain all documentation relating to the business
• To act as a point of contact to all Board of trustees, staff, participants and stakeholders
• To deal with supplier queries in a timely and professional manner and follow up on any rejected or unprocessed payments
• To manage office maintenance including ordering equipment, stationery and products needed for the day-to-day running of YAA
• To be the appointed Fire Marshall of YAA and oversee all Fire Safety duties and training
• To be the appointed First Aid Officer on-site and to ensure all members of staff are First Aid trained
• To oversee the Health and Safety of YAA and ensure all aspects are attended to in line with the YAA Health and safety Policy and PPE in line with COVID-19 guidance.

• To add participants, staff and registers of all projects to inhouse software and run reports from the system as/when required
• To coordinate and deliver inductions to new starters, ensuring all staff are DBS checked and all training certificates are updated as required
• To liaise with the CEO to ensure all staff, facilitator and contractors' contracts/SLAs are up-to-date 
• To process all organisational income and expenditure and maintain and update all financial documentation accurately
• To assist and support all staff with the smooth operation of all finance matters
• To provide accounts against budgets for the Board of Trustee meeting

Person Specification Essential

• A college equivalent qualification
• Experience in developing and implementing administrative systems

As one of our Grants & Services Officer, you will play a pivotal role in ensuring that grant applications are processed efficiently and applicants are dealt with holistically, compassionately and professionally.

 As we help record numbers of people, the successfully appointed Grants & Services Officer will be required to:

Deal with applicant enquiries

• Ensure a pleasant, helpful and empathetic welcome to applicants who contact the Charity by email, web form, written application or telephone.
• Provide guidance to applicants in relation to the Charity’s grants criteria, services and process, ensuring they understand how to apply and that their request fits within our criteria.
• ​Identify any potential safeguarding concerns at an early stage, escalating appropriately 

Process applications and referrals to services in a timely manner

• Verify that applicants are eligible beneficiaries and meet the Charity’s criteria.
• Prioritise any applications with particularly urgent requests

Provide guidance and information to applicants

• Provide clear guidance to applicants throughout the application process and respond to their queries quickly
• Inform applicants of other potential sources of help and support

Recommend appropriate grant decisions

• Prepare objective, non-judgemental reports for each case, with appropriate, clear recommendations in line with the Charity's grants criteria.

Key Responsibilities:

• Lead on the delivery of the partner relations strategy, working with our 40+ partners to effectively build long-term successful relationships. In collaboration with the CEO, you will support new and existing funders, in-kind supporters, partner charities, and Ambassadors, ensuring they feel valued, informed and connected to Martingale’s mission.
• Strengthen and deepen relationships with partners through a structured and personalised programme of engagement, recognition, and reporting, including invitations to events throughout the academic year.
• Oversight of all university partnerships, including reporting, communications, and course confirmations. This will include working closely with all Martingale staff for effective management of key partnership contacts across development offices, multiple departments, and doctoral programmes.
• Oversee the smooth running of Martingale’s governance bodies, building on the existing governance framework to ensure continuity across the different groups.
• Liaise with the team to maintain accurate records of both financial and in-kind contributions.
• Lead on the development and delivery of the annual impact report, alongside bespoke reports for funders as appropriate.

About the Role

The role of Database Officer sits in the Data, Evidence and Monitoring team, at the junction of frontline services, fundraising and the leadership team. In this role, you will be responsible for the day-to-day management of In-Form, our case management system for frontline services. In-Form represents a key data asset for the organisation so we are looking for someone who is responsible, conscientious and able to provide excellent customer service to other stakeholders who rely on In-Form. A strong interest in information management and databases is also essential for this role.

We would like to manage aspects of the development of In-Form in-house with limited recourse to the technical support team at In-Form. We recognise that this involves technical skills and will provide relevant on-the-job training to the successful candidate. We believe this job would be an ideal opportunity for someone who already has experience of using a case management system as a frontline worker in health/social care and now wants to move into data management, data protection and/or project monitoring and evaluation (M&E).

About Now Teach 

Now Teach is at a pivotal time in its strategic journey, following a hugely successful media and bridging fundraising campaign that has raised over £3m in new income for 2024-2026 and achieved 32 media mentions (15 national) and 2.5m PR views. We are now seeking to significantly grow our donor base and fundraised income and therefore are looking to recruit to this new role. We are seeking someone who can support the Director of Philanthropy and Communications to deliver our strategy to increase income through the recruitment of new donors and enable and deliver work with our current funders (primarily individuals and trusts). You’ll be the person to ensure they have an amazing experience as supporters of Now Teach.

Role overview 

This role will be varied and offer lots of opportunities to get stuck into managing relationships with high value donors. Both the CEO, and the Director of Fundraising and Communications will work to steward the relationships with our donors in person, while this role will lead on delivering high-quality preparation, proposals, reporting, and data management that underpin donor relationships. ABOUT YOU

Main Purpose of the Role

· Community & performance: Lead community management, monitor trends, gather analytics, and report on performance to help improve engagement.

· Collaboration & creativity: Work with colleagues to surface stories, create visual content, and contribute ideas for campaigns.

· Service support: Help services use social media safely and effectively through training, guidance, and managing access to accounts

Job purpose

1. Assist the management of Able Child’s brand and external communications, with high quality content.

2. Assist the management of Able Child’s portfolio of fundraising events.

4. Provide other support to the Fundraising and Communications Team as agreed, including supporting routine office operations.

Key accountabilities

Assist the management of Able Child’s brand and external communications, with high quality content.

1. Along with the team, manage Able Child’s social channels, working with external suppliers when applicable, to maintain a professional and engaging external brand.

2. Support the management of a vibrant and responsive website by ensuring content is up to date, professional and engaging; supporting the collection of imagery, videos, case studies and blogs where directed.

3. Produce and distribute Able Child’s quarterly newsletter, contributing with high quality written content and complying with organisational data protection and confidentiality standards.

Assist the management of Able Child’s portfolio of fundraising events.

4. Assist with the delivery of Able Child’s events portfolio when required. This includes but is not exclusive to the London Marathon, the Gala Dinner, the Children’s 10k walk and the Charity Golf Day.

5. Market the events, recruiting, retaining and communicating with participants to support the achievement of income targets.

6. Support with donor stewardship activities post event, engaging new regular donors and supporters to grow our incomes streams.

Assist the delivery of other fundraising work, including but not exclusive to Trusts & Foundations, individual giving and community fundraising.

7. Support the attainment of funds from a variety of Trusts and Foundations, through submitting high quality applications.

8. Support Able Child's individual giving programme, assisting with donor communications, building relationships with donors and growing our income.

9. Support community fundraising activities, empowering existing and newly sourced supporters to independently generate funds through independent events and activities.

Provide other support to the Fundraising and Communications and wider operational teams as agreed, including supporting routine office operations.

10. Maintain our Salesforce database, keeping detailed records of communications, support and donations from individuals and organisations.

11. Support our advocacy objectives, working with the Advocacy team to produce high quality and consistent messaging for use within the international development sector.

Competencies

Experience

1. At least one years’ experience in a fundraising, communications, marketing or sales support role or similar.

2. Experience of managing or supporting the management of events to, ideally including managing volunteers or supporters to raise funds.

3. Experience or knowledge of writing funding applications, ideally with a demonstrable track record of securing funds from Trusts and Foundations.

Skills and Technical Competencies

Job Title: Grants Support Executive

Working hours: This is a full-time post for 35 hours per week, on a permanent contract based at the Charity’s Office in Victoria, London. (The Charity currently operates a minimum of 2 days in the office).

We are seeking a Grants Support Executive to help deliver a grants programme of around £9 million annually, supporting individuals and organisations that make a real difference.

The Role

You will provide administrative and operational support across the grants function, including coordinating committee meetings, supporting grants officers, managing assurance visits, and helping to develop reporting systems. This varied role involves close collaboration with colleagues and partners to ensure funding is well managed and impactful.

Key Responsibilities

• Secretariat support for committee meetings, including briefs, reports, and minutes.
• Support grants officers in processing applications and deputise when needed.
• Manage assurance visit programmes and follow-up actions.
• Assist with financial and performance reporting for funded organisations.

About You

• At least three years’ experience in charity grant-making, welfare, or equivalent Armed Forces/MOD background.
