Role Purpose
The Front of House & Security staff play a pivotal role within the Head Office of Mothers Union, called Mary Sumner House, acting as the primary point of contact for all visitors, tenants, and clients. This role is responsible for delivering a professional, secure, and high-quality front-of-house experience while supporting the smooth day-to-day operation of a busy conference and office environment within a Grade II listed building in Westminster.
The postholder will ensure the effective coordination of meeting room bookings, uphold security and health & safety standards, and contribute to maintaining an exceptional environment that reflects the organisation’s values. Working independently and collaboratively, they will support the broader facilities and tenant management and conference operations.
Core Responsibilities
· To provide a professional, welcoming and secure “front of house” service for Mothers’ Union, acting as the first point of contact for all visitors, members, guests, tenants and clients.
· To maintain the security of the building and staff by monitoring access, CCTV and emergency procedures.
· To assist with meeting-room bookings.
· To deliver exceptional customer service and a premium experience for all tenants, clients, guests and VIPs.
· To maintain a safe, secure, welcoming and immaculate environment in line with brand standards and health & safety protocols.
Detailed Tasks
Front of House / Reception
- Welcome visitors, guests, tenants and clients warmly and professionally, ensuring a first-class, personalised and memorable experience for every arrival and departure.
- Manage VIP arrivals and departures with seamless, attentive and personalised service.
- Greet and assist professionally; provide information, directions, to desired locations and general support as required.
- Answer mainline overflow calls, in addition to routed room booking calls and respond to emails courteously, promptly and efficiently, redirecting or handling enquiries appropriately.
- Deal with any queries or concerns from guests/clients with professionalism and problem-solving skills.
- Create and maintain positive rapport and excellent professional relationships with guests, clients, tenants and team members.
- Ensure all internal and external clients feel valued and supported at all times.
- Receive, and distribute incoming post and deliveries acting as the building’s Post Master to include franking the outgoing MU related post.
- Maintain general tidiness, cleanliness and a professional standard in all front-of-house areas and customer suites.
Security
- Sign in all visitors and issue access passes to contractors in accordance with building procedures.
- Maintain lobby presence and ensure entrance doors are covered at all times.
- Assist in emergency situations (including fire evacuations, incident isolations and drills) and ensure common areas and fire exits remain clear.
- Understand and strictly adhere to health & safety policies, security measures, building access control protocols and SOPs.
Conferencing & Meeting Room Support
- To handle enquiries, take and manage bookings for meeting rooms.
- In the absence of the Conference Manager, cover bookings, administration and liaison with the facilities team to ensure rooms are set up correctly with refreshments and AV equipment.
General MU Operational Support
1. Contribute to the continuous improvement of front-of-house services and operational processes within Mary Sumner House.
2. Undertake any other duties as may reasonably be required by your Line Manager or Department Director, in line with the scope and responsibilities of the role to support the wider organisation.

Work Location/Hybrid Working Pattern
This role will be based at our Head Office in central London and does not fall under the organisational hybrid working policy due to the nature of the position.
Working pattern is flexible for the right combination of individuals, and will be agreed in conversation with the other candidate due to the nature of the job share.
We are looking to cover the hours of 8am to 6pm, Monday to Friday ideally split into morning and afternoon shifts to allow lunchtime cover, flexibility during busier periods and sustainability to provide appropriate cover for each other during periods of annual leave.

Main Purpose and Scope of the Job
Main point of contact and support for organisational corporate compliance and the efficient and effective management of Corporate Services activities including Members governance admin activities, Insurance compliance and renewals, Indian Liaison Office (ILO) compliance, and supporting portfolio compliance activities.

The Advocacy Academy is an activist youth movement. We serve as the political home for grassroots youth organising and the catalyst for collective action. The lives of the young people we work alongside have been directly shaped by living in an unjust world, and we exist to turn their anger into action.
Young people are often the catalysts for major social change, from the Student Non-violent Coordinating Committee at the heart of the Civil Rights Movement, to the Soweto Uprising mobilising young people to resist the apartheid regime's education policies, to the Sunrise Movement redrawing the electoral map across America, and more recently encampments and protests across the world protesting the genocide in Palestine. How successfully they achieve real and lasting change depends on whether they are organised and whether they have the right strategy and tactics to be effective.
We want youth organising to be enshrined in the UK for generations to come, and for young people to have tangible political power to influence national policy. That’s why we have launched two national coalitions, one around climate, and the other around gender. Each will train organisations across the country to become youth organisers and work together to bring 100 young people together to identify the strategy and tactics needed to achieve change. These young leaders will organise others and work collectively to build a campaign which shakes the status quo.
We are now looking for a Head of Spacemaking & Operations who believes in this vision and can ensure that TAA’s Liberation Centre is safe, fully operational, and intentionally designed as a welcoming, accessible, and inclusive environment. This role bridges operational delivery and spatial experience, ensuring that the Centre not only functions effectively behind the scenes, but also reflects TAA’s values in how people experience, move through, and use the space. You will combine operational oversight, facilities management, and space experience design, working across teams to ensure the Centre is safe, compliant, efficient, accessible and welcoming for staff, young people, and the wider community.

AREAS OF RESPONSIBILITY
1.You will become a key member of the Finance, HR & Operations Team, including but not limited to:

- Overseeing health & safety compliance, including staff training, evacuation procedures, drills, and statutory checks

Position Title: Head of Programmes (CMDP) Mat-Cover
Level: Level 6

Location: The Liberation centre Brixton, London (New office in Brixton)/ Remote working within the UK with at least 2 days’ work from our office (Pro rata for part time)
Contract: Fulltime (40hrs/weekly), fixed-term maternity cover contract for 1 year with potential for Part time (e.g., 32hrs/weekly) extension subject to funding.
Hours: TAA has flexible working hours, with some expected evenings (e.g. one 9pm finish once every two weeks) and weekends due to the nature of the role. All extra hours are reimbursed as Time off in Lieu (TOIL).

AREAS OF RESPONSIBILITY
1.You will be responsible for the Changemaker Development Programme (CMDP) including but limited to:
- Working with the Associate Director of Programmes and Associate Director of Partnerships to coordinate programmes planning and delivery timelines for CMDP.
- Managing cross programmatic projects to standardise processes and practices in the Programmes Department
- Designing and developing the recruitment process for Alumni to join the CMDP and create a targeted recruitment strategy to grow the Alumni Changemaker pool
- Managing the monitoring and evaluation of the programme including quantitative and qualitative data, and facilitate the process of ongoing learning being integrated into the programme
- Working with Programmes Leadership Team to coordinate and deliver a holistic safeguarding, wellbeing and pastoral care strategy across TAA’s work with young people
- Responsible for holding the CMDP budget and ensuring that it is managed and spent in accordance with TAA expenses procedure e.g. signing off expenses up to £1,000 expenditure and escalating to Director of Programmes and Partnerships for amounts exceeding this.
2.You will be accountable for the learning design and delivery to include but not limited:
- Leading the design of the CMDP curriculum to agreed TAA standards engaging key stakeholders, e.g. alumni, programmes team, external partners
- Supporting Alumni Changemakers to design, deliver and facilitate social justice workshops in line with established pedagogical approaches at TAA.
- Leading the development of learning journeys for Alumni Changemakers.
- Working during school holidays for camps, and in the evenings to accommodate school hours, which may include regular evening work and unsocial hours during programme delivery.
3.You will be the port of call for the Changemakers and Community Organisers who will help run the programme, and a regular and trusted individual whom the young people know and can connect with. To include but not limited to:
- You will support the Changemakers in co-creating this space with young people in the community and helping them identify ways to bring participants along into the membership.
- You will be managing the Changemakers who are delivering the programme - and updating both the Community Director and Director of Programmes and Partnerships on their progress and development.
- You will hold the budget for the programme - keeping track of expenses and thinking through ways to keep costs down.
- You will ensure that you provide accurate and timely financial information to the budget lead for your work and to the Finance, HR & Operations team
- You will be responsible for holding relationships with Alumni Changemakers and holding the relational culture of the CMDP to ensure we have a brilliant atmosphere for learning, nurturing and growth for Alumni Changemakers, including but not limited to:
- Taking responsibility for the pastoral care of Alumni Changemakers on placement including building the pastoral care approach with the Programmes Leadership Team.
- Taking responsibility for building and nurturing key relationships with fellow social justice activists, organisers and educators in the sector who can support, challenge and inspire our Alumni Changemakers.
- Representing TAA at any applicable events, in the press and in activist circles
- Building and nurturing relationships with alumni/members.
4.You will be accountable for the learning design and development of the Leadership Development Framework. To include but not limited to:
- Designing and developing a cohesive, high-quality curriculum aligned to TAA’s strategic goals and organisational values
- Establishing and embedding a clear pedagogical approach that underpins all delivery and supports effective facilitation
- Creating structured learning journeys that support the progression and development of young people as leaders
- Developing and maintaining facilitator guides, resources and tools to ensure consistency and quality across delivery
- Working with staff and members to ensure curriculum and pedagogy are effectively understood and implemented
- Reviewing delivery, gathering feedback and insights from members, and iterating on the curriculum and approach to continuously improve quality and impact
5.You will ensure that your programmatic activities are managed as well-oiled machines through pulling in the right people at the right time and ensuring that key milestones are met:
- Responsible for ensuring effective departmental administration including delegating key administrative tasks to relevant staff
- You will be working with the Director of Programme and Partnerships, Director of Community, the Safeguarding and Wellbeing Team and others to think about the safety, safeguarding, and wellbeing needs of the young people participating in the programme and beyond.
- You will ensure safeguarding and Health and Safety standards are met across the programmes team and other critical policies and practices within the organisation, working proactively with relevant leads to understand requirements and operationalise effectively
- You will contribute towards risk management standards and ensure Health and Safety standards are met across programmatic and community team
- You will be responsible for managing and overseeing a suite of behind-the-scenes systems, databases and resources which comply with UKGDPR, safeguarding and other legal requirements.

This is a new role, working remotely from the UK and reporting to the Directors to handle the increased financial and logistics workflow of the organisation as we embark on a new 18-month EU-funded grant. In this respect, the role involves day to day operational and financial administration but is also an opportunity for a flexible and pro-active person to support the organisation’s development and expand its capabilities, and also to engage with project partners and learn more about our work. While this is a fixed term contract, the role may be extended (subject to funding) and evolve to meet changing needs. As a small team, we are open to flexible working.
Grant management:
- Financial administration: ensure accurate records and supporting documentation is kept for all financial transactions, including regular entry of data into the relevant financial and budget management systems.
- Manage sub-grants to partners and consultants as allowed for within project budgets, ensuring timely receipt and processing of financial reports, and checking accuracy of invoices, timesheets, receipts and all supporting documentation, contracts, etc. in line with donor requirements.
- Budget monitoring and tracking: Preparing monthly forecasts and expenditure updates, to enable timely and efficient expenditure of project funds in accordance with the deliverables and budgets in grant contracts.
- Prepare quarterly financial reports for donors ensuring accuracy, accountability and alignment with donor contract requirements and Indie Peace policies.
Logistics support: Supporting the organisation and financial administration of Indie Peace project initiatives. Includes:
- Remote support in organising events, meetings and project activities in the regions where Indie Peace works, e.g. arranging meeting/conference venues within budget limitations, organising transport/accommodation bookings, ensuring documentation is in place (e.g. financial documentation, participant lists, etc.).
- Support Indie Peace Directors’ activities while travelling on business, as required, including supporting logistics, preparing expense reports with supporting receipts, maintaining timesheets, etc.
Other:
- Entry of financial transactions into accounting software, ensuring all financial records are recorded and all payments reconciled in a timely manner.
- Prepare monthly expense and financial reports, maintaining and updating cash flow forecast.
- General administrative support as agreed.
Line-management and relationships: While the position works with both Directors of the organisation, day to day line management and supervision is provided by the Director responsible for operations. Other people the post will need to liaise or maintain communication with on a regular basis include: in-country partners, consultants, and donor representatives. While this is a remote role, we would require occasional in-person meetings, usually in London which is where Indie Peace is based.
EXPERIENCE: Minimum of two years of proven experience in UK-based international non-profit organisation, involving financial management of EU grants.
Related Skills or Knowledge:
- Experience of EU grants and financial management.
- Experience in reporting and accounting in the not-for-profit sector, including donor reporting.
- Experience with budget monitoring and oversight.
- Experience of a range of finance functions (bookkeeping, reporting, audit, etc.).

You will lead the development and delivery of People, Governance & Operations frameworks, aligned to the organisation’s strategy and under the direction of the Director of Finance and Resources. As a Head Of, you will contribute strategically as a specialist in your field, combining hands‑on operational delivery with a strong focus on continuous improvement. About the Role
The Landlord & Lettings Partnership Manager will lead on securing suitable accommodation for our service users both while they are in Solace’s services (including refuges and supported accommodation for women experiencing multiple disadvantage) and as they transition to independent living, by building strong partnerships with private landlords and registered housing providers.
As part of the business development team you will work independently to source properties, developing landlord relationships and ensuring sustainable tenancies that benefit both landlords and tenants. You will act as the bridge between landlords and applicants — identifying opportunities, negotiating agreements and supporting successful placements.
You will act as a key link between landlords, housing providers and frontline services, building a pipeline of landlords, establishing systems and processes to delivering a new letting broker service and delivering this as a working concept. Your work will directly contribute to service targets and long‑term housing solutions for survivors.

You bring experience working with landlords, lettings or housing services, ideally within supported housing, homelessness or the private rented sector. You are confident building relationships, negotiating effectively and managing a varied workload in a fast‑paced environment.
