Duties & Responsibilities

Lead and develop the finance team, ensuring effective management of budgets, forecasting, payroll, and statutory reporting.

What experience?

Ideally a fully qualified accountant (ACCA, CIMA, ACA, or) with proven experience in a finance role.

Experience managing finance within the charity, not-for-profit, or SME sector.

Strong leadership and communication skills with the ability to present financial information to non-financial stakeholders.

The Jobs, Education and Training (JET) team works with young people facing homelessness to support them into meaningful and appropriate employment, training opportunities, apprenticeships, volunteering, and education. As part of our delivery, we have developed a weekly ESOL group for young people looking to improve their spoken English, many of whom are young refugees and asylum seekers. Your role would involve the planning, preparation and delivery of these non-formal education sessions as well as delivering wider 1:1 JET casework. While you will work with all young people in the service, this role will focus on developing our JET delivery for young refugees, asylum seekers and those with English as a second language. You will also spend approximately 1 day per week helping us to deliver our core day-centre service.

· Contractor & Supplier Coordination: Manage relationships with external suppliers and contractors, ensuring value for money and sustainability.

· Asset & Equipment Oversight: Maintain asset registers, coordinate waste disposal, and ensure timely servicing or replacement of estate equipment.

· Security Management: Act as a keyholder, oversee site security, manage CCTV and alarm systems, and support emergency planning.

· Utilities & Financial Admin: Monitor utilities, provide meter readings, check bills, and manage petty cash systems.

· IT & AV Support: Provide basic troubleshooting or liaison with IT support and assist with AV setup for meetings and events.

· General Support & Representation: Assist with room setups, attend events, support Trust strategies, and act as a positive ambassador for the organisation.

About You

About the opportunity
This role plays a key part in supporting the wider Action Tutoring team with HR and Safeguarding matters and sits within the Finance, HR and Operations Department, reporting to the Head of People and Culture.

• Processing DBS checks and DBS update service checks.

Safeguarding

• Undertaking an initial triage of safeguarding concerns and incidents raised by members of the team and referring to senior staff as necessary. 
• Maintaining and overseeing the tutor safeguarding refresher training using a dashboard
• Compiling safeguarding data into termly reports for the team and board.

HR

• Supporting the Head of People and Culture with recruitment processes. This will include preparing paperwork relating to the selection process and offers of employment and following up with applicants and the hiring manager to ensure both sides have a quality hiring experience.

Homelessness continues to rise across the UK, and for many individuals experiencing it, their pet has been a vital and integral part of their life, often long before they lost their home. The bond between a person and their animal can be profound, offering emotional support, companionship, and a sense of purpose. Accessing veterinary care while living on the streets, sofa surfing or living in a hostel or temporary accommodation provider can be incredibly difficult. That’s where StreetVet comes in. We are an award-winning national charity and a registered veterinary practice with the RCVS, providing free, accessible vet care to pets belonging to those experiencing homelessness across the UK. Our dedicated team of volunteer veterinary professionals deliver essential services where support is needed. We take our experience out of the consulting room and onto the pavements to provide the same first opinion vet care you would expect to receive in a practice. 

StreetVet also works to remove barriers to accommodation and homelessness service through our Accredited Hostel and Day Centre Scheme, which helps hostels, day centres, and hubs implement positive pet policies and become pet-inclusive. This includes free veterinary care for registered pets, staff training, essential pet supplies, and access to virtual vet consultations via our telemedicine platform. The scheme empowers hostels to welcome pet owners without forcing them to choose between a roof over their head and their beloved companion.

Role Description

The Hostel & Day Centre Coordinator (North) will work closely with the Hostel and Day Centre Manager and the Coordinator (South) to ensure the effective administration and smooth day-to-day operations of the StreetVet Accredited Hostel & Day Centre Schemes. This role plays a key part in welcoming and onboarding new hostels and day centres into the network and supporting the ongoing engagement and success of existing partners. By fostering strong relationships with hostels, day centres, suppliers, and sponsors, the post holder will help build a connected and responsive community that ultimately supports more pets accessing hostels and day centres. Acting as a central point of contact, they will collaborate across internal teams and external stakeholders to ensure queries are addressed efficiently and support is delivered consistently.

About our Complex Needs & Community Services

The successful candidate will manage and develop the Complex Needs and Community Teams at Hertfordshire Mind Network. The Services Manager will be responsible for leading a variety of services currently including the Flourish (asylum seekers and refugees) contract and the Primary Care Network contract. As the services grow and develop, other services/projects may sit under this post.

About the role

The role requires travel across Hertfordshire to our Wellbeing centres, community partnerships and external organisations and is responsible for a team of staff and volunteers who work within Complex Needs and Community teams across the county.

As a Services Manager you will be an integral part of the Senior Management Team (SMT) and work in partnership with Complex Needs Team Leaders and the other Service Managers across the Charity. Reporting into the Director for Complex Needs and Community you will be directly responsible for the efficient and effective delivery of two or more of our Services and a key member of the Herts Mind Network Safeguarding team.

Responsibilities of the post

• Support the Director of Complex Needs and Community with effective running of the complex needs and community services.
• Build strong relationships and liaise with commissioners and partner organisations.
• Manage the Flourish and PCN contracts.
• Work closely with all key delivery partners across the system to ensure the service is responsive, inclusive and easy to access.
• Support the development of services by promoting and being responsive to changing needs.
• Oversee the recruitment and management of client facing staff.
• Be a strong safeguarding level 3 champion and manage/support referrals.
• Ensure all policies and procedures are current, understood by staff and that they are working within these policies and procedures.
• Monitor outcomes and evaluate the service, ensure all KPIs are met.
• Process referrals and manage and prioritise all administration tasks associated with the service, including Payroll and expenses submissions.
• Be part of the Senior Management on call rota (out of hours), attend SMT meetings as required and support the work of the wider SMT. 
• Maintain and enhance service delivery standards and effectiveness.
• Contribute to the service development by working alongside the Directors to evaluate service delivery and produce progress and monitoring reports.

Overall purpose

 As the Finance Officer, you will be required to ensure that our income and expenditure records are accurate, complete, free from error and comply with both the relevant accounting standards as well as donor restrictions. This role will play a key part in ensuring that the recording of financial information is compliant and auditable, in both the finance system and CRM.

You will also work alongside the Head of Finance to support the wider organisation in its financial understanding and management. This support will focus on both the fundraising team to empower them to raise as many funds as possible, especially unrestricted funds, and the services team to ensure their financial processes are robust and efficient. You will also be expected to contribute to and uphold our outstanding culture by living and demonstrating our values of being mission-led, welcoming, entrepreneurial and collaborative.

Key responsibilities

Finance responsibilities

• Record all income and expenditure general ledger transactions in the finance system, ensuring correct coding and full supporting documentation is stored in either the finance system or in the CRM.
• Have ownership of both the sales ledger and purchase ledger, ensuring all entries are recorded accurately with the correct VAT treatment while adhering to the relevant controls.
• Ensure all staff and client expenses are captured and recorded accurately, adhere to the relevant expense policy and are paid in a timely manner.
• Prepare and post payment runs alongside the Head of Finance
• Support the Financial Accountant in the monthly bank reconciliation
• Participate in month end processes to ensure the I&E figure is accurate within the pre-determined deadline, including posting prepayments, deferrals and accruals where relevant and other accounting adjustments as needed such as grossing up of platform fees.
• Ensure all finance documentation is complete and auditable including restricted fund evidence, and ensure the relevant GAUs are tracked on salesforce.
• Capture all restricted fund income and expenditure is the finance system on a monthly basis (staff and non-staff) alongside the Financial Accountant and Head of Finance
• Understand clawback risk on grants
• Ensure Breaking Barriers is claiming gift aid where applicable and optimising opportunities to reclaim input VAT in our business/non-business VAT return
• Reconciling to third party platforms on a monthly basis including fundraising platforms and Equals
• Work with the Head of Finance to upskill the fundraising and service teams to ensure they understand necessary financial processes
• Undertake income and expenditure control activities e.g. checking for grant rejection letters and verifying changes to supplier details.
• Be the finance team’s superuser for the CRM
• Support in year-end audit and the creation of relevant notes
• Support with ad hoc projects such as the implementation of a new finance system and policy and procedure updates

Technology

• Support the Financial Accountant, Finance Director and outsourced technology provider as needed for ongoing technology support and occasional projects.

Office and facilities management

• Support the financial team and any applicable offices as needed for ongoing office and facility management

Cross-cutting

• Ensure staff are effectively onboarded and our knowledge management processes ensure that required information on the finance and ops processes is accessible and understood
