The Events Assistant will support the planning, coordination, and delivery of Hidayah’s events and activities. Working closely with the Events Officer and wider team, this role ensures that all events run smoothly, are well-promoted, inclusive, and aligned with Hidayah’s mission. The ideal candidate is organised, proactive, and passionate about creating meaningful community experiences.

What are the key responsibilities of this role?

This role will have the following duties, but are not limited to:

1. Event Planning & Delivery 

· Support the Events Officer in planning, organising, and delivering a range of events, both online and in person

· Liaise with venues and caterers to confirm logistics, costs, and facilities, ensuring value for money and guest satisfaction

· Manage event listings and guest registrations through OutSavvy, ensuring all attendees have active Hidayah memberships

· Assist with event setup, registration, and on-the-day coordination, providing a welcoming and inclusive environment

· Support with risk assessments, accessibility considerations, and general event compliance

2. Marketing & Communications 

· Collaborate with the Social Media team to schedule and promote events across Hidayah’s social channels

· Create or support the design of promotional materials and graphics using Canva

· Draft event descriptions, newsletter content, and updates for review by the Events Officer

· Coordinate the monthly newsletter, liaising with the Social Media team to finalise and distribute

· Engage partner charities, community groups, and networks to share event information via email and social media

3. Stakeholder & Community Engagement 

· Build and maintain relationships with organisations, partners, and individuals aligned with Hidayah’s mission

· Send thank-you messages to venues, partners, and attendees following events

· Distribute and collect feedback forms, compiling responses to support continuous improvement

· Represent Hidayah at community events and networking opportunities where appropriate

4. Administrative Support 

· Maintain and update the contact database and event records

· Manage the Events Team inbox, responding to or triaging queries promptly

· Attend regular Events Team meetings, contributing updates and ideas

· Track and report on event expenses and participation data as required

What do we expect from the Events Assistant?

How much commitment is required?

This is a voluntary role with flexible hours, and can be carried out around your existing commitments. The role will take approximately 3-5 hours per week (flexible depending on needs and availability).

We are looking for an enthusiastic events assistant to join the team in our exciting new community space! Plateful Cafe is a recently established charity that seeks to help refugees in the surrounding area into employment within the food and hospitality sector. 

We have opened a community cafe selling delicious Middle Eastern food! Our cafe is staffed by people with refugee status and experiences of forced migration who are being trained to work the food industry, as well as dedicated volunteers like you. We will be running regular community events and fundraisers for which we need a team of events assistants to help plan and run.

The role:

- Help organise monthly community dinners featuring three course meals from around the globe to enable the charity to engage with and attract donors.

- Help with running the dinner on the daywith tasks including welcoming the guests, serving food and drinks, take payments, setting up and clearing, etc.

- In a team plan and organise other events and fundraisers throughout the year, for example refugee week.

- Work with the marketing volunteers, providing details of upcoming events for promotion; take pictures and quotes at the event.

Skills & Requirements:

• Good organisation skills including: effective time management, punctuality and delegation of tasks.

Monthly community dinner times: 10-1pm (cooking); Afternoon: 1-5pm (preparing the hall); Evening: 6-10pm (running the dinner).

About the Role 

We are Buttons & Bubbles C.I.C. We aim to increase inclusion and representation for disabled families across society. We have several different services including bespoke characters, workshops, free resources, events, sensory trails and more. 

As Buttons & Bubbles continues to grow, we are hoping to put together a team of assistants who will be responsible for attending in-person fundraising opportunities. We are looking to build a pool of friendly, reliable volunteers to support our fundraising events throughout the year. Overview of the opportunity

Our branch runs and attends a range of fundraising events across the year, and we rely on volunteers to help make these a success. We are recruiting volunteers to join an events and fundraising pool, who can be called upon when events, collections or opportunities arise.

Charity Champion (volunteer) 

As a Volunteer Charity Champion, you will have the opportunity to support the North West Ambulance Charity team achieve their mission in a variety of different ways to suit you. The NWAS charity are looking for motivated, enthusiastic and passionate volunteers wanting to work flexibly and help contribute to the growth of the charity. You will play a key part in a variety of tasks that may include supporting fundraising events, awareness days, collections and community engagement.

The North West Ambulance Charity provides support to the North West Ambulance Service above and beyond what NHS funding can provide. The NWAS Charity is solely reliant upon generous donations and fundraising from the public, businesses, grant funders, staff and volunteers to fund life-saving equipment and other projects to benefit the health, wellbeing and safety of patients, staff, and our communities.

Action for Refugees in Lewisham (AFRIL) is a dynamic local charity established in 2006. We support asylum seekers, refugees, and vulnerable migrants, to lift themselves out of poverty and rebuild their lives in the heart of our community. We provide both crisis support to meet immediate need, and longer-term, flexible programmes to tackle the underlying problems that lead people to be in crisis.

We are a team of 15 majority part-time paid staff (9 FTE) and over 100 volunteers. AFRIL works with residents in Lewisham, Greenwich, Southwark, Bexley and Bromley. In the last 12 months AFRIL has supported over 750 individuals. 

AFRIL’s Casework and Advocacy Team provides complex casework and legal interventions in the areas of housing and homelessness, Asylum Support, Benefits, No Recourse to Public Funds and Community Care. AFRIL also offers community activities to the residents of a local Asylum Support Hotel. Activities are arranged in situ at the hotel, as well through trips and outings.

Your duties will include:
Community Activities Volunteer
● Arrive promptly to support AFRIL staff to set up the Community Activitysession which, depending on the day, could include:
    ○ Arts & craft activities
    ○ ESOL / english conversation practice
    ○ It is also possible you will support a group on an outing to amuseum, to AFRIL’s Allotment of Refuge or to another location.
● As a volunteer, your role during these activities will involve supporting the staff to deliver the relevant activities, and will specifically include:
    ○ Engage all participants in a warm and friendly manner, making all feel welcome and involved
    ○ Support new participants to complete the registration forms, and log attendances on the register
    ○ Putting out resources, materials, games and actively support participation in such activities
    ○ Arranging and distributing food and drink to members
    ○ Helping the group to navigate safely if out on trips

Outreach Volunteer
● Arrive promptly at 12.15pm to support AFRIL staff to set up the Outreach Advice session.
    ○ Welcome clients to the drop in, provide an overview of how AFRIL can support, record basic information to pass onto AFRIL caseworkers
    ○ Oversee a queue system of those seeking advice from Caseworkers
    ○ Provide clients with refreshments, build rapport and field basic questions about the outreach session whilst clients are waiting

Duties for both roles also include:
● Undertake comprehensive training (including safeguarding training) to support you in carrying out your volunteer role.
● Uphold AFRIL’s values when working alongside staff, volunteers and clients, and follow AFRIL’s policies and procedures at all times.
● Be vigilant of any safeguarding concerns and report these swiftly to AFRIL staff.

AFRIL’s Community Activities & Outreach Volunteer will have the opportunity to volunteer at AFRIL’s Community Activity sessions (weekly) and Outreach Advice sessions (fortnightly). The volunteers will provide friendly and professional support to participants, collect basic information and support AFRIL staff where appropriate.

Being a Community Squad volunteer is a flexible way to get involved. You’ll find out when and where one-off tasks are happening near you, and you can choose to help whenever it suits. There’s no ongoing commitment, you’re in control.

As a Squad volunteer, you’ll regularly receive updates about opportunities across Yorkshire. There’s no obligation to sign up for any of them, but if something catches your eye, just put your name forward. We’ll send you all the details you need, and you simply turn up on the day!

Tasks vary widely, so there’s something for everyone. You might help at a community clean-up, plant spring bulbs, hand out leaflets, put out grit or clear a path when it’s snowed for a neighbour. Or you could be handing out popcorn at a cinema event, making cups of tea at a social club, supporting someone with their digital devices, creating glitter tattoos at a children’s event, or writing letters to customers who are isolated.

There will be lots of varied things to help with!

We are looking for new volunteers to join the Meet Me team to support Meet Me at the Albany in person and remote activities.

What is Meet Me at the Albany?

In 2013 Entelechy Arts and the Albany, in partnership with Lewisham Council, established Meet Me at the Albany – an arts and social club for over 65s. Meet Me… is led by a vibrant and diverse community of previously isolated older people, who come together weekly to run a cross-art form social and creative programme to make friends, be creative, advocate for themselves, and contribute to the vibrant cultural life of Lewisham.

On Tuesdays we get together at the Albany theatre in Deptford, and get involved with everything from singing to painting, from crafting to gardening. During the COVID pandemic we took our groups onto the telephone, and seeing the massive benefits these groups brought we have continued with our Meet Me on the Telephone programme. Who we are looking for?

Our volunteers play a vital role in ensuring the smooth running of our weekly and monthly sessions. These roles are perfect for people who enjoy meeting new people, engaging in conversations, and trying new things. They’re also ideal for those who like to listen and provide support based on individual needs and interests.

Skills and experience:

Personable and Friendly: We need volunteers who are approachable and easy to talk to.

Strong Listening Skills: Essential for connecting with our members and ensuring their safety.

Experience with Older Adults: While prior experience working with older people or supporting their creativity is beneficial, it’s not required—just an interest in doing so.

Adaptable and Flexible: Activities may change, so volunteers should be open to adjusting their approach as needed.

Creative Sharing (Optional): Some volunteers enjoy sharing their creativity with our members, but this is not a requirement.

We’re also looking for volunteers who are interested in helping out with marketing and social media, so if that sounds like your cup of tea, get in touch! It would be great if you also have experience of working with people living with dementia.

We’re looking for a motivated, creative and highly organised I Am Proud Stage Manager to supervise the I Am Proud sub-team and lead the delivery of our event’s panel stage, programming entertainment that represents and celebrates the bi+ community.

Ideal time commitment: approx. 5-10 hours per month; flexible. This is likely to increase on the approach to an event.

Location: remote/ home based, in-person attendance at events is desirable.

Supported/ supervised by: the Head of Events, also working closely with volunteers in the I Am Proud Stage sub-team and Events team.

Bi Pride UK’s mission is to create spaces where people who experience attraction beyond gender can be freely visible and celebrate themselves and their identities. It’s not enough to be ‘welcome’ at Pride. We make up a very large proportion of the queer community – the 2021 Census actually shows we’re half of the community – and we deserve to be visible and celebrated in our own right.

There are many ways to make this happen, and we work in many ways to bring this change about:

• Outreach work with other Prides, LGBTQ+ organisations and bi organisations – our consultation work with local Prides, the UK Pride Organisers Network and local and national LGBTQ+ organisations works in a tailored way to make sure that bi inclusion is a top priority and is being done well
• Organising a high-profile annual Bi Pride event – from September 2019, Bi Pride UK made history with the largest ever gathering of bi people recorded. A performance stage, a panel stage, stall village, street food, and over 1,300 attendees. After going virtual with the BiFi Festival for 2020 due to Covid-19 and running a virtual Pride event in 2021, we came back in person in 2022 with a hybrid event, and have been running the event in this format ever since
• Building a strong online and virtual community – just as important as the rest of our work is making sure that people hear about it! People need to know what resources and spaces exist for them, and how they can connect with other people like them

The role:

The Events team at Bi Pride UK is one of the core operational teams within the charity. The team handles programming, production and execution of our events, including our annual flagship Bi Pride event, which holds the record for the largest Bi Pride event in the world. The I Am Proud Stage Manager will take operational responsibility for the I Am Proud Stage within Bi Pride UK’s events; a panel-based stage which spotlights intersectional discussions, interviews and activism, dedicated to the bi+ experience. 

The I Am Proud Stage Manager will lead on the planning and delivery of the I Am Proud Stage programming at Bi Pride UK’s events, and will be supported by a small team of I Am Proud Stage Assistant Managers. The I Am Proud Stage Manager will also supervise the I Am Proud Stage sub-team, as well as the I Am Proud Stage’s “on-the-day” event volunteers. The holder of this role will work to provide a programme of live entertainment that represents and celebrates bi+ people, their voices and their experiences.

Key tasks of this role will include: 

• Working closely with the Head of Events and Events Trustee, as well as volunteers across the charity, to deliver an I Am Proud Stage provision that meets the charity’s vision;
• Booking a diverse range of speakers and hosts, after contributing to assessments of each speaker’s application for suitability/ reputational risk against the aims and objectives of Bi Pride UK;
• Liaising with the venue, the venue’s technical team and speakers to arrange the logistics for the I Am Proud Stage delivery (including agreeing upon riders, stage layout and equipment, lighting and sound requirements and arrival/ panel times, etc.);
• Overseeing the completion of speaker contracts, receipt of invoices and other relevant documentation, including accurate record keeping and storage of such documents;
• Leading logistical aspects to ensure the smooth running of the I Am Proud Stage on the day of the event, including stage set up/ take down, time management/ scheduling, troubleshooting any issues arising on the I Am Proud Stage and liaising with other departments involved in the I Am Proud Stage delivery (e.g. lighting and sound technicians, streaming technicians, Artist Liaison volunteers, speakers, BSL interpreters, etc.);
• Supervising a small team of year-round volunteers (dedicated to the planning of the I Am Proud Stage programming) and a small team of “on-the-day” event volunteers (responsible for the smooth delivery of the I Am Proud Stage programming at the event);
• Maintaining positive relationships and facilitating effective communication with prospective speakers, confirmed speakers, volunteers, the venue, and any other relevant stakeholders;
• Working with the Access & Inclusion team and the Accessibility Consultant to implement their recommendations and ensure the I Am Proud Stage is fully accessible. 

Our team volunteers remotely from anywhere in the UK, with some travel required occasionally (primarily for our flagship Pride event in London in August). All reasonable expenses incurred are reimbursed, including travel, lunch at away days and other all day events, and some childcare costs if required. The successful candidate will be invited to fortnightly Events team meetings on Wednesday evenings via conference call, in addition to I Am Proud Stage programming meetings which will be scheduled in line with the team’s best availability. 

Volunteer specification:

• Interest and passion for tackling discrimination against and improving the visibility of people in the UK attracted to more than one gender;
• An understanding of the needs of people and communities in the UK attracted beyond gender;
• Commitment to the aims and objectives of Bi Pride UK;
• Experience of stage management; 
• Understanding of organising event logistics (e.g. venue layout, timings, resources) and good awareness of relevant health and safety and risk management measures linked to stage-based performances;
• Ability to manage a team budget; financially planning so that a thought-provoking and high-quality programme of speakers can be booked, whilst remaining within the remit of the assigned budget;
• Some experience of overseeing a team, especially volunteers;
• Ability to handle documentation and accurate record keeping in a manner which adheres to confidentiality and GDPR requirements;
• Strong interpersonal skills and the ability to build effective working relationships with volunteers at all levels within the organisation, as well as with external contributors (for example, speakers);
• Excellent IT skills (for example, Google Workspace applications);
• Excellent written and oral communication skills;
• Meticulous attention to detail;

Volunteer with Stepping Stones Learning and Leisure

Stepping Stones is a small, friendly charity in Southwark providing inclusive activities for adults with learning disabilities. We believe everyone should have the chance to express themselves, connect with others, and take part in activities that bring joy, confidence, and new skills.

We’re currently looking for volunteers to support our sessions in:

• Art (Tuesday afternoons)
• Dance Fit (Thursday mornings and/or afternoons)
• Social Club (Thursday afternoons)
• Drama (Friday afternoons)

These weekly groups offer creative, social, and wellbeing-focused opportunities for our learners, led by experienced tutors in a relaxed, supportive setting.

All sessions take place at St Faith’s Centre, Red Post Hill, SE24 9JQ (close to North Dulwich and Herne Hill stations)

What You’ll Do

As a volunteer, you’ll be supporting adults with learning disabilities to participate fully in the sessions, connect with others, and enjoy meaningful activities. Your role might include:

• Setting up and packing away equipment and materials
• Welcoming students and their carers or support workers
• Offering encouragement and practical support in one-to-one or small group settings
• Helping tutors to deliver fun, engaging activities

All sessions are led by experienced tutors, and you’ll be part of a warm and supportive staff and volunteer team who are committed to inclusion, creativity and care.

Who We’re Looking For

You don’t need to be an expert! We’re looking for people with the right attitude, values, and willingness to support others. Even if you don’t have experience of working with adults with learning disabilities, the following qualities are especially helpful:

• Enthusiasm and positivity. Your energy can set the tone for the group. A cheerful presence helps create a welcoming and encouraging environment.
• Patience. Some learners may take time to engage or communicate. Patience helps build trust and ensures everyone feels supported.
• Reliable and punctual. Many of our learners value consistency and routine. Being dependable helps build rapport and ensures the session runs smoothly.
• Inclusive communication skills. You should feel confident listening carefully, offering clear instructions or encouragement, and adapting your communication to meet individual needs.
• Inclusive and non-judgemental. We welcome people from all walks of life. An open-minded approach helps every learner feel accepted and valued.
• Adaptable and flexible. Things don’t always go to plan. A calm, flexible approach helps maintain a relaxed and safe environment for our sessions to run.
• Ready to get stuck in! Many sessions involve art, music or movement. You don’t need to be an expert, but a willingness to join in and get involved makes a big difference.

Prior to volunteering, we ask all volunteers to:

• Attend an induction meeting
• Provide two references
• Complete a DBS check (we will arrange this)
• Commit to volunteering one session per week for 3 x 10 week terms throughout the year. For continuity for our service users, we ask that you commit to volunteer for a minimum of a year with us.

Dive into lasting impact: Fundraise for East London Waterworks Park to create and shape natural swimming ponds, ecological habitats and community gardens

East London Waterworks Park is a volunteer-led charity that has won a 2024 New London Architecture award and raised £2m towards buying land from the Department for Education to transform the 14-acre Thames Water Depot on Lea Bridge Road on the border of Waltham Forest and Hackney, into a new biodiverse park with natural swimming ponds, forest schools and community spaces. 

Do you have experience organising events, or would you like to get some? Our past fundraising activities have included pub quizzes, a photography competition and exhibition, sale of locally made jeans and more. If you’re buzzing with ideas of how to raise money or are keen to get stuck in and help to make some events happen, we would love to hear from you.

The Fundraising Circle currently meets fortnightly on a Thursday evening on Google Meet and spends voluntary time outside of the meeting completing agreed tasks remotely. We understand that people may not have a lot of time to give, so we want to find volunteers who could give us one-off or ongoing strategic advice and support.

East London Waterworks Park is an exciting and ambitious project that offers many rewarding opportunities for our volunteers. You will have a significant impact on the creation of a new biodiverse community-owned park with free access natural swimming ponds and forest schools. 

By leading fundraising projects that explore how diverse professionals (architects, ecologists, web developers, community researchers etc.) collaborate to shape community infrastructure, volunteers will directly contribute to the development of a park that truly reflects the needs and desires of the local community. 

Without funding we won’t be able to make it happen. Your input will help us craft experiences that inspire, educate, and engage our service users, stakeholders, funders, and the general public, ultimately driving support for the park's mission and ensuring its long-term sustainability. So you will be directly contributing to the creation of a new biodiverse community-owned park with free access natural swimming ponds.
