DESCRIPTION SUMMARY:
The IWI Conference Planner will be responsible for the full lifecycle of an event, from strategic planning and budgeting to on-site logistics and post-event evaluation, ensuring the event aligns with The IWI's mission and goals. Key duties include venue and vendor selection, budget management, marketing and attendee registration, speaker and sponsor coordination, managing event staff and volunteers, ensuring compliance with safety regulations, and reporting on event success to leadership. This role requires strong project management, budget management, communication, and negotiation skills to deliver a high-quality experience within financial constraints.
RESPONSIBILITIES:
Event Strategy & Planning:
Collaborate with stakeholders to define event goals, themes, and target audiences, and develop comprehensive plans and timelines.
Budget Management:
Create and manage event budgets, identifying cost-effective solutions, securing sponsorships, and tracking expenditures to meet financial objectives.
Logistics & Operations:
Oversee all logistical aspects, including venue selection, vendor management (catering, AV, decor), and event setup and breakdown.
Marketing & Communication:
Develop and implement marketing and promotion strategies to attract attendees, manage attendee registrations, and ensure smooth communication before and during the event.
Stakeholder & Speaker Management:
Coordinate with internal teams, external partners, and speakers, managing contracts and ensuring all logistical needs are met.
On-site Management:
Provide leadership and support on the day of the event, troubleshooting issues, coordinating staff and volunteers, and ensuring the event runs smoothly.
Post-Event Activities:
Conduct post-event evaluations, analyse success metrics, gather feedback, and prepare reports to inform future events.
REQUIRED SKILLS AND QUALIFICATIONS:
Project Management:
Strong ability to manage multiple tasks, prioritise deadlines, and develop detailed event plans.
Budget Management:
Proficiency in creating, managing, and adhering to budgets.
Communication & Negotiation:
Excellent written and verbal communication skills to interact with diverse stakeholders and negotiate with vendors.
Organisational Skills:
Meticulous attention to detail to manage complex logistics and ensure all event components are coordinated effectively.
Problem-Solving:
Ability to think on your feet, identify roadblocks, and provide timely, thoughtful solutions to unexpected challenges.
Tech Savvy:
Experience with various event platforms and tools for virtual and in-person events.
Passion for The IWI's Mission:
Understanding and alignment with the organisation's core mission to effectively promote and execute relevant events.
EXPERIENCE REQUIREMENTS:
- Proven experience in conference planning or event management, with a track record of successful event execution.
- Knowledge of industry best practices and trends in conference planning and management.
- Knowledge with sponsorship and donor acquisition.
- Proficiency in Microsoft Office Suite and event management software.
- Strong organisational and time management skills, with the ability to work autonomously and meet deadlines.
- Ability to work flexible hours, including evenings and weekends, as required for conference.
- Familiarity with budget management and financial tracking for conferences.
- Excellent written and verbal communication skills.

As Volunteer Activity Lead, you will provide support to people seeking asylum who live in Wakefield through delivering activities that support people’s wellbeing and integration.
We provide support to people seeking asylum in Wakefield while their asylum claims are being considered. Being new to communities, our clients need additional help to reduce isolation and help develop their confidence. We do that by organising activities that keep them busy, engaged and connected with locally available services. Your role is to lead on activity planning and delivery – you will encourage clients to come, design posters, help foster a friendly and non-judgmental environment. You will help with outings and proactively include clients in brainstorming ideas on activities that will make the most positive difference in their lives. Activities to deliver can match your own interests and skills – yoga, conversational English club, sports, sewing, arts and crafts – the list is endless!
Your role is crucial in complementing existing Migrant Help services by helping provide additional opportunities for clients to improve their skills and develop confidence.
What you will do
- Organise and deliver activities to people seeking asylum in agreed locations weekly
- Promote a safe and non-judgemental environment for people joining activities
- Organise and adapt activities centring clients’ voice
- Communicate with other volunteers and staff where needed to deliver activities smoothly
- Encourage clients’ independence and provide words of encouragement, empathy
- Pack and store items securely in agreed locations
- Organise and support outings for clients.
- Create interactive posters to encourage clients to engage in activities
- Be a point of contact for clients during activities and forward any concerns to staff
- Regularly communicate with volunteer coordinator and staff and openly share successes, challenges and ideas on improvement.
What we expect from you
- Complete relevant induction and training provided by Migrant Help
- Undergo a criminal conviction check (DBS, PVG or AccessNI).
- Commit to volunteering for a minimum of 6 months, at agreed times.
- Attend volunteer support sessions as required.
- Complete feedback forms when required highlighting any growth opportunities and honestly communicating what is not working well
- Adhere to confidentiality and safeguarding procedures
- Uphold Migrant Help’s values.
- Start volunteering at an agreed time and be punctual
- Complete all relevant documentation as required by volunteer coordinator
- Be open and understanding of different customs, values, and beliefs
What you not be able to do
- Volunteer with us if you are under 18.

- Buy gifts, food or lend or give/receive money to/from clients
- Carry out casework tasks, such as, complete benefits applications, liaise with local authorities or refer to other services or provide immigration advice

We’re on the lookout for a volunteer who’s keen to make a real difference in our communities — and pick up some new skills along the way!
This is a unique opportunity to gain a recognised qualification while helping residents at Asquith Court and Charlotte Court enjoy regular chair-based exercise sessions. These schemes don’t currently have any sessions, but they’re really keen to get started — ideally once a month to begin with (and maybe more if it’s a hit!).
We’ll support you every step of the way, including covering the cost of your Amac Certificate in Chair-based Exercise Instructing - which you can complete online at your own pace. Once you’re qualified, we’ll work with you to build a schedule that fits around your availability.
Each session will last up to an hour, and we’ll also cover your travel expenses between the two schemes.
Because you’ll be working with potentially vulnerable residents, you’ll need to be 18 or over to take on this role.

Outreach Coordination (Climate Justice Monitoring)
Assist in expanding LPFDev’s climate justice network by identifying and engaging with stakeholders, event organisers, and partner organizations. Facilitate collaboration opportunities and ensure LPFDev is informed about upcoming relevant climate forums.
Key Responsibilities:
- Scout and track upcoming climate-related events globally and regionally
- Contact event organizers to explore monitoring and collaboration opportunities
- Build and maintain a stakeholder engagement database
- Support communication efforts to grow LPFDev’s outreach and visibility

Across the UK, our 270 local groups play a vital part in supporting people affected by MS. They provide sense of belonging, unity and friendship. And they deliver services and support for their local MS community.
We are looking to recruit an Activities Volunteer for the Ballymena Group. As our local group Activities Volunteer you’ll help us to set up activities in the area. Whether you’re serving refreshments, talking to people, registering attendees or collecting payments, you’ll be making sure everyone feel welcome.
In this role you’ll be able to develop your organisation, communication and team working skills. Most importantly you’ll be supporting your local group to run activities that bring friendship and fun to your local MS Community.
About you
You’ll have an interest in the MS Society and the work that we do, as well as the enthusiasm to represent both us and our values locally. You will understand the needs of people affected by MS in your area and be sympathetic to the needs and motivations of volunteers. You’ll be able to apply disability, equality and inclusion practices and understand and apply our risk management system. Ideally you’ll understand the local area and organisations that provide local services.
You will be reliable and easy to contact and you need to live in or near the area the group to carry out this role.
Time Commitment
We estimate this role will need up to two hours a week. Our roles are flexible and aim to fit around you. Time commitments for this role may vary depending on your activities. This is an ongoing role.
