ABOUT THE JOB

Job Purpose 

We are looking for an exemplary people-oriented administrator to provide administrative support to the Gestalt Centre CEO and the workstreams she manages. An important role in the organisation, working with senior leadership and across teams, in a welcoming and supportive environment with opportunities to learn and grow on the job.

Areas of work and responsibility

• Administrative Support to the Gestalt Centre CEO
• Coordinate and support projects and workstreams the CEO leads on: Operations, Communications and Marketing, Short Courses and Post Graduate Qualifications, HR, Finance, Policies, Fundraising and Health & Safety.
• Liaise with the CEO and the leadership team to update the organisational plan and workstream plans, also keep track of relevant priority actions and progress.
• Provide administrative support for governance processes such as the Annual Financial Audit, Trustee Board meetings, the Charity Commission and Companies House submissions.
• Provide administrative support to the organising and running fundraising activities and events.
• Administrative support and coordination for the annual planning of Short Courses and Post Graduate Qualifications programmes. 
• Organise, provide administrative support, and attend as appropriate, weekly operational meetings, monthly Executive meetings, and other project meetings, led by the CEO. Prepare meetings set up, information and any required papers in advance. Organise dates, taking and sending out minutes and coordinate follow-up actions ensuring progress and completion.
• Liaise with the CEO to prepare, format, edit and update reports and policies for internal and external audiences to a high standard.
• Provide a professional first point of contact for the CEO and as required liaise with her and the leadership team in order to respond to emails or phone calls and organise follow up meetings.
• Office team support such as reception/admin cover or support with events, as and when occasionally required.

Chorlton Good Neighbours is a small, well-loved neighbourhood charity with roots back to the late 1960s, working to reduce loneliness and support older people across Chorlton and adjacent neighbourhoods. Our work is local, practical and volunteer-led: befriending, home visits, transport, weekly activities, monthly teas, intergenerational groups and occasional day trips are all delivered with warmth and care.

Our volunteer base is extraordinary - around 100 volunteers support drivers, befrienders, activity leads, admin roles and trustees - and in 2024–25 we supported 474 people in total. As our next Manager (Chief Executive), you will:

Position Summary

The Executive Assistant to the CEO is a highly trusted partner who enables strategic focus, operational effectiveness, and disciplined execution at the executive level. This role requires sound judgment, discretion, and the ability to anticipate needs in a complex, global environment.

The successful candidate is a quick thinker, resourceful problem solver, and mission-driven professional who thrives in fast-moving, international settings. This individual will operate at the center of RAP’s leadership ecosystem, coordinating across senior leadership, board members, external partners, and global stakeholders.

Key Responsibilities

• Manage the CEO’s complex global calendar across time zones with proactive prioritization and alignment to strategic objectives.
• Anticipate emerging issues and flag risks or dependencies early.
• Ensure follow-through on key commitments, action items, and cross-functional deliverables.
• Act as a gatekeeper and facilitator to protect executive focus while maintaining responsiveness.
• Facilitate information flow between the CEO and Senior Leadership Team.
• Coordinate high-level external meetings with policymakers, donors, and partner organizations.
• Draft correspondence and executive communications that reflect RAP’s values and strategic voice.
• Support travel planning, logistics, and preparation for international engagements.
• Maintain structured systems for document management, tracking, and workflow coordination.
• Identify opportunities to streamline processes and improve executive support infrastructure.
• Support expense reporting, contract coordination, and light project management as needed.

Qualifications & Experience

• Minimum of 3 years of experience supporting C-level executives, ideally within international nonprofit, policy, or mission-driven environments.
• Experience operating in complex, multi-country organizational structures.
• Demonstrated ability to manage confidential information with integrity.
• Strong written and verbal communication skills in English. Proficiency in other global languages is highly desirable.
• High digital fluency with productivity tools such as Microsoft 365 and collaboration platforms.

Working Model

This role can be structured as part-time or full-time, depending on candidate experience and organizational need. Flexibility in working hours is essential due to RAP’s global footprint.

The position may be based in Greater London or Berlin, with remote flexibility consistent with RAP’s operating model.

We are delighted to be supporting a prestigious London-based university in their search for a Executive Assistant to join the Dean’s Office on a temporary basis. This is a full-time, hybrid role based in Central London 3-4 days per week, running up for 2-months in the first instance.

Key Responsibilities for this role include:

• Supporting the day-to-day operations of the Dean’s Office, including managing phones, ordering supplies, and reporting maintenance issues.

The Woodland Trust is looking for a Personal Assistant to support the Executive Director of Nature Recovery in their strategic and operational leadership role at the Trust.

The Role: 

• Manage the Director’s day-to-day activity, including diary management, forward planning, travel, daily updates and ad hoc requests.
• Handle incoming and outgoing correspondence, triage actions, maintain records and update Trust systems, including the CRM.
• Act as the main departmental point of contact, liaising with internal colleagues and external stakeholders.
• Prepare expense claims and maintain corporate credit card records using Business World.
• Monitor and report on departmental budgets with the Director and Management Accountant, supporting forecasting and annual budgeting.
