We are looking for a Head of Finance & Operations to join our growing team in this flexible, remote working role (4 days per week).

The Role

As Head of Finance & Operations, you will play a pivotal role in leading EFN’s financial, operational, and HR functions, ensuring the organisation continues to thrive and deliver on its ambitious strategy.

Reporting to the Executive Director (ED), you will join the Leadership Team and work closely with the ED and Board of Trustees to ensure sound financial management, operational excellence, and a supportive, effective working culture.

You will:

• Lead on day-to-day financial management, including reporting, budgeting, forecasting, and audit processes

• Manage HR, IT, and systems to support our remote-working team

We are looking for a Legacy and Administration Manager to join our Finance and Operations team on a part-time basis (2 days per week). This role will report to the Director of Finance and Operations. 

Job Purpose

Legacies are one of the most vital sources of income for Operation Smile UK, helping us continue our work supporting patients with cleft around the world. We’re now looking for a Legacy Administration Manager to join our dedicated team and ensure that every gift left to the charity is managed with care, professionalism, and in line with the wishes of our supporters.

Key Responsibilities

• Manage a portfolio of residuary, specific, and reversionary legacy cases from initiation to completion, optimising income while upholding all legal, ethical, and organisational standards.
• Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
• Review estate documentation and valuations, determine the charity’s entitlement, and verify that all due funds are correctly received.
• Ensure that all relevant charity tax reliefs are properly applied for, including Inheritance Tax, Capital Gains Tax appropriations, and Income Tax (form R185).
• Maintain accurate and up-to-date records of all legacy income and correspondence within OSUK’s CRM system and Finance Tracker.
• Track the status of ongoing cases, pursue outstanding actions, and take prompt steps to address issues or disputes as they arise.
• Collaborate closely with internal teams—such as Finance, Supporter Care, and Partnerships—to promote strong stewardship and compliance.
• Refer or escalate complex or high-impact matters to the Director of Finance and Senior Finance Manager when necessary.
• Contribute to team meetings, process improvements, and the development of best practice.

Person Specification

· Strong interpersonal skills with the ability to build positive relationships and communicate clearly and sensitively, both in writing and verbally.

· Proven experience in legacy administration within the charity sector or in probate and estate law.

· Highly organised, with the capability to prioritise and manage a diverse caseload effectively.

· Exceptional attention to detail, ensuring accuracy in financial transactions, documentation, and data entry.

· Skilled in interpreting wills, estate accounts, and related legal documents.

· Competent in reviewing estate accounts to verify the correct application of Inheritance Tax (IHT) and Capital Gains Tax (CGT) and to ensure estates are properly finalised.

· Proficient user of Microsoft Office and customer relationship management (CRM) systems.

· Review estate accounts, including the allocation of Capital Gains Tax (CGT) and Inheritance Tax (IHT), to confirm estates are correctly administered.

· Certificate in Charity Legacy Administration (ILM) or legal/paralegal qualification.

About the role

As Director, you will oversee daily operations, including forecasting and budgeting for the entire organisation (currently c£300K per annum). As such, you will lead on developing a sustainable funding stream for our mission-driven work, ensuring we maintain a 6-month runway at all times. You will build and maintain strong external relationships to help grow and develop the organisation. The Director will provide leadership to a small, remote team (4 x PAYE) and create a happy, sustainable and productive work environment. Most importantly, the Director will ensure objectives are being met - both personal and organisational - to deliver impactful, positive change for our waterways in the UK, and abroad.

Key Responsibilities

Funding Development + Stakeholder Relationships (40%): 

• Significant responsibility for successful contractual negotiations and maintaining a healthy new funding pipeline. Secure six-to-seven figure funding opportunities to provide a sustainable revenue stream for 3+ years. 
• Strategic understanding and experience of competitive and fast changing charitable financial landscape.

We seek a Finance Officer to join our small team. You will report to the Head of Finance to provide bookkeeping and accounting support for Global Dialogue and Global Dialogue Ventures Limited. You will use Xero and be responsible for many aspects of operational finance including maintaining accurate records in the organisation’s purchase and sales ledgers; processing accounts payable and receivable; bank and other reconciliations; supporting month, quarter and year-end closes; and resolving ad hoc queries. 

This role is part-time. We are open to negotiating a working pattern that works for the successful candidate and for Global Dialogue. 

Terms Permanent, 21-28 hours per week, subject to 12-week probationary period

Location Home-based. Must have right to work in UK.

Reporting Reports to the Head of Finance 

Remuneration This role has been benchmarked at a UK salary of £33,000 (pro rata for a part time position). Maintaining purchase ledger: 

• Review staff and consultant expense claims 

• Reconcile monthly credit card and Soldo statements

We are seeking an experienced and strategic Director of Operations to lead the Institute’s operational functions, strengthen systems, and ensure efficient, effective support across finance, HR, IT, facilities and governance.

The role
As Director of Operations, you will be a key member of the Senior Management Team, providing operational leadership across the organisation. You will manage central services, ensure compliance, and enable BIICL to deliver its mission efficiently. This is a hands-on, strategic role requiring strong leadership, organisational insight and the ability to implement change across teams and systems.

Key responsibilities

• Lead financial planning, budgeting, reporting, audit processes and project monitoring.
• Line manage the Finance Officer, Office Manager, and Systems Manager.
• Serve as Company Secretary, supporting the Board and Committees, risk management and regulatory compliance.
• Oversee HR policies, staffing, induction, appraisals and compliance with employment law and UKVI requirements.
• Ensure effective IT, CRM systems and facilities management.
• Support organisational strategy, change initiatives and senior-level projects.

About you
You are an experienced operational leader, ideally from the charity, higher education, or research sectors. Strategic yet practical, you combine financial and governance expertise with excellent people management and communication skills. You thrive on implementing systems, leading teams and enabling organisational success.

Royal Medical Benevolent Fund (RMBF) is a UK charity dating back to 1836.  Its objects are to prevent or relieve poverty and to relieve need arising from youth, age, ill health, disability and bereavement among people who are doctors or who have worked as doctors, and medical students and the dependants of such individuals.

• Location: Wimbledon.

Royal Medical Benevolent Fund (RMBF) provide advice and financial assistance in the form of grants at times of crisis and hardship.  Our work is funded through a combination of donations, legacies and returns on our investments.

The Head of Finance & IT will manage the relationships with the three investment managers and the outsourced IT providers.  It is a varied role, combining the strategic with the hands-on.  It will suit a versatile individual who is happy to transition between multiple tasks.  No two days will be the same.  One moment you might be writing or reviewing Board papers, the next you might be managing an IT support call and then later on you might be rolling up your sleeves to post the final journal entries to complete the management accounts.

Main Duties and Responsibilities:

Finance

• Accurate, timely and user-friendly management accounts, cash flow projections and other relevant financial information, with associated recommendations where appropriate
• An annual budget and accompanying management commentary
• Draft statutory accounts which meet the latest SORP requirements, producing the audit file and being the lead contact for the Fund’s auditors during the annual external audit
• Full compliance with UK charity and company financial regulations; and appropriate financial controls in place and complied with
• The development and keeping up to date of a Finance department handbook, covering finance policies, practices and procedures
• Successful leadership and development of the finance team
• The development of, and assistance with the implementation of, financial strategies to enable the Fund to achieve its long-term goals
• Support The Finance Committee’s investment management and monitor the Investment managers’ performance
• Managing the payroll function (outsourced)
• Managing the relationship with the pension scheme provider and staff salary sacrifice arrangements.

Information Technology

• Responsible for the development and implementation of the RMBF’s Information Technology strategy
• Management and development of an accurate, up to date, user-friendly database to provide relevant information to support all areas of the RMBF’s work including casework, fundraising and communications
• Cost effective development and use of IT within the Fund, to enable staff to make good use of IT for communication, record keeping and management information
• Managing the relationship with the Fund’s outsourced IT support companies.

Person Specification

• Qualified accountant with a minimum of 3 years post qualified experience
• Good understanding of charity SORP
• Experienced in preparing charity statutory accounts
• Experienced in charity investment management; good understanding of charity investment and restricted funds
• Good understanding of stakeholder pension and latest regulatory requirement
• IT literate including database management and development and an advanced user of the Microsoft Office package
• Good communication skills to be able to deliver a presentation to the stakeholders and manage business relationships with investment managers, IT providers, bankers and auditors as well as internally with department managers
• Experience in team management
• HR knowledge to be able to deputise for CEO in his absence
