Job description

Solace Women’s Aid is an innovative, exciting, grassroots charity working across London. Our purpose is to bring to an end the harm done through domestic and sexual violence to all survivors, and in particular women and children. Our work is holistic and empowering, working alongside survivors to achieve independent lives free from abuse.

You will be joining a team of committed and inspiring individuals whose dedication has saved the lives of thousands of women, men and children in the capital. We are looking for friendly and diligent individuals to join our services and help us make a difference.

About the Role

You will be responsible for:

  • the preparation of monthly income and expenditure management reports
  • the preparation of funder reports
  • support with budget planning and forecasting
  • accruals (income and expenses), prepayments, fixed assets depreciations, apportions
  • support with operational finance when needed
  • adhoc work

A. Main Purpose of Job

  • Ensure monthly management accounts are produced within established deadlines and distributed to budget holders.
  • Provide monthly analysis of accruals and prepayments.
  • Complete the financial sections for funder reports within reporting deadlines.
  • Support the preparation and download of budget worksheets.
  • Support the preparation and compilation of monthly key performance indicators.
  • Compliance to agreed standards and procedures for all finance operations.
  • Work with other Finance colleagues and Solace staff.
  • Adhoc project work as needed.

B. Key Tasks and Responsibilities

Whilst every endeavour has been made to outline the duties and responsibilities of the post, these duties are not exhaustive.

Ensure the monthly management accounts are produced within established deadlines and distributed to budget holders

  • Prepare monthly accruals and other permanent journals (depreciation, central and other allocation journals) for review by the management accountant.
  • Upload journals and generate monthly management income and expenditure and balance sheet.
  • Provide variance analysis.
  • Deal with routine queries from budget holders.

Provide monthly analysis of accruals and prepayments

  • Reconcile the accruals (income and expenditure), prepayments, fixed assets depreciations on a monthly basis for review by the management accountant.

Complete the financial sections for funder reports with budget holders

  • Comply list and timing of funder reports through regular contact with budget holders.
  • Complete funder reports (finance sections) with review by the Management Accountant and Chief Operating Officer in time to meet all deadlines.
  • Support with new tender applications.

Support the preparation of budget worksheets and analysis

  • Support preparation of budget worksheets and analysis of expenditure items.
  • Support the Management Accountant to manage planning cycles.

Support the preparation and compilation of monthly key performance indicators

  • Support the Management Accountant to prepare KPIs at agreed intervals.

Compliance to agreed standards and procedures

  • Ensure finance standards and accounting requirements for internal reporting are adhered to.
  • Comply with all Solace Women Aid’s policies and procedures.

Agree internal service standards and ongoing monitoring

  • Reporting of management information at quarterly Team Leaders meetings.

Working with other Finance colleagues and Solace staff

  • Respond to queries from the Management Accountant, Chief Operating Officer and other firm wide managers.
  • Support the Management Accountant with special projects and process improvements.
  • Collaborate with other managers to support overall organisation and departmental goals and objectives.

Adhoc project work as needed, including necessary cover duties           

  • Provide lunch time cover for reception duties once a week (at a pre-agreed fixed day of the week). 
  • Provide holiday and emergency cover for the Management Accountant.
  • Provide occasional support for Finance Operations.
  • Other adhoc duties as needed.
