This leadership role will play a critical part in leading the strategic change programme for animal care, by planning, co-ordinating and monitoring all the change projects as one overall plan needed to drive the continued transformation of our animal care and teams. They will also oversee the regular planning and monitoring of Operational business plans to ensure they are on track and in synchrony with the change plans.

• Contribute to new initiatives with British Gas and grant giving programmes.

· Support the effective management of the Trust’s grant programmes across England, Scotland and Wales, including:

• Build & manage positive relationships with the grant assessment team and British Gas internal teams. 

• Providing appropriate support to ensure the direct grant programme runs efficiently and effectively, with grant funding distributed to budget and schedule.

• Undertaking both face to face and virtual monitoring visits of the helpline and application portal and assessment teams – including ongoing KPI and impact evaluation process, creating comprehensive follow-up reports including end of grant reports.

Reporting & Contract Management:

• Ensure all data collection aligned to current Data Protection regulations and use and storage of data is in line with the Trust’s own policies and provide reassurance to the Head of Services.

• Ensure accurate data is in place for year-end reporting, quarterly and including assisting Head of Services with quarterly and End of Year Board reporting.

 Reporting & Contract Management: 

• Identify risks to delivery and work with the grant administrator to help resolve any challenges with delivery that impact on the grant obligations.

• To work with internal and external monitoring and evaluation specialists, to gain impact and understanding of the effect of our funding schemes.

Knowledge Sharing

• Identify and develop opportunities to work collaboratively and share learning.

• Ensure case studies and other content is collated from grant recipients to share through our channels.

At Action Tutoring, data is central to everything we do. With an evidence-based culture and impact at the centre of our strategy, gathering and analysing high-quality data is a key priority.

Our highly customised Salesforce database supports every aspect of our work—capturing and managing data from volunteers, pupils, schools, and tutoring sessions. As Data and Insights Manager, you will make sure our system remains fit for purpose and help turn data into meaningful insights that can inform decision-making.

Duties and responsibilities 

Salesforce and systems development

• Collaborate with external Salesforce development consultants to continue building our system capabilities and design.
• Design and oversee the collection of stakeholder, tutoring delivery, quality assurance and evaluation data, working with colleagues to ensure data is collected in a timely, accurate and consistent manner.

Team leadership and support

• Line manage the Data Lead, ensuring their work is of high quality and they have clear development objectives.
• Plan and oversee training and support for the whole organisation on the effective use of Salesforce, developing their understanding of the purpose and value of data.

Data insights

• Support the Head of Impact and Quality to generate insights from data to inform evidence-based decision-making across departments, including through dashboards.

• Data governance

About you (person specification)

Qualifications criteria:

• Process and record donations via donor platforms into Beacon CRM and Xero
• Review daily bank transactions to ensure timely and accurate coding
• Process and pay supplier invoices, staff expenses, participant payments, pensions, and PAYE
• Complete weekly bank reconciliations and assist with month-end processes including journals, accruals, and prepayments
• Review and submit monthly Gift Aid claims
• Assist with financial reporting and maintain accurate financial records for funders and audits
• Support VAT returns, pension contributions, and payroll processes
• Track grant and contract payments, ensuring compliance with financial terms

Income & Fundraising Support (Approx. 30%)

• Record and reconcile income from fundraising platforms and grants in Beacon CRM and Xero
• Assist with financial reporting for funders and track grant deadlines
• Support Gift Aid processes and maintain donor records
• Liaise with the Partnerships and Programmes Manager on income allocations
• Review financial terms in funding contracts and agreements

About You

Essential:

• Experience in finance administration, ideally within a charity or non-profit environment
• Proficiency in Excel and financial software (e.g. Xero, QuickBooks)
• High level of accuracy, attention to detail, and strong organisational skills

We are seeking a highly motivated and experienced Technical Project Lead to manage and collaborate with an external development/implementation partner and coordinate the smooth adoption of Salesforce within the Charity.  This critical role will be responsible for the full project lifecycle, from planning and requirements gathering to execution, testing, training, and post-implementation support. You will be the central point of contact for all project stakeholders, ensuring seamless communication and collaboration throughout the project.

 Main Responsibilities

• Work with the Director or Finance & Operations (DFO)  to invite tenders for and engage a development / implementation partner to support the adoption of this phase of Salesforce implementation
• Work with the development/implementation partner to develop detailed project plans, timelines, budgets, and resource allocation. Manage the execution of these plans, tracking progress, and ensuring on-time and within-budget delivery.
• Coordinate with the implementation partner to gather and document business requirements from relevant team members to translate these into technical specifications.
• Lead and motivate key stakeholders including the implementation partner and end-users. Foster a collaborative environment and ensure effective communication between team members.
• Act as the primary point of contact for all project stakeholders, providing regular updates on project status, risks, and issues. Manage stakeholder expectations and ensure their buy-in throughout the project.
• Identify, assess, and mitigate potential project risks. Develop contingency plans to address unforeseen challenges and ensure project success.
• Define and implement quality assurance processes to ensure the delivered Salesforce solution meets business requirements and is free of defects. Oversee testing activities and ensure proper documentation of test results.
• Develop and execute change management plans to ensure smooth user adoption of the new Salesforce solution. Provide training and support to end-users.
• Manage project budgets effectively, tracking expenses and ensuring cost-effectiveness.
• Maintain comprehensive project documentation, including project plans, requirements documents, technical specifications, test plans, and user manuals.
• Providing updates against outcomes / budget to the Director of Development (Grants/Major Gifts) to enable rigorous, timely feedback to the project funder.

 Person specification 

• Proven experience (three years minimum) of leading digital transformation projects, with a strong focus on Salesforce implementations and customisations and a strong record of success.
• Deep understanding of Salesforce platform capabilities.
• Excellent project management skills, including budget and stakeholder management.
• Excellent communication, interpersonal and leadership skills with the ability to explain technical concepts to diverse audiences.
• Ability to work effectively in a fast-paced, dynamic environment.  
• Ability to manage, coordinate and get buy-in from technically inexperienced team members.
• Experience with data migration and integration is a plus.
• An understanding of safeguarding data, confidentiality, safe working practices and GDPR compliance.
• Knowledge of appropriate project management frameworks (agile, waterfall) to set project scope, meeting key milestones and budget constraints

Terms & Conditions

• This is a part-time (0.6 FTE), fixed term contract for one year, with a review to extend at the end of that term.
• This role is based in London.
• Salary: £45,000 per annum pro rata (0.6 FTE).
• Holiday: 25 days (including 3 faith days*) + 8 Public Holidays pro rata.
• A beautiful office based in the City of London. Hybrid working is available following induction period.
• 21-hour week: standard office hours are 9.30am-5.30pm, Monday to Friday with an hour for lunch. Work outside these hours is required on occasions.

Purpose of the job

Main Activities

Income Generation:

• Build multi-year corporate relationships that generate income and gifts in-kind by creating and maintaining an active pipeline

• Prepare and submit funding applications and reports in a timely manner
