Responding to over 17,000 service user contacts in 2025, volunteers are the lifeblood of the organisation, and this important post will serve as a key point of contact, counsel, collaboration and leadership for our volunteers. With your team, you will handle day-to-day enquiries, support volunteer well-being, lead on initiatives to improve service delivery, while providing an accessible and supportive environment for volunteers. The role will also manage, support, and grow a diverse pool of volunteers representing our client's communities, overseeing the entire volunteering experience, from recruitment, training, support, engagement, and celebration. This exciting role combines service delivery leadership with responsibility for the digital infrastructure upon which services are delivered, ensuring systems are reliable, secure, scalable, and aligned with user needs.

We are seeking a highly motivated and experienced Facilities Manager to lead and oversee the housekeeping, laundry, portering, gardening, catering, and maintenance teams at Royal Trinity Hospice. This role involves ensuring a safe, compliant, and compassionate environment for patients, staff, tenants, and visitors by maintaining high standards of facilities management.

Overall purpose of the role

• Lead and deliver an effective housekeeping operation ensuring systems and processes are efficient and aligned with organisational goals.
• Deputise for the Head of Facilities when needed to
• Support the delivery of the annual health & safety audits, working collaboratively with consultants and staff to achieve high standards of safety at the hospice.
• Ensure all estates infrastructure work efficiently and effectively, meet the required Trinity standards and fulfil all statutory and regulatory obligations
• In conjunction with Health and Safety Consultants, to ensure the internal and external environment is safe and that all relevant risk management activities (including incident management system) are completed to required standards
• Support the procurement of facilities management service contracts including all planned, preventative maintenance (PPM) requirements ensuring excellent supplier relationship management to hold contractors to account
• Manage and develop ten staff members in the housekeeping department.

 Skills and experience required 

• Vocational qualifications in Facilities Management or Health and Safety (minimum IOSHH or NEBOSH General Certificate, IWFM Diploma, or equivalent).
• A minimum of three years experience in facilities, building services, and health & safety management.
• Proven experience managing multidisciplinary teams, ideally within a healthcare setting.
• Previous responsibility for fire safety, risk assessments, policies, and audits within a healthcare environment (preferred),
• Comprehensive understanding of health and safety standards, infection control protocols, facilities contracts and budget management. Must stay up to date with current legislation.
• Proficiency in MS Office 365.
• Strong analytical skills for managing records, compliance reports, and resource allocation.
• Knowledge of Healthcare National Cleaning Standards.
• Waste Management qualifications.
• Familiarity with CQC standards for Estates and Facilities Services.
• Understanding of NHS Litigation Authority Standards for Facilities Infrastructure Services.

About you

You will play a vital role supporting the management of our diverse portfolio of projects working as part of the team with a broad range of clients, members, and partners including individual councils, the NHS, and other public and voluntary sector partners to enable them to become more community powered. With some experience in project management, people, and research skills, you will act as the team's administrative engine, working as the organising power behind the team's high-quality delivery of our practice and programme work.

• Coordinate several projects at the same time, supporting team members to deliver high quality work, on time and within agreed budgets.

• Coordinate project meetings, both internally and externally, capturing key decisions and actions and working with the team to develop effective project management mechanisms to enable smooth delivery.

• Act as a first point of contact for project work, providing timely project management updates for internal and external stakeholders.

• Support the design and delivery of workshops and events, particularly through coordination of logistics (venue, catering, IT, materials needed, etc.) and liaising with our team, clients, and participants to ensure sessions are delivered smoothly.

• Support project leads to prepare high quality, compelling project resources including presentations, reports, and blogs. 

• Support project leads in designing and delivering a range of research activities including desk research, focus groups, interviews, and analysis. 

• Work with New Local’s Finance Officer and Head of Operations & Finance to ensure invoicing, and payments related to the Practice and Programme team’s work are processed in a timely manner.
