About the team
The team deliver a range of services, including training on housing and homelessness prevention, housing law consultancy, online resources and projects to support professionals working directly with people at risk of homelessness to get positive outcomes. The team covers all of England and works closely with teams including Learning and Organisational Development, Training and Support, Business Support, as well as our frontline Services and Legal Services.
About the role
Knowledge is power and we run over 1,600 training courses that attract 40,000 delegates each year. Your challenge, together with three other Operations Assistants will be to take responsibility for the administration and operational delivery of all of our courses, including face-to-face training and online via webinars and e-learning. We’ll rely on you to ensure that each course runs smoothly, all delegates and trainers have the instructions and information they need and that the highest level of customer care is provided. Onwards and Upwards (O&U) is a charity created to directly tackle the cycle of reoffending driven by the barriers to unemployment faced; our purpose is clear, and our plan is simple. We will break the cycle of reoffending by starting sustainable businesses which train and employ ex-offenders. These must be organisations that people are proud to work for, provide personal and professional development, that operate in high demand sectors, and that showcase the talents and potential of ex-offenders as employees to businesses and society at large.
Our plan in the long-term is to launch, test, and grow a range of businesses that all follow this model – of training, supporting and employing ex-offenders in positive environments that are part of a community, with aspirational brands, and with full support for people to grow and move on with their lives.

THE ROLE

We are looking for an organised, motivated, and experienced Operations professional to ensure O&U and our Commercial Ventures run smoothly and efficiently, our staff team is valued and supported, and our management teams are kept up to date and fully informed. This role would be perfect for an Ops Director excited by our approach and mission, or as a first step into a Director role for a proven Ops manager.
The primary responsibilities include:
HR
Our staff and volunteers are central to what we do here at O&U and XO Bikes. We are a growing team and it is essential that all staff members feel valued and supported. The Operations Director will assist the core management team in ensuring we all work well together to fulfil the missional objectives of the charity. Tasks will include:
· Management of O&U and XO Bikes HR functions including recruitment, administration, compensation and benefits, training and development, staff wellbeing and performance management.
· Ensuring our staff team and volunteers are well qualified for their roles and developed both professionally and personally.

FINANCE
The Operations Director will need to have a good understanding of finance reporting and systems to inform leadership, manage budgets and cashflow and ensure we meet statutory financial requirements. They will manage the Finance Assistant who is responsible for keeping our finance systems up to date and managing day to day bookkeeping.
Finance tasks will include:
· Management of Finance Assistant to ensure accurate, timely and complete information is provided to Trustees and the O&U management team to inform strategy and planning decisions. This will include the following tasks:
o Production of annual budgets and cashflows in conjunction with the management team
o Management of relationships with auditors, Charity Commission and HMRC
o Responsibility for statutory and management finance reporting including external independent examinations/audits.
· Production of monthly management accounts, balance sheet, cashflow and profit and loss
· Ensure timely filing of annual reports and accounts for the charity and any ventures the trustees are responsible for
OFFICE SUPPORT
The Operations Director will manage the Operations Assistant and ensure staff are fully set up and trained on all IT systems. This includes Microsoft office products, database management systems, HR platforms and retail/production systems.
· Operational management of IT services and support at O&U and XO Bikes
· Ensure IT provision is consistent, up to date and easily accessible to all staff and volunteers
· Ensure training is provided for all staff and volunteers
PREMISES MANAGEMENT
The Operations Director will ensure the offices, workshops and retail outlets are safe spaces, well maintained and fit for purpose. This will include the following:
· Review building security and insurance provision annually
· Review health and safety policies and ensure training is provided to all staff
· Ensure fire regulations are complied with at all premises
· Review property leases and liaise with landlords as required by core management team
· Manage relationship with local council re business rates and discretionary relief applications
· Manage contracts with utility providers (includes lighting/heating/water)
· Manage support contracts re fire regulations, health and safety
CHARITY GOVERNANCE
The Operations Director will be the liaison between the UK Charity Commission, the trustees of O&U and the staff team. Tasks will include:
· Collation of updates from managers for the Trustees (6 reports per annum)
· Attendance at all trustee meetings
· Production and circulation of Trustee meeting minutes
· Charity Commission administration and reporting
· Trustee onboarding
LEGAL & COMPLIANCE
Ensure implementation of procedures and policies in line with all relevant statutory requirements concerning HR, Finance and Charity governance. Ensure O&U is kept up to date with all regulatory changes which affect the charity and our commercial ventures. This will include the following:
· Keep up to date with changing legislation and laws affecting companies and charities making appropriate recommendations to management on changes and other relevant matters.
THE PERSON
We are looking for someone who shares our belief that individuals who commit crimes should be given the opportunity to build themselves a positive and productive life atop the foundations of secure employment. The cycle of reoffending is an enormous issue, but one we can start to solve.

The Position
The Communications and Marketing team works to build the Fund’s brand presence and visibility with key audiences, delivers campaigns to grow its digital community and pipeline of individual donors, and leads on strategic communications projects to further the organization’s programmatic and developmental objectives. The team is made up of four committed individuals, not including this post, and current team members are based across the UK and US.
Reporting to the Director of Communications and Marketing, the Marketing Technology & Analytics Lead works to ensure that all communications and marketing activities are maximally robust, well-optimized and data driven. The post holder will provide data management, tracking, analysis, and ongoing systems maintenance and development. They will act as the lead product owner of our WordPress website, ensuring it is optimized for the best possible SEO and User Experience, oversee our email, donation, and content platforms, and work closely with our Salesforce Administrator to manage all integrations between these systems and our Salesforce CRM.
The Marketing Technology & Analytics Lead will also create and oversee analytics dashboards that allow the team to track and measure its performance across the full range of communications, marketing, and fundraising activities, and will be responsible for collating key actionable insights that can inform cross-team learning and continuously improve our digital communications and marketing strategies.

Essential Duties

- Work closely with the other members of the Communications and Marketing team, across the full range of web, paid and organic social, and email marketing, assessing analytics and technology needs and offering technical insights that can inform optimizations and future strategies
- Manage and build dashboards and reporting templates that maximize insight across all digital marketing, communications, and individual giving metrics
- Act as the overall technical owner of the organizational website, building new website pages as needed and ensuring the best possible user experience
- Manage the infrastructure of the Fund’s email marketing platform, MailChimp, providing support to others in the team on technical MailChimp projects, such as implementing automated journeys, managing audience segments, and producing templates that require HTML or CSS coding
- Manage the Fund’s donation platforms (currently Funraise) and build unique donate pages, pop-ups, and campaign page templates as needed, using HTML, CSS, and JavaScript where necessary
- Ensure the flow of data between the Fund’s marketing platforms and Salesforce, working across teams to provide technical support on integrations and cross organizational systems, and scoping any platform improvements
- Lead on Search Engine Optimization and Search Engine Marketing, overseeing the Fund’s Google Ad grant account and utilize it to help increase website traffic
- Manage and update supporter and transactional data to ensure an elevated level of hygiene and manage the synchronization of all data between all marketing tools and Salesforce
- Work with the Communications and Marketing and Individual Giving teams to inform the conceptualization and planning of fundraising campaigns and manage their implementation from a technical perspective, and work alongside colleagues throughout their campaigns to ensure accurate data management and analysis
- Coordinate and lead on the management of the team’s video, photo, and audio libraries, ensuring all assets are appropriately downloaded, compressed, tagged, and stored

Minimum Qualifications

ROLE PURPOSE
As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group. As such, you will have the opportunity to work with the entire Student Minds team and a variety of stakeholders across the health and higher education sectors.
Key responsibilities:
Chief Executive Officer assistance
- Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
- Arrange meetings and itineraries and coordinate travel as required.
- Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.
Meeting management
- Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
- Provide logistical and administrative support for all meetings, arranging suitable meeting premises or software, preparing and circulating agendas and meeting papers in consultation with the relevant participants (e.g. Chair of the Board, CEO and Senior Leadership Team).
- Coordinate catering requirements and liaise with the finance team to make purchases.
- Take high-quality and accurate meeting minutes and circulate them for appropriate approval and sign-off.
- Ensure prompt follow-up with agreed action points and follow through with ongoing delivery of commitments.
Governance support
- Provide administrative support where applicable to meet the charity’s requirements with
- Companies House and the Charity Commission.
- Support with Trustee recruitment, induction and training.
- Support the charity’s continuous improvement and compliance using tools such as the Governance
- Code.
Senior Leadership Team coordination
- Support with coordinating multi-stakeholder meetings, and liaising with internal and external stakeholders.
- Support members of the Senior Leadership Team or their guests with the use of our core systems and software (Google Workspace, Google Meet, Slack, Mural, Zoom).
- Process any travel expenses for the Senior Leadership Team.
- Manage charity records: provide historical reference by supporting procedures for the retention and disposal of records.
- Welcome guests and provide tours of facilities or support guests to use online meeting software where required.
Other duties

The role
We are looking for an enthusiastic and collaborative finance assistant to join our friendly and dynamic finance operations team of 4. You will play an important part in ensuring that day-to-day finance is run smoothly. Purchase ledger (80%)

The role
FareShare has a vibrant Fundraising team that has achieved incredible growth in support across income streams over recent years.
