We are seeking an Interim Grants Coordinator (Live Grants) for 4-6 months for a highly regarded funder. The post will play a key role within a busy and supportive Grants and Programmes team and will be responsible for ensuring the smooth administration of a portfolio of live grants, providing outstanding support to grant holders and colleagues, and helping to deliver an effective and efficient grant-making operation. This role is offered as hybrid 35 hours per week (with at least 3 days worked from the central London offices)
Working closely with Grant Leads, you will manage a varied portfolio of funded projects, acting as a key point of contact for grant holders and responding to queries in a timely and professional manner. You will coordinate reporting schedules, process change requests, maintain accurate grant records, and ensure all grant-related information is recorded and managed effectively within Salesforce. You will also contribute to the ongoing development and improvement of grants administration processes, helping to ensure that our systems and procedures are efficient, accessible, and user-friendly.
The role also includes responsibility for grants invoicing and financial administration, supporting budget monitoring, processing grant-related expenses, and working closely with finance colleagues to ensure payments and financial records are managed accurately. In addition, you will produce management information and reports, support grant-holder events and communications, and contribute to wider organisational initiatives. A key part of this role is supporting equity, diversity and inclusion across grant-making activities and you will help ensure that our grants processes are fair and
accessible, contribute to EDI initiatives, and support engagement with under-represented groups.
We are looking for someone with excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities and deadlines. You will be a confident communicator, comfortable working with data and databases, and able to build positive relationships with a range of stakeholders. Experience of Salesforce, grant-making, financial administration, or grants management would be advantageous, but we are equally interested in applicants who can demonstrate strong transferable skills.

Pay: £22.80 per hour (+ £2.75 holiday pay) (circa £42,000 salaried equivalent)

Prospectus is delighted to be supporting our client, an national grant provider, in the search for a temporary Grants and Operations Coordinator.
The role will be focused on effective delivery of grant programmes by managing post-award grant administration and grantee communications, while contributing to the day-to-day operations of the organisation through office, reception and event support.
Key Responsibilities:
- Coordinate the administration of grant programmes, including issuing grant documentation, managing recipient communications, monitoring requirements, maintaining accurate records, and supporting the timely release of grant funding.
- Act as a first point of contact for grant recipients, responding to enquiries and progressing applications and payments through established processes.
- Monitor grant management workflows and shared inboxes, ensuring information is accurately tracked and administrative deadlines are met.
- Provide reception and front-of-house support, welcoming visitors, handling enquiries, calls, post, and general correspondence.
- Coordinate diaries, meetings, travel arrangements, and shared inboxes to support the smooth running of the organisation.
- Assist with meeting technology, IT support coordination, office facilities, supplies, and equipment management.
- Support the delivery of events through the preparation of materials, coordination of logistics, and liaison with suppliers.
- Provide flexible administrative and operational support to colleagues across the organisation as required.
Key Requirements:
- Recent, relevant experience in a similar role within a charitiable or not-for-profit organisation, including knowledge of grants.
- High level of organisation and attention to detail, with the ability to manage competing priorities and deadlines.
- Excellent interpersonal and communication skills, with the confidence to build strong stakeholder relationships.
- Collaborative and proactive approach, with the capability to work both independently and in a team.
