Summary
The postholder will be responsible for the day-to-day finance of Rainbow Haven. Tasks include managing the day-to-day finance system and records; producing regular and accurate financial reports.
The postholder will work closely with, and report to, the Chief Executive Officer.
Main Duties and Responsibilities
Financial support
1. Production of timely and accurate monthly management accounts.
2. Prepare rolling monthly cash flow reports.
3. Manage the organisations different funding streams.
4. Support the payroll process as necessary.
5. Work with the CEO to create finance reports for funders and donors.
6. Work with the CEO to create reports and present financial records to external auditors, the finance committee and TEMCA Board as required.
7. Manage and reconcile bank accounts.
8. Raise and pursue payments of invoices related to income as required.
9. Balance Sheet reconciliation work.
10. Maintaining accurate petty cash, supplier invoices and online payments via the QuickBooks online system.

5. Oversee Rainbow Haven’s email and Office 365 systems, working with our IT contractors to ensure our systems are fit for purpose.
6. Work within the organisation’s policies and procedures, and ensure all office and administration work is line with these.

About Rainbow Haven
Rainbow Haven is based in Gorton, Manchester. We are a community service for refugees, asylum seekers and other migrants needing support. We have a weekly open-access advice drop-in session, with follow-on appointments. At our drop-in sessions we welcome people to our centre and offer advice and information, hot lunches and social/well-being activities. We offer a range of other well-being, educational and social activities, including classes in digital skills and ESOL and other targeted support to help people into further education or employment; and opportunities for particularly isolated groups such as new mothers, to connect with each other and with relevant professional services.
Our service users come from many different countries and speak many languages.
We receive funding from a wide range of charitable foundations, from local authorities and through partnerships with other local charities in the sector.
Rainbow Haven is a project of The East Manchester Community Association (registered charity 1131060).

Our friendly staff team has 10 permanent members. We also offer short-term ‘Apprentice’ placements so that people new to the country can have a first experience of working in the UK. We have over 40 volunteers who play a vital role in delivering our services; many volunteers move on to further training and employment. The Director of Operations is an important, senior role at the Art School, responsible for supporting the Principal in the delivery of the Strategic Vision and to monitor the progress of its objectives. The Director of Operations is the key liaison with the Property Trust, which is the official landlord for the Art School and the governing body that oversees the main buildings at our site in Kennington. Account Management
· Lead a stewardship framework, ensuring excellent account management of funders across the team (including own portfolio)
· Lead plans for the year, thinking creatively to develop new engagement opportunities such as panels, breakfast meetings and other events
· Collaborate with other leads and managers in the team to maximise opportunities through relationships, for example Major Donors, Corporate partnerships and Individual Givers.
Management

The Head of Operations will provide strategic leadership and oversight of HEY Smile Foundation’s governance arrangements, organisational systems and infrastructure, human resources and culture, and buildings and facilities. The role will ensure Smile has the people, processes, controls and resources to deliver its purpose reliably and respond confidently to future opportunities. Working closely with the CEO and senior leadership team, the postholder will translate organisational strategy into a clear operational plan, strengthen accountability and lead improvements across the charity. They will provide the CEO and trustees with timely information, assurance and practical recommendations on operational performance, capacity and risk.
This is a senior leadership role combining strategic oversight with the ability to secure delivery through colleagues, managers and specialist providers. The postholder will establish clear responsibilities, standards and reporting, intervening directly where necessary and building capacity so that routine delivery does not depend on the CEO.

We are a very creative and ambitious team, and so a common-sense approach to problem solving and enthusiasm are essential for success in this role.
Research skills are essential to this role, and so an undergraduate degree is required, with desired experience at postgraduate level, too.

Summary of Main Duties and Objectives of the Job:
· Assist in planning and delivering outreach activities.
· Supervise outreach staff and volunteers.
· Build relationships with community partners.
· Monitor and report on outreach performance.
· Deputise for the Group Manager when required.
· Promote a culture of empowerment, trauma-informed practice, and continuous improvement.
Support the Group Manager to :
· Design and implement outreach strategies to engage diverse communities.
· Develop community-led projects and initiatives that promote mental health and wellbeing.
· Ensure service user voices shape outreach and development activities.
· Ensure services meet contractual, legal, and quality standards, including safeguarding, GDPR, and clinical governance.
· Monitor and evaluate service performance, using data and feedback to inform improvements.
· Ensure services are delivered within budget and collaborate with the Finance Manager on financial planning and reporting.
· Contribute to the strategic development of community services, identifying opportunities for innovation and growth.
· Support tendering and funding applications, working with colleagues to develop compelling proposals.
· Build and maintain relationships with commissioners, funders, and community partners.
· Support the professional development of staff and volunteers through supervision, appraisal, and training.
· Work with HR and senior colleagues to identify training needs and promote wellbeing in the workplace.
· Lead safeguarding practice within therapeutic services, ensuring robust policies and procedures are in place.
