 Overall purpose of role

As WeProtect Global Alliance Fundraising and Grants Manager,you will:

• Lead the day-to-day management of a multi-donor grant portfolio (restricted and unrestricted) to ensure donor obligations are met in full and on time.
• Optimise and maintain grants management systems (calendars, trackers, templates, CRM, workflows) proportionate to a small organisation operating at global scale.
• Produce and co-ordinate high-quality donor reporting and contribute to renewal and proposal development, working closely with the Head of Development and collaborating with the Deputy Head of Operations and Finance, as well as colleagues in the Strategy and Members teams.
• Ensure and strengthen donor compliance, due diligence, and data assurance across the grant lifecycle in line with donor requirements, relevant regulations (including UK and EU), and best practice standards (including GDPR).
• Support the Head of Development and Deputy Head of Operations and Finance with grant budgets, forecasts and pipeline, supporting decision-making by the Executive Team and Board.

Key responsibilities

Portfolio ownership & planning

• Maintain a live grants calendar covering deliverables, reports, payments, audits and evaluations; ensure all internal and donor deadlines are met.
• Act as primary point of contact for assigned donors on contractual, reporting, and routine relationship matters, escalating strategically as needed.

 Reporting & stewardship

• Coordinate the production of timely, accurate and outcome-focused narrative and financial reports, synthesising inputs from programme, policy, finance and leadership colleagues.
• Support contract amendments/variations, no-cost extensions, and budget realignments in collaboration with the Head of Development and Deputy Head of Operations and Finance.

Compliance, risk & due diligence

• Interpret, operationalise, and ensure adherence to donor terms and conditions, including eligibility rules, procurement, safeguarding, DEI, anti-fraud, and data protection requirements.
• Contribute to risk registers linked to grants and grant files (audit-ready) with clear decision trails.
• Support alignment with UK and EU regulatory frameworks and internal policies.

Budgeting, finance & cost recovery

• Support the Head of Development and Deputy Head of Operations and Finance to maintain budgets, forecasts, and cashflows to delivery plans.
• Support cost recovery and overhead allocation approaches and ensure compliant coding and reporting for restricted awards (i.e. timesheets and expense coding).
• Track income recognition and receivables against milestones; prepare payment requests/invoices as required.

Proposals, renewals & pipeline support

• Work with and report to the Head of Development to identify and develop new funding opportunities.
• Support the preparation of compelling proposals, concept notes, and donor presentations tailored to institutional, foundation, and private sector partners.
• Conduct donor research and maintain a live fundraising tracker and CRM system to support proactive pipeline management.
• Contribute to the cultivation and stewardship of funders, preparing impact reports, case studies, and donor communications.
• Coordinate cross-team inputs for donor meetings, funding campaigns, or events that support income generation.

Systems, data & process improvement

• Utilise available grants management tools (e.g., trackers, templates, checklists, shared drives/SharePoint, CRM).

· Promote disciplined data management, ensuring GDPR-compliant document storage and access controls.

• Provide training and guidance to colleagues on grant requirements and internal workflows.

Governance & internal collaboration

• Prepare or contribute to concise briefings, dashboards, and summaries for the Head of Development, Executive Team, and Global Policy Board.
• Contribute to annual planning, KPI setting, and impact measurement related to fundraising and grant delivery.
• Support continuous improvement in monitoring, evaluation, and learning.

Experience

1. Substantial hands-on experience managing multi-donor grants across the full lifecycle, from start-up to close-out with a diverse donor community (governments/multilaterals, trusts and foundations, and private donors), including restricted awards.

2. Proven track record coordinating high-quality donor reports and ensuring contractual compliance across multiple awards and deadlines.

3. Demonstrable experience collaborating internally and leading applications, funding reports, financial reporting (budgets, forecasts, cost recovery, and expenditure monitoring).

4. Experience of preparing concept notes, proposals, and application forms for funding opportunities.

5. Experience with grant databases/CRM.

6. Stakeholder management skills, with experience liaising with donors and supporting senior leaders with briefings and stewardship.

7. Experience in due diligence, risk management and audit-readiness for grants (e.g., procurement, safeguarding, sanctions/PEP checks, data protection).

8. Proven experience working autonomously in a fast-paced environment to deliver a broad range of donor activities.

About the Role/Role and Responsibilities 

An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Head of Operations. The post holder will provide strategic leadership and operational oversight of Medair UK's finance, HR, IT and governance functions, ensuring robust systems, effective controls, and compliance with all legal and regulatory requirements. They will support the Medair UK Director and Board of Trustees to ensure effective governance and management of the charity in accordance with best practice and ensure a sustainable operational platform is in place to support all Medair UK’s functions. You will be a highly organised and experienced, strategic and hands-on operational leader who can provide strong oversight of finance, governance, HR, IT and office management within a growing charity. You will have significant experience in financial and operational management, with a sound understanding of charity finance, governance and regulatory compliance and UK employment law. You will be an effective people manager and leader, with strong communication, planning and problem-solving skills. Key Activity Areas 

Financial Management and Reporting 

• Lead the charity’s financial management, ensuring accurate records, robust controls and effective financial processes.

• Oversee budgeting, forecasting and cash flow management, in collaboration with the Director to support strategic planning and financial sustainability.

• Drive the continuous improvement of Salesforce systems, processes and data management practices, ensuring high standards of data quality, security and operational efficiency.Implement system enhancements, streamline processes and carry out regular data quality, integrity and cleansing checks to ensure accurate, consistant and reliable data. 

• Provide training, guidance and user support on Salesforce and Campaign Monitor to maximise staff capability and system adoption. 

• Ensure a fully functioning office base which enables Medair UK to deliver its operational activities in the most efficient and effective manner.

Movember's UK and Europe public fundraising operation is one of the most ambitious in the global movement. Hundreds of thousands of Mo Bros and Mo Sistas, a full calendar of endurance events, deep community partnerships across education, sport and workplace, and a year-round supporter engagement program that keeps people coming back long after November ends. Leading all of it takes someone exceptional.

As Director of Public Fundraising, UK and Europe, you'll own the strategy and delivery for community fundraising, endurance events, and all public fundraising activity across the region. You'll lead the local implementation of the Movember campaign, drive year-round retention and engagement of the Mo Community, and take an active role in shaping the broader UK and Europe Country Strategy. You'll also play a key part in Movember's European growth ambitions, helping to identify and unlock new markets and opportunities across the region.

People leadership is central to this role. We are looking for an experienced and enthusiastic Membership Manager to join us for fixed term maternity cover. You will lead a small, dedicated team, ensure members continue to receive an excellent service and take forward our three-year membership strategy.

Leading the Membership team

The Great Friendship Project is an award-winning organisation tackling loneliness through research-informed community programmes, campaigns, and partnerships.

We design and deliver social interventions that help people build real-world friendships, strengthen social confidence, and rise out of loneliness.

Over the past four years, we have delivered hundreds of community activities, partnered with major brands and public institutions, contributed to national research and policy conversations, and built a highly engaged community of tens of thousands of young adults.

THE ROLE

We are looking for a new Programmes & Community Coordinator to help turn ambitious ideas into well-run programmes with meaningful impact.

This is a varied, hands-on role at the heart of a growing organisation. Working closely with the Founder and CEO, you will coordinate programmes from planning through to delivery, support our volunteer team and ensure that participants receive a consistently welcoming and well-organised experience.

You will also strengthen the systems and processes behind our work, helping us deliver programmes that are effective, sustainable and capable of growing.

PROGRAMME DELIVERY

• Programme Coordination - Coordinate the planning and delivery of community programmes, pilots, campaigns and other initiatives
• Delivery Logistics - Manage programme schedules, venues, partners, materials and communications to support smooth delivery
• Participant Experience - Act as a friendly and reliable point of contact for participants and help create welcoming, inclusive and well-organised experiences
• Impact & Improvement - Collect feedback, track participation and outcomes, and identify ways to continually improve our programmes

VOLUNTEER COORDINATION

• Recruitment & Onboarding - Support the recruitment, selection and onboarding of volunteers involved in programme delivery
• Training & Support - Coordinate volunteer training, shadowing, guidance and ongoing development
• Rotas & Communications - Manage volunteer availability, rotas and communications, ensuring people understand their responsibilities and feel supported

SYSTEMS & OPERATIONS

• Planning & Organisation - Maintain clear plans, timelines, schedules and task-management systems across programmes
• Process Development - Build and improve practical processes that strengthen delivery, reduce manual work and prevent important tasks from being missed
• Systems Management - Maintain digital tools, databases, records and shared documentation so that information remains accurate and accessible
• Documentation - Develop templates, guidance and playbooks that support consistent delivery and organisational growth

PARTNERSHIPS & GROWTH

• Partnership Support - Help coordinate relationships with venues, delivery partners and other external organisations
• Fundraising Support - Contribute to funding research, applications, reporting and partnership follow-up
• Campaigns & Growth - Support the delivery of campaigns, stakeholder events and other opportunities to extend our reach and impact

EXPERIENCE - ESSENTIAL

• Experience in an operations, coordination, programme delivery, or project support role with responsibility for outcomes
• Experience managing multiple priorities across people, systems, and deadlines in a small or fast-moving organisation
• Confidence taking ownership, exercising judgement, and working with limited supervision

EXPERIENCE - DESIRABLE

• Experience in a charity, community, events, or volunteer-led environment
• Experience supporting partnerships, fundraising activity, or grant applications
• Experience working closely with senior leadership or a founder
