About the Role

As a Service Delivery Assistant you will provide high quality and responsive administrative function for the National Contact Centre. Acting as the first point of contact for enquiries and supporting the wider team with general administrative duties.

Key Responsibilities:

• Provide high quality administrative support to the team and service.
• Update and maintain manual and computerised database and case management systems and records in accordance with the service's internal policies/procedures and organisational standards.
• Manage incoming and outgoing mail and general queries into the National Contact Centre.
• Provide general office administration support which could include photocopying, filing, data entry, ordering of office supplies, processing invoices, raising purchase orders and minute taking at meetings.

About You:

Ideally, you will have a good understanding and knowledge of office systems and business support functions, as well as being a team player with a flexible approach

You will need:

• Effective verbal/written communication and numerical skills.
• Ability to prioritise own workload and deal with competing demands in an organised and methodical manner.
• Excellent IT skills and experience of using all packages in the standard Microsoft Office suite and case management systems/databases.
• Excellent customer service skills with the ability to communicate sensitively and effectively both verbally and in writing with a wide range of individuals and audiences.
• Ability to work on own initiative and with minimal supervision to achieve deadlines.
• Excellent record keeping skills with a focus on quality and accuracy.

We are looking for a confident and detail-focused Compliance Officer to support our apprenticeship provision on a part-time basis (7.5 - 15 hours per week)

The role will suit someone with strong experience in apprenticeship funding rules, data entry, and the use of apprenticeship and management information systems to make accurate funding claims. You will be the go-to person for compliance, working closely with Paddington Academy and United Teaching to build on the processes we already have in place. You will also excel with organisational skills, attention to detail, accuracy, and timeliness.

Essential:

· Level 2 English and Maths qualifications (GCSE, A Level, or Functional Skills L2).

· A sound knowledge of the Individualised Learner Record (ILR), funding regulations and audit requirements for further education.

This is a hands-on, varied role where you’ll support the day-to-day rhythm of the office while also spotting opportunities to improve how we work. You’ll oversee reception and administration essentials, including managing outgoing mail efficiently and cost-effectively, keeping accurate cross-charging records, and maintaining effective systems for stationery, supplies and office consumables. You’ll play a central role in ensuring visitors are supported with the information, logistics and practical help they need to have a safe and productive stay, and you’ll help keep internal communications flowing by sharing relevant updates around the office.

You’ll also take real ownership of the office environment along side your Job-Share co-worker, working to service levels and agreed processes, listening to feedback, and continuously improving the service we provide. You’ll ensure facilities equipment is secure, maintained and compliant, including items requiring legal checks such as PAT testing, and you’ll maintain accurate asset information. You’ll be a main contact with cleaning services to set clear standards and monitor cleanliness, waste disposal, recycling and supplies, and you’ll organise confidential waste and recycling in line with best practice. From managing deliveries and ensuring the right equipment is in place for moving items safely, to attending the premises out of hours if needed for urgent repairs, you’ll help ensure staff can work confidently and safely. Security and safe working are central to this role. You’ll support building access control, assist with fire and building safety procedures, promote safe working practices, and work alongside security colleagues to support safe travel for staff. You’ll also support the Facilities and Security Manager with information gathering for renewals such as travel and office insurance, and coordinate with our London facilities team where travel and accommodation bookings are required.

We’re looking for someone who brings proven experience delivering a professional facilities management service in a similar environment, with a strong customer service mindset and the confidence to build a positive service culture around them. You’ll have practical technical knowledge of office maintenance, repairs and improvements, and you’ll be comfortable managing supplier relationships, raising orders, and handling associated financial processes. You’ll be organised, calm under pressure, and able to juggle immediate daily needs alongside longer-term projects. You’ll also be someone who can identify risks early and take sensible action to reduce them.

Experience as a First Aider and/or Fire Warden, and experience of manual handling are important for this role, and it’s a bonus if you’ve worked with asset management, in the charity sector, or in office environments aligned to health and safety standards such as IOSH. Seasonal Worker Scheme (SWS) call handlers will be responsible for responding to a variety of forms of contact made through the SWS support line. You will work as part of a small but dynamic and friendly team responding to a variety of callers and contacts. Your day-to-day responsibilities will include answering incoming calls and contacts, making callouts, sending emails, drafting referrals to external agencies, and maintaining accurate data. You will form part of a triage service that will signpost callers and contacts to identified third parties who can deal appropriately with their enquiry. You will be person-centred and deal with a variety of worker issues, including dealing with workers who may be in situations of exploitation. Key Purpose / WHY? 

The Carers Wellbeing Worker will support unpaid carers across Bridgend to establish ‘What Matters’ to them and provide bespoke, person-centred information, advice and guidance to those accessing our services, including, one 2 one support, group work and activities, as well as signposting and referring to relevant agencies for additional support including working with the unpaid carer to complete a proportionate carers assessment to help them on their caring journey. 

Working with the senior Carers Wellbeing worker to develop and deliver of a targeted outreach support programme, building on existing partnership working and connecting carers to community resources, preventing the need for escalation to statutory services. 

Key Responsibilities / WHAT? 

• To be the key contact for all enquiries around the Bridged Carers Wellbeing Service, including monitoring referrals, Bridgend Carers Wellbeing inbox, telephone or online enquiries and referrals through WCCIS. 

• To identify, engage with and support individuals who may be in an informal unpaid caring role including carers from seldom heard groups. 

• To work with unpaid carers and assist them to articulate ‘what matters to them’, their desired outcomes and signpost / refer individuals to relevant support service to enable them to achieve those outcomes within their own communities. 

• Undertaking proportionate carers assessments and reviews – identifying areas of need or change and producing support plans, to achieve outcomes that support the carer to become self-reliant and build a network of support. 

• To deliver a regular programme of outreach and engagement events, taking Bridgend Carers Wellbeing services into the community and working in partnership with carers support services. Feeding back suggestions and ideas to the Senior Carers Wellbeing worker to support development of targeted outreach across Bridgend. 

• To work with key stakeholders including Bridgend Council, Cwm Taf Morgannwg University Health Board, Third Sector, and other external organisations across Bridgend, in a professional manner. 

• Accurate and timely recording and reporting on CRM to support with monitoring requirements.

• The post holder will be expected to be flexible, responsive to change and can organise their own workload daily and to support the demands imposed by the service. 

• Support the promotion and marketing of Bridgend Carers Wellbeing services and other carers support services.

• Promoting Carer Awareness through events such as Young Carers Action Day, Carer’s Rights Day and Carer’s Week.

ABOUT THIS OPPORTUNITY

We are seeking an organised, proactive and professional Personal Assistant to provide high-level support to the Director of Secondary Education at the Harris Federation. This 1-year fixed-term maternity cover role is central to ensuring the smooth running of the Director’s day-to-day operations, including diary management, stakeholder communication, meeting coordination and the preparation of key documents.

MAIN AREAS OF RESPONSIBILITY

Your responsibilities will include:

• To present the professional and welcoming face of the Harris Federation and all secondary academies, to all visitors, staff and students, in person and on the telephone.
• To ensure that the Director’s diary is managed efficiently and effectively. This will involve liaising with a variety of external and internal stakeholders.
• To provide a daily/weekly diary and documentation and maintain an overview of approaching deadlines.
• To maintain the Director’s contacts.
• To maintain an exemplary professional environment for the Director at all times.
• To ensure that all visitors are welcomed and catered for in a professional manner, organising refreshments as appropriate.
• To exercise complete discretion when dealing with issues of confidentiality and sensitivity.
• To take all telephone calls, in the first instance, dealing with queries, passing on calls if necessary.
• To keep the Director’s meetings file and retrieve necessary paperwork as and when meetings arise.
• To be responsible for organising meetings and passing on messages between all stakeholders, parents/carers, external agencies and students and the Director.
• To liaise with clerks to Governors to ensure that all relevant paperwork and correspondence is efficiently managed for all the secondary academies.
• To support the Director with the preparation of paperwork and presentations for a range of meetings including interviews, disciplinary hearings, grievances, performance management, presentations, training sessions etc.
• To liaise with Federation admin teams, Data, HR, IT and Finance Business Managers, as well as PAs and Principals across the Federation as appropriate.

About the Role

This role provides help and support to our frontline services, to deliver an effective service by processing referrals in a timely manner, processing post and responding to miscellaneous

enquiries, delivering our social media strategy and contributing to wider engagement - particularly with children and young people.

Although we intend to appoint one person to this role, the responsibilities are divided across two service areas: 25 hours per week will support our Children and Young People's Services, and 10 hours per week will support the Lancashire Sexual Violence Service.
