About the Role

As we scale, we are looking for a Head of Operations to provide operational leadership to ensure the charity operates effectively, compliantly and sustainably in line with its mission and ethos. Working closely with the CEO, you will support the translation of the vision into reality by building strong foundations, enabling effective delivery, and supporting the scaling of the organisational from a regional base to a nationally impactful charity.

This is a pivotal role shaping how BeSpace grows. You will lead on strengthening systems, people, governance and operational delivery embedding accountability, and continuous improvement.

In this role, you will:

About You

The Operations Officer is a pivotal member of the team who will support the organisation to run its activities efficiently and effectively. As part of a small team, you will work collaboratively with most of the charity’s functions but in particular provide regular support to the SMT, finance, HR and fundraising teams.

WasteAid is an international non-governmental organisation that works in low and middle-income countries to implement environmental and economic empowerment programmes, focusing on support to nascent green businesses and grassroots entrepreneurs. The work improves the livelihoods of some of the poorest and most marginalised, promotes circular economy innovation and contributes to a cleaner and healthier future for all.

Our programmes focus predominantly on the reduction of plastic, organic, textile and e-waste pollution in areas of the world that have no formal waste management systems.

The organisation promotes and shares locally appropriate, evidence based inclusive practices, supporting and empowering others to take positive action. We partner with public, private and community-based organisations in countries where the lack of waste management systems is harming the environment, economy and society. We achieve our goals through our 3 flagship programmes:

- Our Wastepreneur programme for those individuals and micro businesses trying to make a living within the circular economy and make a difference in their communities.

- The WasteAid Circular Economy Network which brings together national stakeholders, local authorities and the private sector to tackle local waste challenges through networking, training, infrastructure support and innovation challenges.

- First Step Resource Management Programmes focus on a whole system approach to divert waste from landfill supporting community behaviour change, basic infrastructure, collector group training and end market development.

The organisation is just over 10 years old and has enjoyed sustainable growth with an annual budget this year of circa £1.2 million. It is a dynamic organisation with an international team who work in a supportive and collegial environment.

WasteAid currently implements programmes in The Gambia, India, South Africa and Uganda.

Purpose of Role

The Operations Officer is a varied role that helps keep the charity’s different functions running smoothly. Working closely with a small team a typical day can be a combination of regular tasks involving prompt and careful handling of incoming communications by email, post and telephone call, responding to invoices or payment requests and preparation of letters, contracts or reports. Other tasks such as recruitment support, staff onboarding, events and travel planning are less routine but may be part of your day as and when they occur.

Team co-ordinating

· Manage calendars and appointments, scheduling team meetings, appointments and events.

· Co-ordinate travel plans including booking transport, accommodation and supporting visa application processes.

· Attend quarterly Board meetings, taking minutes.

· Assist in the preparation and distribution of Board materials.

· Track charity assets and equipment, liaising with outsourced IT support as necessary.

HR Support

· Lead on fulfilment of recruitment campaigns, organising the recruitment pack, placing job adverts, handling applications, arranging interviews and tests.

· Issue contracts, contract variations, ensure signed records and references are filed.

· Prepare the induction of new joiners including introductory meetings and issuing equipment.

· Storing safeguarding records.

· Administer the charity’s HR filing system on SharePoint and the online HR management system.

· Keeping the charity organogram and staff profiles up to date.

· Logistic support for leavers, arranging collection of equipment.

Fundraising

· Work with fundraising colleagues to ensure that incoming communication is routed appropriately or responded to.

· Update records in the charity’s CRM system.

· Print and post written appeal letters.

· Logistics support for fundraising events, charity attendance at conferences, award ceremonies and trade fares.

Finance

· Handle incoming invoices and payment requests, obtaining authorisation from budget holders.

· Manage staff prepayment cards, topping up funds, issuing new cards and cancelling leavers’ cards.

· Prepare a bi-weekly payment run for international payments.

· Support the SMT with expense claims.

· Update the charity’s finance systems and file financial documents in SharePoint.

· Prepare Gift Aid claims, including utilising the charity’s CRM function.

Administration

· Manage personal and shared email accounts.

· Monitor and route incoming post.

· Answer incoming telephone calls, arranging a rota basis with colleagues.

· Preparing and issuing contracts, letters, reports or similar for signatures, including by Docusign.

· Keep all information confidential and comply with data protection and ethics legislation, including being up to date with GDPR requirements.

Other

· Ad-hoc procurement of goods or services as and when required.

· Comply with the charity’s policies and procedures.

· Occasional travel to charity meetings or events is required. Travel outside of the UK is unlikely.

We are seeking a highly organized, detail-oriented professional to join us as HR & Operations Officer. This role champions Capitals Coalition’s people-focused approach to operations as it plays a key role in supporting core organizational processes across HR, IT, travel, and events.

Responsibilities include support for a range of HR activities – such as administration, staff wellbeing, training and development, and recruitment – alongside coordinating team meetings, IT support, travel arrangements, and events coordination, and occasional fundraising support.

This role suits someone process-driven, independent, and motivated to improve operations for a purpose-driven team of around 30 people. Reporting directly to the Chief Administrator & Operations Officer, this is a highly visible interim role responsible for transforming the organisation's talent strategy while supporting wider organisational development initiatives.

This position combines strategic workforce planning with hands-on delivery. You'll assess current capability, identify talent gaps, build scalable recruitment strategies, improve organisational effectiveness, and implement best-in-class recruitment technology and processes.

Success in this role will come from your ability to deliver immediate results while creating long-term foundations for growth.

Key Responsibilities

Talent Acquisition & Workforce Strategy

• Design and implement an international recruitment strategy aligned with business growth plans.
• Lead end-to-end recruitment across the UK, Europe and the Middle East.
• Build talent pipelines for specialist, leadership and business-critical roles.
• Identify current and future capability gaps and develop succession planning initiatives.

Lead the launch of the UK's first Refugee Employment Marketplace and help transform how displaced people connect with jobs, employers and employment support.​ This is a remote, home-based role for candidates currently based in Wales. 

The Refugee Employment Network (REN) is the UK's national network dedicated exclusively to refugee employment. We bring together employers, charities, local authorities, government and refugee-led organisations to improve employment outcomes and create a more inclusive labour market.

About the role

We are seeking an experienced Digital Product Lead to lead the implementation, rollout and continuous improvement of the Refugee Employment Marketplace and wider digital systems across the Refugee Employment Network.

The Refugee Employment Marketplace is a digital platform connecting displaced people in the UK with jobs, employers and employment support.

Working closely with developers, partners and users, you will help ensure the Marketplace is successfully implemented, accessible, adopted and scaled across Wales and the wider REN network. We're looking for someone who enjoys turning ideas into practical solutions, building partnerships and using digital to create social impact.

Purpose of the Role and Key Responsibilities

1. Digital Product Development & Delivery

· Lead the implementation, customisation and continuous improvement of the Refugee Employment Marketplace to meet REN’s organisational goals and user needs.

· Work with external platform providers and developers to coordinate product delivery, customisation, timelines and ongoing improvements.

· Build and maintain project plans, documentation and delivery processes to support successful implementation and rollout.

· Coordinate platform testing, user feedback and troubleshooting to improve functionality, accessibility and user experience.

· Support the integration of REN’s wider digital systems, including website and CRM.

2. Co-design & Partnerships

· Convene and coordinate REN’s Digital Advisory Group to inform the design and continuous improvement of the Refugee Employment Marketplace.

· Facilitate focus groups, user testing and feedback sessions with refugees, employers, charities, local authorities and employment advisers to improve platform design, accessibility and user experience.

· Ensure experts by experience are meaningfully involved in shaping and testing the platform.

3. Platform Rollout, Training & User Support

· Lead the rollout and adoption of the Refugee Employment Marketplace across Wales and the wider REN network.

· Develop onboarding processes, training and guidance materials  to support effective use of the platform.

· Act as the first point of contact for user support, including account setup, login support, troubleshooting and user journey guidance.

4. CRM, Website & Digital Infrastructure Management

· Lead the scoping, procurement and implementation of a new CRM system

· Oversee the integration and continuous improvement of REN’s website and wider digital systems to ensure they are integrated and accessible. 

5. Data, Reporting & Digital Compliance

· Lead on data protection, GDPR compliance and digital security across REN’s digital platforms and systems.

· Maintain accurate, secure and effective data management practices, including user records, permissions and data quality.

6. Marketplace Growth, Sustainability & Impact

· Build relationships with employers, industry bodies and strategic partners to grow platform adoption, secure opportunities and strengthen the value proposition of the Marketplace.

· Support the matching of displaced talent to jobs, opportunities and employment support, including manual interventions where needed to improve outcomes and user experience.

· Track and report on employment outcomes, employer engagement and platform impact to inform growth, improvement and sustainability.

The Support & Training Coordinator role involves:

• Managing onboarding processes for new facilitators attending training, ensuring clear communication of expectations and timelines, including safeguarding checks
• Supporting the Support Coaches by coordinating essential ongoing facilitator engagement: including group calls, follow up sessions, communication touchpoints and additional resources
• Coordinating the logistics of monthly facilitator training sessions, including placing orders, liaising with suppliers, monitoring stock levels and order numbers, and overseeing communications and systems
• Developing and maintaining systems that monitor and support the full facilitator journey — from onboarding through to ongoing support
