An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Operations Support Officer to provide crucial support in a varied role. The post holder will be responsible for Medair UK’s financial and office administration, including maintenance of the organisation’s CRM database and some fundraising support. You will ensure the accurate processing and timely delivery of donor and financial information and acting as first point of contact for the organisation, you will be responding to supporter enquiries. You will also provide general office, and IT support to the Head of Operations.

This year our teams in Sudan have remained operational, working under the most difficult conditions, and launched a new response in Chad to support those fleeing across the borders. In the Democratic Republic of Congo, we received global coverage as one of the first responders saving the lives of communities affected by Mpox – and no lives were lost amongst those we treated. We also scaled up in Lebanon supporting at displaced communities affected by the conflict. In 2024 through our experienced national and international teams we helped 3,743,021  people across 13 countries.

About you

You will have experience of working in an office administration role, including financial processing and have proven experience with databases. You will be comfortable working with and prioritising high volumes of work. In addition to your experience of completing routine, complex tasks accurately and systematically, you will be able to maintain quality and attention to detail. Confident, polite and professional with excellent communication skills and the ability to work as part of a team, you will have strong planning and organisational skills, with experience of maintaining office and administrative systems

Key Activities

      Donation Processing

• Responsible for the timely recording and processing of all incoming donations (including via our website, bank account, third party platforms and cheques) into the Medair UK CRM (Salesforce).
• Ensure all donors receive gift acknowledgements / thank you letters corresponding to each gift received.
• Maintain up-to-date records of donors, staff and other contacts in the Medair UK database.
• Process and record completed Gift Aid declarations and support in the regular reclaim of Gift Aid.

      Financial Administration

• Inputting of all financial data (income and expenditure) into Quick Books.
• Preparing and following up suppliers invoices for payment.
• Processing expenses claims.
• Managing the banking of income and supporter cheques.
• Support the Head of Operations to implement the month and year end reconciliation process for both Salesforce and Quick Books.

      Facilities & Office Management

• Act as first point of contact for the office and public enquiries, responding to incoming telephone calls and emails.
• Answer basic enquiries about Medair's work and distributing information to supporters and others as required.
• Manage and order office supplies, stationery and equipment.
• Maintain a clean, tidy and safe working environment, administrating risk assessments, H&S and fire safety procedures.

      Information Technology

• Ensuring the maintenance of the IT system and handling minor in-house IT technical issues for staff and volunteers. 
• Liaising with the Global Support Office IT Helpdesk team to ensure the timely set up of IT for new staff and volunteers – i.e. setting up email addresses, and relevant permissions.
• Ensuring that IT permissions are current, and that these are amended as and when staff and volunteers leave.
• Assisting with continuous improvements in Medair UK’s use of IT.

​    Engagement Support

• Supporting fundraising activities with data segmentation and the production of standard and custom reports in Salesforce
• Supporting the production and automation of email newsletter and appeals via Campaign Monitor
• Setting up new Salesforce campaigns with tailored reports and dashboards to track donations.
• Producing digital surveys and web-forms as required.
• Providing support to Medair’s virtual events, including the technical administration of Zoom and pre and post event attendee administration.           

      HR Administration

• Organising and co-ordinating staff and volunteer inductions ensuring that the induction checklist is completed.
• Supporting the Head of Operations with team training and organisational learning and development opportunities.

Qualifications - DESIRABLE

• Vocational qualification in business or financial management / administration desirable

 Languages

• Excellent English (spoken and written).

 Experience / Competencies – ESSENTIAL

• Experience of Microsoft Office solutions, including proficiency in Excel, Word, Internet and email use

What the job involves

As part of our Customer Engagement and Experience team, you’ll play a key role in delivering an exceptional supporter experience, from ordering shop items and receiving fulfilment materials to ensuring Gift Aid contributions are processed accurately and securely.

This job share role combines operational ownership, relationship management and compliance oversight. You’ll be trusted to run essential day-to-day activity and improve the systems that sit behind them.

You’ll build and manage strong relationships with fulfilment suppliers, holding them accountable to KPIs and ensuring materials are delivered accurately and on time. You’ll also manage the day-to-day running of our online shop, including product development, stock forecasting, supplier coordination and performance monitoring.

You’ll keep fulfilment operations running efficiently by identifying improvements, resolving bottlenecks and making sure teams across the charity have what they need. Alongside this, you’ll take ownership of Gift Aid administration, ensuring claims are accurate, compliant with HMRC requirements and supported by clear audit trails.

By monitoring Gift Aid performance, you’ll analyse trends and recommend improvements, keeping internal teams informed and skilled in best practice. You’ll also support Fundraising teams with compliance checks, offering guidance and helping to resolve any issues quickly and effectively.

In addition, you’ll oversee monthly stock reconciliations and financial reporting for shop activity, ensuring accuracy and supporting informed decision-making. You’ll work closely with colleagues across digital, operations, marketing and customer experience to deliver a seamless, joined-up supporter journey.

This is a varied and meaningful role where your work directly improves how supporters experience Prostate Cancer UK.

Please note, internally this role is known as Gift Aid, Compliance and Fulfilment Manager.

Core Purpose
The Philanthropy Manager will play a critical role in Make-A-Wish UK’s growing Philanthropy team. You will be responsible for building meaningful relationships with high-net-worth individuals and Trusts and Foundations, increasing income, engagement and stewardship, with a focus on developing new relationships with funders. You will also drive key growth through leadership of the Small Trust Mailing and Philanthropy Mid-Value Programmes, utilising insights and best practice to implement new strategies and streamline ways of working.

Job responsibilities

Relationship Management, Stewardship and New Business 

• Personally build and manage a portfolio of high-net-worth individuals and Trust and Foundation prospects and donors, giving between £10,000-£50,000.
• Lead personalised and effective cultivation, asks, engagement and stewardship for your portfolio.
• Contribute to the development of compelling and attractive propositions to increase giving and/or recruit new high value supporters.
• Work effectively with internal and external influencers to engage supporters and create magical moments, bringing them closer to Make-A-Wish UK’s work.
• Manage donor agreements and grant terms and conditions, ensuring compliance and best practice.
• Work collaboratively with the Prospect Development Lead to identify new prospective funders, as well as conducting your own prospect research in line with agreed key priorities, sectors or themes.

Job requirements

Essential Criteria

• Experience in working within a Philanthropy Team, with proven success in securing multiple five figure gifts from both high-net-worth individuals and Trusts and Foundations
• Strong experience cultivating cold and/or new prospects and converting them into five figure + donors
• Experience conducting targeted prospect research, identifying new funders against a set criteria or proposition
• Demonstrable track record of creating and implementing successful, data-informed plans resulting in increased income
• Excellent relationship management skills, with the ability to influence, inspire and engage both internal and external stakeholders at a wide range of levels
• Outstanding communication skills, both written and verbal, with the ability to convey complex information in compelling ways tailored to different audiences
• Highly organised and demonstrated ability to work autonomously, manage competing priorities and deliver to deadlines within a fast-paced environment
• Proficiency in using CRM systems (preferably Salesforce) to manage pipelines, analyse data, and generate reports

£28,000 per annum FTE

We’re looking for an experienced Programme Officer to join our team on a maternity cover contract. This is an exciting opportunity to play a central role in the delivery of our In2STEM Programme during a busy and high impact period. You’ll benefit from a comprehensive handover, a supportive team environment, and the chance to make a real contribution from day one.

The Programme Officer will support the delivery of the In2STEM Programme including recruitment, planning, delivery, participant and volunteer management, and evaluation.

You will be responsible for recruitment, managing a caseload of students and volunteers (work experience hosts), and managing relationships with supporters and funders. You will also support the planning, delivery and evaluation of programme activities including training and inductions, placements, online workshops, competitions and celebration events.

In2scienceUK is a remote based organisation, that requires occasional travel across the UK for recruitment, events, internal & external meetings and staff co-working days.

Duties and responsibilities:

Programme Delivery

• Managing a caseload of students and volunteers (work experience hosts) from application stage to successful completion of the programme, including recruitment, matching, onboarding, troubleshooting throughout the programme and evaluation.

• Creating and developing engaging communication materials about the programme including video presentations, posters/flyers, case studies and website text, newsletters and images. 

• Monitoring student and volunteer (work experience host) applications to ensure targets and milestones are met. 

• Maintaining up to date records via the programme database and ensuring data protection. 

• Managing relationships with existing donors and supporters and networking to develop new relationships with prospective donors and supporters.

• Organising online skills workshops and careers panels, recruiting and coordinating volunteer speakers and panellists. 

• Planning and delivering in-person student inductions and celebration events.

Evaluation 

• Evaluating programme activities, using student and volunteer evaluation data and staff insights. 

• Supporting the creation and dissemination of case studies, working closely with the fundraising team to ensure funder requirements are met. 

• Supporting team members to create evaluation and student data reports.

• An understanding of the social and economic barriers that prevent some young people from accessing STEM careers and an ability to recognise the importance of diversity and inclusion in STEM.

• Experience developing and maintaining strong working relationships with internal and external stakeholders at various levels.

• Experience planning and delivering training, events and workshops. 

• Excellent written and verbal communication skills, with strong presentation skills and an ability to adapt to a range of audiences.

About the role:

As Senior Project Manager, you will have responsibility for planning, delivering, and embedding two high-profile, business critical projects:

About the Service

The North London Rape Crisis (NLRC) offers range of services to women, trans women, and non-binary people aged 13 + who are experiencing or have experienced any form of sexual violence in their lives. We offer a safe and non-judgmental space to women living, working, or studying across 7 of the North London boroughs.

Our expert team provides helpline support, advocacy (ISVA) and ISVA support. We also provide one to one and group counselling to victims and survivors as well as short-term one to one counselling support to supportive family and friends. It is an inclusive service which supports women and girls of all ages, disabilities, sexualities, gender identities (including trans and non-binary), and religions. The service operates from 9am to 5pm, however, appointments can be arranged outside of these if required.

About the Role

The role of the Brief Intervention Independent Sexual Violence Advocate (ISVA) – CSA/CSE is with the Rape Crisis service in North London. You will work within a multi-disciplinary team to provide a pro-active emotional, practical and advocacy support for survivors who have experienced any form of sexual violence and are engaging (or considering engaging) with the criminal justice system. The role of Brief Intervention ISVA – CSA/CSE will primarily be working with survivors who have experienced childhood sexual abuse and/or exploitation who cannot access immediate ISVA support. Where there is capacity, the role will also provide short term interventions (3 months) for survivors of other types of sexual violence.

About You

The ideal candidate will have completed ISVA training, or have a willingness to undertake ISVA training, and have experience of supporting women affected by sexual violence. You will be proactive and able to adapt to new situations quickly. You will have a clear understanding of the effects of and issues facing women who have experienced sexual violence, as well as understanding of the Criminal Justice System. You will be able to communicate with people from a range of backgrounds and create good working relationship with service users as well as partner agencies.

Hearing Dogs for Deaf People has been creating life-changing partnerships between hearing dogs and deaf recipients since 1982. As well as acting as an ear to their partners and alerting them to sounds, the charity’s clever and expertly trained dogs help deaf people to live life with confidence and independence, whilst providing love, companionship and emotional support.

Following a strategic review, the charity is now looking to build a new Income Generation Directorate to enable it to transform many more lives across the UK. This role will be critical to help Hearing Dogs reach their goals to significantly grow and diversify income.

Reporting to the Head of Philanthropy, the post-holder will work closely with senior leaders, trustees and senior stakeholders to solicit high-value gifts, typically of six and seven figures, and to build and deepen long-term relationships between donors and the charity.
