Purpose of the role

The Project Manager will lead the delivery of MindOut's National Lottery Heritage Fund project, Speaking Our Minds: MindOut 25+ Years and LGBTQ Mental Health, an innovative 18-month heritage programme documenting, preserving and sharing over 25 years of LGBTQ mental health history.

Working with LGBTQ communities, volunteers, staff, former service users, heritage partners and community organisations, the postholder will oversee all aspects of project planning, delivery, evaluation and legacy. This includes oral history collection, digital archiving, volunteer management, community engagement, public exhibitions and dissemination activities.

The Project Manager will ensure the project is delivered safely, ethically and inclusively whilst meeting all National Lottery Heritage Fund outcomes, budgets, milestones and reporting requirements.

This is an exciting opportunity to lead a significant LGBTQ heritage project that will create a lasting record of community resilience, mental health activism, peer support and social change.

Role description

You will bring the experience, confidence, organisational skills and values required to lead a complex community heritage programme involving lived experience storytelling, volunteer participation, community partnerships and public engagement.

Main Tasks

Project Management

· Manage the set up and delivery of a new Speaking Our Minds project in a medium-size charity.

· Develop and maintain detailed work plans, project timelines, budgets, risk management and ensure milestones and National Lottery Heritage Fund requirements are met.

· Provide regular progress reports in line with project timeline, budgets and outcomes for the Charity Director

· Ensure all project activity is delivered in accordance with MindOut's organisational policies.

Community Participation & Co-production

· Establish and facilitate a Community Advisory Group to guide project development and decision-making.

· Design and deliver co-production workshops, reflection sessions and community consultation activities centring values such as co-production, lived experience and trauma aware with diverse participation and inclusion.

Oral History & Heritage Collection

· Lead the collection of a minimum of 25 oral histories documenting LGBTQ mental health heritage.

· Ensure interviews are conducted ethically and in accordance with Oral History Society guidance and project protocols.

· Coordinate transcription, metadata creation, cataloguing and archive preparation.

· Oversee collection of photographs, documents, memorabilia and contextual materials that support interpretation of MindOut's history.

· Ensure safeguarding, consent and ethical storytelling principles are followed throughout the collection process.

Volunteer Recruitment & Management

· Recruit, train, supervise and support project volunteers.

· Develop clear volunteer roles and learning opportunities.

· Coordinate volunteer involvement in oral history, outreach, events and heritage activities.

· Ensure volunteers receive appropriate induction, support and supervision.

· Create an inclusive and positive volunteering experience that builds skills and confidence.

Heritage Preservation & Digital Archiving

· Work with Queer Heritage South, The Keep and other partners to ensure heritage materials are preserved to recognised standards.

· Oversee processes for cataloguing, digital storage and archival preparation.

· Ensure heritage materials are managed according to agreed metadata, accessibility and licensing requirements.

· Support the creation of sustainable heritage systems and organisational learning that continue beyond the project lifespan.

· Contribute to the development of MindOut's long-term heritage strategy and legacy planning.

Events, Exhibitions & Public Engagement

· Deliver a programme of public engagement activities and community events.

· Coordinate the development of exhibitions, digital outputs and learning resources.

· Work collaboratively with partners including Photoworks and heritage organisations.

· Support communications and promotional activity alongside the Communications Co-ordinator.

· Ensure all events are well planned, accessible and effectively evaluated.

Partnership Development

· Build and maintain strong relationships with heritage organisations, archives, universities, community groups and cultural partners.

· Act as the principal contact for external project partners and commissioned specialists.

· Represent MindOut at meetings, conferences and partnership events.

· Develop opportunities for future collaboration and sustainability beyond the funded project period.

Monitoring, Evaluation & Reporting

· Maintain project monitoring systems and data collection processes.

· Work with the external evaluator to assess outcomes and impact.

· Produce regular reports for the Charity Director, Trustees, Advisory Group and funders.

· Monitor budgets, risks and project performance.

· Ensure learning and evaluation are embedded throughout the project lifecycle.

About the Role/Role and Responsibilities 

An excellent opportunity has arisen to join the Medair UK team as we are seeking a part-time Head of Operations. The post holder will provide strategic leadership and operational oversight of Medair UK's finance, HR, IT and governance functions, ensuring robust systems, effective controls, and compliance with all legal and regulatory requirements. They will support the Medair UK Director and Board of Trustees to ensure effective governance and management of the charity in accordance with best practice and ensure a sustainable operational platform is in place to support all Medair UK’s functions. You will have significant experience in financial and operational management, with a sound understanding of charity finance, governance and regulatory compliance and UK employment law. Key Activity Areas 

Financial Management and Reporting 

• Lead the charity’s financial management, ensuring accurate records, robust controls and effective financial processes.

• Oversee budgeting, forecasting and cash flow management, in collaboration with the Director to support strategic planning and financial sustainability.

• Manage reserves and organisational funds, ensuring effective stewardship, appropriate cost recovery, timely grant transfers and compliance with donor and regulatory requirements. 

• Prepare timely and accurate monthly management accounts, financial reports and performance analysis to support informed decision-making.

• Lead the production of statutory accounts and manage the annual external audit process.

• Ensure compliance and best practice with regard to legal and other regulatory bodies, including data protection and the timely submission of accounts and other returns. 

Human Resource Management 

• Lead and oversee all HR operations, including the recruitment, onboarding and retention of staff and volunteers.

• Ensure compliance with employment legislation and organisational policies through effective management and administration of contracts, HR records, payroll, pensions and employee benefits. 

• Manage employee lifecycle processes, including inductions, appraisals, performance reviews and professional development planning.

Leadership, Governance and Organisational Development 

• Lead organisational operational planning and risk management, ensuring Medair UK has the systems, processes and resources required to deliver its strategic objectives. 

• Maintain the corporate risk register and support the Board with governance, compliance and reporting requirements. 

• Support the Director and Board of Trustees through the provision of financial, operational and governance advice, contributing to organisational effectiveness and long-term sustainability.

IT & Office Management  

• Oversee the IT infrastructure, managing the procurement, installation and ongoing maintenance of IT hardware, systems and software liaising with the IT department at the Medair International Global Support Office (GSO) in Switzerland as appropriate. 

• Lead the development, administration and optimisation of Salesforce , other fundraising platforms and related system integrations to support fundraising, donor engagement and organisational objectives, liaising with the IT department in GSOSwitzerland as appropriate.

• Manage the Salesforce system configuration, enhancements, user access and upgrades, ensuring the platform remains effective and reliable. 

• Drive the continuous improvement of Salesforce systems, processes and data management practices, ensuring high standards of data quality, security and operational efficiency.Implement system enhancements, streamline processes and carry out regular data quality, integrity and cleansing checks to ensure accurate, consistant and reliable data. 

• Provide training, guidance and user support on Salesforce and Campaign Monitor to maximise staff capability and system adoption. 

• Ensure a fully functioning office base which enables Medair UK to deliver its operational activities in the most efficient and effective manner.

The Head of Operations oversees all of BIAS’s projects, managing a small, high-performing team of project coordinators and frontline advice and community-support staff to ensure that we provide the highest-quality service to our clients. You will need to have demonstrable team-management experience, strong people and communication skills, and a willingness to take a hands-on approach to project delivery, along with excellent organisational and strategic abilities to ensure that projects are delivered sustainably, effectively and efficiently.

In 2025, BIAS expanded its successful Brent-based advice service and active ageing clubs into Haringey borough. The Head of Operations will take the lead on further building and developing the new services in Haringey, ensuring that we replicate our excellent quality of service, strong record of positive outcomes and loyal service-user base.

This is a key role within the BIAS senior leadership team, which will give you the opportunity to have a direct impact on shaping the organisation’s future strategy and direction.

KEY WORK AREAS AND MAIN DUTIES

Staff management

• Manage a team of five project coordinators and five front-line staff to ensure effective delivery and monitoring of BIAS’s core welfare and housing advice, active ageing, volunteering and befriending projects, which support over 900 people per year.
• Manage HR procedures, including employment contracts, probation assessment, leave administration, staff supervision, performance management and exit procedures.
• Conduct recruitment procedures where needed, and supervise the onboarding process for new joiners.
• Oversee training and development needs and budgets.
• Ensure good teamwork and lines of communication between staff, including by chairing regular staff meetings.
• Create a positive working environment in which equity and diversity are promoted and staff can do their best.

Project management

• Project-manage the further development of new advice and active ageing services in Haringey borough.
• Take the lead on promotion and marketing of BIAS’s services, including by representing the charity to partner organisations and at external events.
• Contribute to the organisation and running of regular community and fundraising events.
• Deputise for the Advice Services Manager where needed, supporting the welfare and housing advisers with complex casework, forward planning and client management.
• Support the Active Ageing Coordinators and volunteer teams wherever needed with the day-to-day running of the active ageing clubs.

Quality and service delivery

• Oversee quality-assurance procedures in line with the Advice Quality Standard (AQS), and spearhead biannual renewal of BIAS’s AQS accreditation.
• Oversee running of BIAS’s volunteer project in line with the Investing in Volunteers quality accreditation standards.
• Serve as internal data protection officer, monitoring GDPR compliance, managing risk and responding to any potential data breaches.
• Serve as BIAS safeguarding lead, ensuring that safeguarding policies and training are kept up to date, and that all safeguarding concerns are appropriately addressed.
• Work with the Fundraising and Communications Manager to administer the BIAS website and implement BIAS’s social media strategy.
• Administer BIAS’s IT and client management systems (Microsoft 365, SharePoint, BrightHR, Lamplight CRM), coordinating training, updates and troubleshooting.

Operational leadership

• Advise the CEO on all staffing and service-delivery issues.
• Monitor and report on service delivery, including through monthly advice and volunteer-project reports, quarterly Board reports and regular funder reports.
• Carry out regular reviews of BIAS’s annual business plan, risk register, five-year strategy and internal policies and procedures, providing recommendations to the CEO and Board of Trustees on strategic direction.
• Research and secure funding from grant-making organisations, ensuring BIAS’s future financial sustainability.
• Work closely with the Finance Manager and CEO on budgeting, grant monitoring, cashflow and financial authorisation.

These are the basic duties required of the Head of Operations. However, it is necessary for all staff to be flexible and you may be required from time to time to perform other reasonable duties which are required for the efficient running of the organisation. We will also offer training opportunities to support your career development.

Candidates must be eligible to work in the UK. This role will be based in our advice offices and club venues in Willesden and Haringey but there may be some options for flexible working (e.g. one day per week from home). Occasional evening or weekend work may be required.

ABOUT BIAS

BIAS is a local charity which has supported England’s largest Irish community in Brent for almost fifty years. We deliver our support through our welfare and housing advice service, our active ageing clubs, our volunteer project and our befriending scheme. We raise over £2 million in extra income for the most vulnerable and disadvantaged every year and have over 7000 attendances at our club services. BIAS has recently expanded into Haringey borough and has exciting plans to further develop its project scope and geographical reach, supported by sustainable and diversified grant funding, including from Ireland’s Emigrant Support Programme.

Context

Kingston Street Pastors is a churches initiative which has been operating since 2006 deploying Christian volunteers in the town centre in the night time to Care, Listen and Help. We enjoy excellent relationships with key stakeholders in Kingston’s night time economy including our local council, police and businesses. Within the wider Street Pastors movement we have made significant contributions over the years to develop policy and practice and have worked closely with neighbouring Street Pastors initiatives and with the Ascension Trust. For governance purposes Kingston Street Pastors operates as an affiliated project of Oxygen, a Kingston based youth work charity.

About the Role

This role has a Genuine Occupational Requirement for the post holder to be a practicing Christian (as outlined by 2010 Equality Act, Section 9)

Our new Coordinator will work closely with the Street Pastors Deputy Coordinator, leading the regular operations of Kingston Street Pastors and the deployment of teams while also overseeing the strategic development of the initiative in response to emerging needs and opportunities. 

Applicants should have people skills and demonstrate an ability to solve problems using a range of creative solutions including working with volunteers or using technology in new ways. The ideal candidate will have an ability to work flexibly and manage their time and resource effectively amidst competing priorities.

The Communications Co-ordinator plays an important role in helping MindOut communicate its impact, services, campaigns and community voice to a wide range of stakeholders. Working closely with the Charity Director, Heritage Project Manager, staff team, volunteers and external partners, the postholder will ensure MindOut's communications remain engaging, accessible, inclusive and reflective of LGBTQ+ lived experiences. 

While supporting with our communications for the charity, the role has a particular focus on supporting communications for MindOut's National Lottery Heritage Fund project, Speaking Our Minds: MindOut 25+ Years and LGBTQ Mental Health, helping to capture and share the stories, achievements and learning from the project while increasing engagement with LGBTQ communities, funders and supporters.

Role description

Main Tasks 

Communications & Content Creation 

• Develop and deliver engaging communications across MindOut's social media, website, newsletters and other communication channels. 

• Create accessible and inclusive content that reflects the diversity of LGBTQ+ communities. 

• Write articles, blogs, case studies, impact stories, promotional materials and project updates. 

• Support the development of a consistent organisational voice and communication style.

Events & Community Engagement

Reach Charity is a small volunteer-led national charity supporting children born with, or who acquire upper limb differences (ULD) in childhood, for the whole of their lives! Being born with/acquiring  an ULD in childhood is rare. Our role in the Reach team is to support our volunteers in every way we can to keep Reach families connected and supported with and by their community as and when they need it for life. This role will help us sustain and potentially grow that level of support. 

Contract: One-year fixed-term contract. The role will be reviewed before the end of the fixed term. Any extension, permanency or change to contracted hours will be subject to organisational need, funding and written agreement.

Core purpose of the role:
The Operations & Development Officer will provide high-quality operational, administrative and executive support to the Operations Lead and the wider Reach team.
The role will help ensure the smooth running of Reach’s central operations, including governance support, policy coordination, safeguarding administration, donor stewardship, event delivery, communications and day-to-day organisational support.

Key responsibilities
1. Governance, compliance and safeguarding
Policy and procedure coordination
Coordinate and maintain a rolling programme of policy and procedure review, liaising with the Operations Lead, trustees and relevant staff or volunteers as required.
Support the updating, formatting, circulation and storage of policies and procedures, ensuring records are accurate and accessible.

Safeguarding support
Subject to appropriate training, support Reach’s safeguarding arrangements and participate in the safeguarding on-call rota.
Provide cover during colleagues planned or unplanned absence, acting in accordance with Reach’s safeguarding policy and escalation procedures.
This may include occasional weekend on-call duties when the Operations Lead is unavailable.

DBS, safeguarding training and appointment requirements

2. Donor relations and fundraising administration
Donor stewardship
Provide supportive cover for donor stewardship during colleague absence or holiday, including drafting thank-you communications, updating records and helping maintain positive supporter relationships.
Ensure donor communications are timely, accurate and aligned with Reach’s tone, values and messaging.

Fundraising administration
Support the Operations Lead and wider team with fundraising administration, including funding applications, milestone tracking, data collection and information required for funder reports.
Maintain accurate records of funding activity, deadlines and reporting requirements.

3. Event support and promotion
Event delivery
Support the planning, coordination, delivery and evaluation of Reach events.
This may include support from initial concept through to on-the-day coordination and post-event follow-up.
Where required, lead agreed elements of event delivery, with appropriate support and oversight.

Event communications and promotion
Promote events and campaigns through digital channels, newsletters, local networks and other appropriate platforms to maximise visibility, attendance, engagement and donations.
Work closely with the Operations Lead and Reach team to ensure consistent messaging, effective coordination and successful delivery.

Evening and weekend work

Executive assistance
Provide executive and administrative support to the Operations Lead, including diary management, coordination of priorities, management of incoming enquiries and preparation of briefing materials or documentation for meetings.

Board and trustee support
Provide proactive support for Trustee meetings, including coordinating meeting logistics, preparing and circulating papers, supporting agenda planning and taking clear, accurate minutes.
Help ensure trustees have the information they need to support effective governance and decision-making.

General operations
Support the smooth running of Reach’s day-to-day operations, including responding to enquiries, maintaining records, supporting internal communications and helping ensure tasks are completed efficiently.

Every year, thousands of people in the UK face court alone. Often through no choice of their own, people must represent themselves at a moment that could have life-changing outcomes. This includes loss of access to children or homelessness. At the same time, people facing court alone may find themselves up against a party with legal representation. We supported unrepresented litigants in the civil and family courts in England and Wales over 45,000 times last year.

We provide a safe space with volunteers who listen to each client’s individual story. Last year, over 1000 volunteers helped people to get their thoughts in order, problem-solve and decide next steps, source relevant and reliable legal information, explain complex procedures, complete court forms, and clearly present statements.
