Job description

The post holder will undertake a broad range of facilities management, maintenance, compliance, health and safety, customer service and administrative duties across multiple sites, ensuring that all buildings are maintained to a high standard and statutory compliance obligations are met.

The role combines practical maintenance skills with excellent customer service and strong organisational ability, supporting the day-to-day operation of three busy community facilities.

Building Operations

  • Open and prepare buildings each morning for operational use.
  • Unlock, inspect and secure all buildings and external areas.
  • Carry out daily opening and closing inspections.
  • Ensure buildings remain safe, clean and presentable throughout the day.
  • Prepare rooms for activities, meetings, training sessions and events.
  • Set up and dismantle tables, chairs and equipment.
  • Ensure rooms are returned to the required layout after use.
  • Carry out daily walk-round inspections of all facilities.
  • Report defects promptly to the Operations & Facilities Manager.
  • Liaise with contractors attending site.
  • Assist with contractor supervision where required.

Planned Maintenance

Undertake general maintenance including:

  • Minor plumbing repairs.
  • Minor carpentry repairs.
  • Decorating and painting.
  • Furniture assembly.
  • Repairing fixtures and fittings.
  • Replacing door furniture and locks.
  • Replacing light bulbs and lamps.
  • Clearing blocked gutters.
  • General DIY repairs.
  • Garden and grounds maintenance.
  • External cleaning.
  • Maintaining pathways and entrances.
  • General building repairs within competence.
  • Minor electrical maintenance within the limits of training, competence and organisational procedures, referring regulated electrical work to appropriately qualified contractors.
  • Replace plug tops and fuses on portable equipment where appropriately trained.
  • Carry out visual inspections of electrical equipment.
  • Assist external contractors during servicing and repair works.

Facilities Compliance

Carry out and record routine statutory compliance checks including:

  • Weekly Fire Alarm Tests.
  • Emergency Lighting Tests.
  • Monthly Legionella temperature monitoring.
  • PAT Testing (following appropriate training).
  • Intruder Alarm Tests.
  • Fire Door inspections.
  • First Aid box inspections.
  • Accident book monitoring.
  • COSHH cupboard inspections.
  • Water hygiene monitoring.
  • Daily building safety inspections.
  • Monthly facilities inspections.
  • Health & Safety monitoring.
  • Record all compliance checks accurately.
  • Report any non-compliance immediately.

Health & Safety

  • Work in accordance with all Health & Safety legislation.
  • Follow QCCA Health & Safety policies.
  • Follow Lone Working procedures.
  • Follow Manual Handling procedures.
  • Follow Working at Height procedures.
  • Use appropriate Personal Protective Equipment (PPE).
  • Report accidents, incidents and near misses.
  • Support risk assessments.
  • Ensure safe systems of work are followed.
  • Ensure safeguarding responsibilities are understood.
  • Maintain safe access and egress throughout all sites.

Security Responsibilities

  • Act as a key holder where authorised.
  • Lock and unlock buildings.
  • Operate intruder alarm systems.
  • Monitor CCTV where required.
  • Ensure buildings remain secure.
  • Challenge unauthorised access where appropriate.
  • Report security concerns promptly.

Customer Service

  • Welcome visitors, hirers, contractors and members of the public.
  • Provide a professional and courteous first point of contact.
  • Assist customers with enquiries.
  • Answer incoming telephone calls.
  • Take accurate messages.
  • Direct enquiries to the appropriate member of staff.
  • Support community events where required.
  • Build positive relationships with hirers and partner organisations.

Administrative Responsibilities

  • Complete maintenance records.
  • Update inspection logs.
  • Maintain electronic compliance records.
  • Complete basic data entry.
  • Use Microsoft Office and organisational software.
  • Send and receive work-related emails.
  • Monitor stock levels.
  • Order cleaning materials, maintenance supplies and equipment using approved online purchasing systems.
  • Maintain inventory records.
  • Assist with booking preparation where required.
  • File maintenance certificates and compliance documentation.
  • Support reception and administration during busy operational periods.

Cleaning Responsibilities

  • Undertake general cleaning where required.
  • Inspect cleaning standards across all buildings.
  • Ensure kitchens, toilets and communal areas remain clean and safe.
  • Remove waste and recycling.
  • Maintain cleaning stores.
  • Monitor cleaning supplies.
  • Support deep cleans where required.

General Responsibilities

  • Work across all QCCA sites.
  • Respond to emergency maintenance requests.
  • Carry out reasonable duties consistent with the role.
  • Attend staff meetings.
  • Attend mandatory training.
  • Undertake additional training in Health & Safety, Legionella Awareness, PAT Testing, Fire Safety, COSHH and First Aid where required.
