The Volunteer Management team is responsible for embedding an organisational approach to volunteer engagement which enables volunteers to feel inspired, valued, supported, and connected to the charity, where they are a vital part of our community.
The Volunteer Coordinator plays a significant part in contributing to the success of the team in coordinating key parts of the ‘volunteer journey’ (recruiting, induction, training, supporting, and retaining volunteers). Of equal importance is influencing colleagues and providing advice and guidance whilst building collaborative working relationships with key stakeholders. The role is vital to establishing good practice in volunteer involvement, developing a culture of positive engagement and raising the profile of volunteering internally and externally.
This is a 12-month fixed term contract
Key Responsibilities:
Relationships, teamwork and collaboration
· Build strong relationships and collaborate with key stakeholders across the charity to identify and implement ways to enrich the volunteer experience, maximise the volunteer opportunities and strengthen the volunteer infrastructure.
· Work collaboratively with teams that manage volunteers to provide good practice advice and guidance on effective volunteer supervision.
· Promote a positive culture of engagement that values, embeds, and promotes the work of volunteers both internally and externally.
· Take a proactive approach to understand external events and initiatives taking place across the charity, providing advice, guidance and support on the requirements for successful volunteer involvement.
Communication, resources and training
· In conjunction with the Volunteer Manager, coordinate the review, development and implementation of robust practices and procedures associated with all aspects of the volunteer journey.
· Working collaboratively with teams that manage volunteers, support with the development and implementation of volunteer training and associated resources.
· Lead on the upkeep of volunteering information on internal communication channels, ensuring all relevant policies, reference materials and documents are made available and kept up to date.
· Contribute to the production and distribution of resources for volunteer-involving events, including, but not limited to recruitment, onboarding, and training materials.
Administration, customer service and delivery
· Provide high-level customer service throughout the volunteer journey; contributing to recruitment, induction, training, support, retention and exit of volunteers in line with our values and strategy.
· Acting as a key point of contact for the import, maintenance and integrity of volunteering data, working with colleagues to ensure accuracy, validity and reliability that reflects volunteer contribution and delivers reliable insights.
· Coordinate the administration volunteer recruitment and selection process to foster an environment that promotes equality, diversity and inclusivity and ensure a fair and consistent approach is followed.
· Act as the first port of contact for internal and external enquiries, coordinating the shared volunteer email inbox.
· Lead and support the effective delivery of volunteer involving activities at weekend events, where necessary.

Ways of working:
As part of our Agile ways of working you will be required to work approximately 2 days a week from the office, which is subject to the requirements of the role and the business needs. Flexibility on where you work can be split between working from home and our office.

Donor Budget Management and Reporting

Partner Financial Reporting:

Skills and Experience
As the successful candidate you will possess a relevant professional accounting qualification and a bachelor’s degree in finance/accounting. You will have working experience in a similar role, ideally within and INGO environment, including a background in managing grants/contracts from institutional donors and Foundations, and have experience in financial review and compliance for public institutions and OPDs.

Main responsibilities
Legacies
- Develop and implement a comprehensive legacy strategy, identifying new opportunities, products, and campaigns to increase engagement, consideration, and pledger numbers.
- Work across the Charity to ensure legacies are integrated across relevant channels to reach key audiences.
- Build a portfolio of case studies to showcase how legacy giving has had a transformative impact across our hospitals.
- Build and nurture relationships with legacy pledgers and prospects, organising legacy information and engagement events to position the Charity prominently in legator consideration.
- Responsible for legacy case management and be the main contact for our legacy consultancy partner, ensuring all processes are compliant, efficient, and deliver for the Charity and for its supporters.
- Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
- Work with the director of operations & resources on disputes and contested legacies, to ensure these are handled appropriately and sensitively.
- Work with the director of finance to ensure all information is recorded appropriately to ensure correct accounting and accrual of legacy income.
- Support the director of finance on legacy matters relating to the Charity’s annual external audit.
In-Memory
- Support with the development and management of stewardship programmes for in-memory donors, ensuring journeys are sensitive, supportive, and effective.
- Have responsibility for the efficient use of all in-memory payment platforms, ensuring that they are utilised correctly, report accurately, and are employed as part of a strong stewardship programme.
- Work closely with the hospital engagement team for the promotion of in-memory giving opportunities
- Working with the marketing & campaigns manager, develop and implement relevant campaigns, including within our hospitals, to increase awareness of in-memory giving
- Support the events & community fundraising officer with events organised by families and friends in memory of loved ones, ensuring appropriate stewardship processes are put into place.
- Look for new opportunities for developing in-memory products, developing cases for support and implementation plans to ensure the Charity’s in-memory programme is at the forefront of new practice.
- Work closely with the grants manager to ensure restricted and tribute funds are able to have an impact in the areas donors wish to see.
- Develop and cultivate strong relationships with supporters by offering suitable opportunities to remember someone special.
- Working with the marketing and communications team, source and develop case stories for use across the in-memory programme and charity.
Knowledge and experience
- Proven experience in legacy administration within the charity sector
- Certificate in Charity Legacy Administration (ILM) is desirable
- Proven experience in developing and delivering legacy, in-memory, and/or individual giving strategies and campaigns across multiple channels.
- Extensive experience in donor stewardship, fine-tuning supporter journeys, and delivering excellence in supporter care.

The Head of Digital Transformation and IT is a pivotal new appointment to lead the delivery of our digital and IT strategies for the future and drive our transformation agenda: modernising our systems, enhancing digital engagement, identifying the potential benefits of AI and ensuring that our technology infrastructure supports our mission to drive nature’s recovery in Yorkshire.
The role will be instrumental in leading and project managing the migration to SharePoint across the Trust, as well as other strategically identified software and data management systems, to ensure cost-effective, efficient and scalable approaches to managing our digital output.
As a member of the Extended Leadership Team, you will work closely with our GIS and Environmental Data Team, Communications and Public Affairs, Supporter Services CRM and other team leaders across the Trust to assist in ensuring our spatial, species, customer, citizen science and key stakeholders are served with accurate data, metrics and reporting. You will also manage our hard-working IT team to support and enhance our existing IT infrastructure.
As well as bringing a wealth of technical and digital skills and experience of leading technological change to the Trust, you will be a natural communicator, a strategic thinker and have the ability to undertake stakeholder engagement and meet the needs of internal customers and system users.

The Whiteley Homes Trust “the Trust” is a charity that manages Whiteley Village in Surrey. The purpose of the charity is to provide homes for older people of limited means from all over the country. Founded over a hundred years ago in Walton on Thames, Surrey, the Village is located in 225 acres of beautiful grounds and is a very special place to live and work.
Established in 1917 the village has many Grade 2 listed buildings and provides housing for nearly 400 older people of limited means. There are 265 Almshouses and 51 extra care apartments and the Village also has a church, activity centre, pool, village hall, shop and community café. There is also a small number of market rented properties within the village.
Huntley House is our Extra Care scheme for residents who require additional support to live independently. The Registered Manager is responsible for ensuring Huntley House is safe, effective, responsive, caring and well led, in line with the expectations of the Care Quality Commission (CQC) and the values of the Trust. You will be required to register with CQC as the Registered Manager.
This customer-facing role provides a professional, high quality and effective service to residents. Working closely with the Housing team, you will support all residents to enable them to live independently in their own homes, with a focus on sustainment, support and resident wellbeing. You will also develop strong working relationships with the Head of Property and Compliance and Head of Estates and Facilities to ensure the building is safe and secure. You will engage and build relationships with residents of Huntley House and help them integrate into the wider Village and local community.

e Manage the Huntley House Support team with responsibility for recruiting, new employee inductions, training, motivating, performance management and absence management ensuring an efficient, professional, responsive and customer led service.

Financial Management
- Develop and manage the budgets for the Huntley House Support team, ensuring efficient allocation of resources while maintaining a high standard of service delivery.
- Maintain sufficient contracted and bank employees to meet the needs of the service to avoid using agency employees.
- Maintain accurate records of the cost of activities and charges to residents to ensure financial transparency and that activities are not run at a loss.
Date and System Management
- Ensure data is accurate and complete and stored securely to meet GDPR regulations and the Trust’s policies.
- Develop the use of the specialist IT system (Pyramid) to deliver a robust support service.
- Provide KPIs monthly and implement processes to ensure targets are met.
