Job Summary
You will play a key role in ensuring the smooth and efficient operation of the charity’s day-to-day administration. This part-time role provides essential support to the Board of Trustees, CEO, Policy Team, and staff across various administrative and operational functions. You will work the equivalent of three days a week and can be flexible about the distribution of your hours.
Key Responsibilities
- All administrative support for Board of Trustees, including minute taking.
- Administrative support to the CEO, Policy Team, and wider staff team.
- Manage diaries, schedule meetings, and coordinate logistics for internal and external appointments.
- Maintain and support effective use of the organisation’s CRM system.
- Provide compliance administration for across the organisation.
- Support the planning and delivery of events, including logistics, booking, and attendee communication.
- Provide administrative support for fundraising activities, including database maintenance.
- Maintain office systems, filing, and documentation to ensure compliance and accessibility.
Person Specification
- Proven experience in an administrative role
- Demonstrated experience in minute-taking for formal meetings (e.g. Board, committees, or staff meetings)
- Excellent organisational and time-management skills
- Strong communication skills, both written and verbal
- Confidence using digital tools, including CRM systems, Microsoft Office, Google Workspace, and scheduling platforms
- Ability to work independently, take initiative, and manage competing priorities
- Commitment to the values and mission of the organisation
Essentials
Experience of minute taking.
Minimum of three years’ experience in an administrative role.
Experience working with CRMs.
Strong verbal and written communication skills.

We are looking for an organised and proactive Administrative Co-ordinator to provide high-level support to our CEO, Leadership Team, and Trustees. This temporary role is ideal for someone available to start immediately and comfortable working in a hybrid setup.
Key Responsibilities:
- PA support to the CEO: diary management, correspondence, travel, and preparing briefing materials.
- Support Trustees and Committees: scheduling meetings, preparing agendas and papers, taking minutes, and managing follow-up actions.
- Assist the Leadership Team with meeting planning, agendas, minutes, and general admin support.
- Coordinate and manage meetings and events, ensuring smooth operational delivery.
- Maintain accurate records and document management systems, handling confidential information with discretion.
- Experience as a PA/Administrator supporting senior executives.

ROLES AND RESPONSIBILITIES
EXECUTIVE SUPPORT TO THE CEO (70%)
Provide high-quality, proactive executive support to the CEO, ensuring they are able to operate effectively and efficiently in a fast-paced environment.
Manage the CEO’s complex and evolving diary, including scheduling internal and external meetings, prioritising requests, anticipating conflicts, and ensuring time is protected for strategic priorities.
Coordinate all CEO travel and logistics, including itineraries, briefings, and expense processing, ensuring a seamless and well-prepared experience.
Act as a trusted first point of contact for the CEO, handling enquiries with discretion and professionalism and ensuring timely, high-quality communication with internal and external stakeholders.
GOVERNANCE AND SENIOR LEADERSHIP COORDINATION (15%)
Support the effective functioning of Mission 44’s Board and governance cycle, working closely with the Chief of Staff to coordinate Board and Committee meetings throughout the year.
Manage end-to-end logistics for Board and Committee meetings, including scheduling, circulation of papers, and maintaining a forward planner for the governance calendar.
Support the preparation and circulation of high-quality Board materials, ensuring papers are accurate, timely, and clearly presented.
DELIVERY, CULTURE AND ORGANISATIONAL IMPACT (15%)
Play a hands-on role in delivering the smooth and effective operation of the Executive Office, coordinating meetings and supporting priorities to be executed to a high standard and on time.
Track actions and decisions arising from Board, SLT, and Executive Office meetings, following up with owners to support delivery and accountability across the organisation.
Contribute to the delivery of key organisational moments, such as team and SLT away days and Board meetings, supporting planning, logistics, and on-the-day execution.
Actively contribute to a positive, values-led culture by modelling professionalism, collaboration, and a delivery-focused mindset within the Executive Office and beyond.
ESSENTIAL
Ability to handle confidential and sensitive information with the highest levels of integrity, judgement, and discretion.

Proven experience of maintaining high-quality output whilst working in a fast-paced environment.

The Role
You will provide end-to-end travel and logistics support across busy programmes and advocacy teams, coordinating international travel for conferences, meetings and workshops. Travel will support activity in Kenya, Colomboa, the US, Moldova and Ukraine, with all arrangements managed from the UK.
