Job Title: Project Coordinator (NOD)

The Royal College of Ophthalmologists (RCOphth) is a membership organisation and the voice of the profession, with over 4,000 members in the UK and overseas. Our role is to champion the specialty, set standards of training and practice, and influence change to make a difference to the lives of patients with eye conditions.

Job Purpose

The National Ophthalmology Database (NOD) is a core Department workstream using clinical audit data to identify improvements and provide advice, to inform patient care, safety, and service delivery. This is a new role working with internal and external stakeholders to coordinate and support the programe manager to deliver activities of the NOD. The post requires strong attention to detail and excellent organisational skills. The role will be responsible for all aspects of project support and day-to-day management of the NOD website, including implementation of new developments with the supplier and analysis of usage to suggest areas for improvement.

Main Areas of Work and Responsibility

• Assist the NOD Manager in project planning to identify and track deviations from the project plan and budget, identifying and logging any risks and issues, and improving project procedures
• Support the NOD Manager with administration, project outputs, applying and explaining the information governance, outlier, and other project policies to stakeholders
• Management of the NOD website including liaising with the website supplier, working with the NOD Manager to develop a content schedule, editing content, assisting users with queries, authorising user access
• Review and analyse website performance and make recommendations for improvement
• Lead and manage the delivery of specific workstreams as agree with the NOD Manager
• Administer virtual and in person meetings, preparing agendas, taking minutes, following up actions
• Liaison with the project teams and RCOphth functions e.g. policy and communications team  
• Process and respond to incoming correspondence, providing information and guidance to stakeholders and project participants
• To maintain and update audit contact databases (Microsoft Excel and CRM) assisting with its ongoing development and testing.
• Assist the NOD Manager with recruitment of organisations to take part in the audits
• Assisting with editing and proofreading project outputs and ensure they adhere to branding and house style guidelines
• To undertake other administrative duties as required. For example, finance/processing purchase order information to enable subscription invoices to be issued
• To maintain accurate and secure electronic filing systems and document management
• Occasionally manage sub-projects as directed by the NOD Manager

Person Specification

Knowledge, Qualifications and Experience

• At least two/three years’ experience in a similar project support role
• Experience of website administration/management including use of Google analytics, Content Management Systems and liaising with developers
• Experience of working with customer relationship management databases to support effective project administration
• Experience of coordinating activities for complex/substantial work programmes, with numerous ‘external’ customers, to challenging deadlines
• Knowledge and experience of Microsoft applications, including Word, Excel, Outlook, PowerPoint and Project
• Experience with managing and maintaining documentation, flowcharts and schedules

Administration

You will support the whole organisation with a range of administrative tasks which will include:

· Completing minutes for key meetings.

You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:

· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.

· Dealing with telephone, email and postal enquiries across the organisation

· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.

· Booking in and logging patients onto the relevant records and databases to provide accurate data.

· Sending appointment reminder calls/texts/letters to clients as required

· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.

· Managing the consumables within this patient space and ordering replacement stock as and when required.

The Refugee and Migrant Centre (RMC) is an established, multi award winning charity that provides a safe, welcoming environment to thousands of refugees and migrants living in the Black Country and Birmingham.

Our highly skilled and diverse staff team provide a broad range of services including advice and support on immigration (OISC regulated level 1, 2 & 3), employment, welfare, education, ESOL, housing, homelessness, destitution, citizenship, health and wellbeing.

RMC have been assisting beneficiaries to access and sustain appropriate accommodation and improve their housing and living conditions for nearly two decades. RMC also deals with many aspects of homelessness, destitution, rough sleeping, exploitation, etc.

What you will be doing

All Caseworkers (Levels 1,2 and 3) will be required to carry out the tasks shown below. The skill level to progress from one level to the next level is also detailed below.

· To provide professional and effective OISC regulated casework as well as advice, guidance and support to a broad range of RMC’s service users.

· To assist/support the team and the management to meet the needs of the beneficiaries and achieve targets.

· To ensure the requirements of OISC are respected and met during the delivery of immigration-related advice and casework.

Casework and advice

· To offer advice & casework to service users with various aspects related to their immigration case.

· To deliver the appropriate level of casework either independently or under supervision, depending on the level of OISC registration.

· To provide appropriate support and mentoring to any caseworkers and/or advisors that are under this role’s supervision.

· To maintain confidentiality in all dealings with service users and ensure their needs are met in a satisfactory and sensitive manner.

Purpose and Scope of the Role

We are seeking a dynamic individual to join our team and take on the role of providing professional and impactful advice and guidance to individuals and families accessing RMC services. As part of this position, you will be instrumental in supporting the team and management in fulfilling the needs of our beneficiaries and achieving organisational targets.

Main Tasks and Responsibilities;

Working within the team  

· To ensure the professional and organisational requirements are respected and met during the delivery of advice.

· To assist the senior colleagues and Operations Manager in order to drive efficiency, quality, systems improvement and target achievement. 

 Casework and advice  

· To offer advice, advocacy and support to service users with various aspects related to their welfare as requested by the management of RMC and funders’ requirements.

· To maintain confidentiality in all dealings with service users and ensure their needs are met in a satisfactory and sensitive manner. 

· To provide appropriate support and mentoring to any volunteers under supervision. 

· To represent RMC at external meetings and events when required by the senior colleagues.

· To maintain effective working relationships with partners and stakeholders. 

A DBS check will be carried out for this post.

Flexibility

In order to deliver the stated aims of for this post, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above, such duties will fall within the scope of the job and be directly related within the appropriate pay grade. The job description will therefore be subject to periodic review with the post holder to ensure it accurately reflects the duties that are being performed

Working Hours:  30 to 37 Hours per week

What will you be doing? 

Contribute to hyh’s overall Fundraising strategy as a member of the Fundraising Team

• Identify, develop and support existing and new community and events fundraising activities to increase and generate significant net income and supporter engagement
• Provide excellent donor care for all fundraising activities, to develop productive and lasting relationships with the community and convert them into loyal supporters
  
• Assist the Head of Fundraising & Communications  in the development and delivery of hyh’s Events and Communications Plans
• Update donor CRM databases and website
