The Kids Network is looking for the next process loving, team player to join our growing team to transform the lives of little Londoners through slick and efficient operation management.
About the role
35 hours per week (5 days pw)
Mostly home based with 1 day a month in office, with optional extra days.

This new and exciting role will take the lead in identifying and developing systems, processes and policies to help us be the most effective we can in supporting children to live the lives they deserve. Whist developing new plans this post is both an operational and strategic role offering space to grow and develop with the organisation.
We are not expecting our ideal candidate to know everything about this role right away, we do expect professionalism, a high level of organisation, an ability to lead projects and a willingness to learn, to approach the role with positivity, whilst not being afraid to ask for guidance to help them grow within this fantastic opportunity.
Key Responsibilities
Operational Leadership
- Provide staff with professional leadership and expertise, keeping up to date with relevant professional developments, technical and legal information and best practice
- Build a strong working relationship with the CEO, COO and board of trustees,
- Take an organisational lead role in contract compliance,
- Take an organisational lead role in HR and Operational policies & procedures and the implementation of these across The Kids Network,
- Manage a range of contracts and service level agreements and negotiate agreements to cover new activities,
- Ensure that complaints and incidents are recorded and dealt with fairly and efficiently,
- Manage the organisational risk register, working with the SLT and appointed trustee to ensure its accuracy.
Quality and Compliance
- Ensure that all data is collected, collated, and submitted in line with our data protection policy, GDPR, annual contracts and funders requirements,
- Work collaboratively to obtain London Youth's Bronze Quality Mark to achieve sector level quality assurance.
Financial Management
- Liaise with the SLT in the preparation and management of budgets,
- To monitor project income and expenditure and to ensure that budget holders manage their budgets in line with The Kids Network’s financial policy and procedures,
- Work with the CEO, COO and Beehive (external finance department) to manage staff salaries and NEST pension contributions and employment legalities and follow our financial processes
- To produce financial project reports/budgets for CEO, and Fundraising Team as and when required.
HR
- Lead on key organisational polices, reviewing and formulate and ensure wide consultations in line with our policy tracker and People and Safeguarding board sub-committee,
- Induct and support and appraise Incoming staff members to the organisation,
- Offboard outgoing staff members,
- Develop and deliver four staff training days per annum in identified operational areas of day-to-day work (e.g. First Aid, Safeguarding etc),
- Co-design, develop and implement an organisation wide wellbeing strategy,
- Organise exciting and inventive staff & volunteer team building and social events.
IT and systems management
- Lead the development of our CRM system, Salesforce, becoming the organisation champion providing training sessions where required,
- Own the Information Management of the organisation in line with GDPR, ensuring access restrictions, and timely filing of data,
- Manage our external contractor to ensure TKN equipment Is secure and up to date In line with policy.
Health & Safety
- Undertake regular Health & Safety inspections in line with our policies and procedures,
- Ensure Health and Safety policy and procedures are up to date,
- Carry out Risk Assessments of all facilities, employees, volunteers and for all activities,
- Advise CEO, COO and Trustees of any urgent health and safety issues.
Other
- Undertake the role of Company Secretary, ensuring that TKN complies with all relevant regulatory and legal requirements, including the Charity Commission; and organising Board meetings,
- Manage our procurement and tender process and contracts,
- Lead on the organisations office needs,
- Co-ordinate and take part in staff meeting and discussion days,
- Perform any other duties consistent with the role.
About you
We are looking for a positive creative thinker with a problem solving attitude. Our ideal person loves a challenge and finds innovative solutions to problems and thrives on encouraging and supporting others to do the same. They will have at least 2 years’ experience In operations and a sound track-record of Operations Management.
They are a skilled communicator, presenter, and relationship builder with an understanding of contract compliance and financial management. They are also highly organised and have a plethora of administration skills together with a talent for working in partnership at an operational & strategic level.
Personal Specification
- At least 2 years Operations /or HR management experience
- Project management experience
- Excellent written, spoken and IT communication skills (especially with MS Office and CRM systems)
- Knowledge of HR and Operational policies & regulations
- Experience of financial management including setting & managing budgets
- Experience in organising external and work-based training for individuals and staff teams
- Experience of health and safety procedures and writing risk assessments
- Experience of safeguarding policies, procedures and management
- A proven ability to engage positively and professionally with people at all levels
- Have an energetic, engaging and positive can-do attitude
- Ability to use your own initiative and work to an agreed action plan
- Have a flexible and collaborative approach to work.
- Knowledge of General Data Protection Regulations (GDPR)
- Demonstrate patience and an ability to be positive and supportive in the workplace

The Kids Network is looking for a volunteer recruitment officer to support the recruitment and onboarding of volunteers so that they can become mentors on our programme.
ABOUT THE ROLE
This role supports our work to run our programme by ensuring that we recruit and onboard enough volunteers to become our wonderful mentors.
As our Volunteer Recruitment Officer, you will be the first point of contact for people volunteering to be mentors. You will ensure that our volunteers receive the highest level of customer service and have a great experience in all contacts with our charity.
Working closely with the Volunteer Operations Leader, you will implement our volunteer onboarding journey, leading on pipeline outputs to support volunteers from application to active mentoring.
You will be organised, proactive, and personable, conducting interviews with prospective volunteer mentors, building external relationships and managing data and CRM systems.

We will be holding first round calls on the week commencing 3rd November, with the form second round taking place on Friday 14th November

Key responsibilities
Volunteer Recruitment pipeline:
· Respond to all incoming enquiries and volunteer applications in a timely manner and in line with the charity's recruitment processes
· Responsible for clear communication to all prospective mentors in the pipeline, always giving a high level of customer service to volunteers and answering queries in a friendly professional manner
· Ensure every prospective mentor fully understands the benefits of volunteering with The Kids Network and has a first-class onboarding experience.
· Conduct volunteer interviews on a weekly basis to meet demand
· Call volunteers on a regular basis to check in on their progress and supporting them with their volunteer journey
· Maintain excellent data hygiene, ensuring at all times the charities CRM salesforce is being updated to ensure the pipeline is maintained
· Maintain the organisation vetting platform, following up with all volunteers who are stuck at various stages of the vetting checks process
· Carry out all the training admin pre and post the training day, working with the Volunteer Operations Leader to ensure this runs smoothly with high attendance
· Deliver 1 day weekend volunteer training alongside our Delivery Team when required.
Volunteer Recruitment Outreach:
· Maintain our digital recruitment streams
· Understand the communities we work in, working with the Volunteer Operations Leader to establishing links with community groups and local opportunities to attract different demographics
· Attend volunteer recruitment fairs and networking opportunities to promote volunteering with The Kids Network.
· Support with the admin and set up for those wanting to volunteer through a placement
· Follow the charity’s communication guidance and support communications work to attract and retain volunteers
· Feed ideas into and help to create content for emails being sent to volunteers in the pipeline and potential volunteers outside the organisation
· Attend mentee and mentor group activity sessions from time to time to better understand the purpose of our work
· Be an ambassador for The Kids Network
Safer Recruitment & Safeguarding:
· Assess new incoming applications in line with suitability for the role and scoring criteria
· Vet volunteers at all stages of the recruitment process, including interview and training in line with the charities safer recruitment policy
· Collect references and conduct DBS and oversees checks in line with our safer recruitment practices
· Uphold our safeguarding principles and processes to the highest standard,
· Book and coordinate safer recruitment panels throughout the year,
· Act in compliance with our policies and processes at all times, using Salesforce CRM, ensuring data is stored and managed in line with GDPR,
