Job description

Students’ Union UCL is an organisation that exists to make more happen. We are the representative body for University College London’s (UCL) students, one of the most diverse student communities in the world.  Our vision is to provide an outstanding experience for all UCL students and to be one of the best students’ unions in the UK and the world.  We aim to build a vibrant and empowered student community with real influence in UCL and beyond, that enables students to enjoy their time at university; pursue their interests and passions; see the world in new ways; and develop the skills and experience to change the world for the better.

We are a registered charity employing over 150 career staff and 300 student staff, delivering a wide range of services and representative functions for UCL students. We have the widest portfolio of services of any student organisation in the country, managing UCL’s extracurricular programmes for sport, music, drama, dance, media, volunteering, academic societies and intercultural engagement; providing a wide range of fantastic social spaces; leading on student democracy and representation across UCL; and offering excellent student support services.

It's an exciting time to join our growing organisation as we lead the delivery of UCL’s groundbreaking Student Life Strategy. This is enabling us to build more programmes to improve students’ mental and physical wellbeing, promote genuine equity for all, build students’ skills and confidence, develop their international connections and intercultural skills, and make a real contribution to our local community.

We provide excellent benefits including defined benefit pension scheme and generous holiday entitlement. We are proud of high levels of staff engagement and pride ourselves on being a great place to work. We will consider applications to work on a flexible and job share basis wherever possible.

Job description

We are looking for an Advice and Wellbeing Administrator to provide high quality administrative support to the Advice & Wellbeing team. This role will play a key part in the day-to-day operation of the Students' Union UCL Advice Service, including administering enquiry and appointment management processes, supporting the administration of our financial support funds, maintaining electronic case records and supervising student staff.

The role may also provide support to our expanding prevention and intervention programmes such as our Active Bystander Programme, including overseeing the enquiries, scheduling, and workshop administration.

The role is a full time and permanent contract. This role is based at our Bloomsbury campus with flexibility to work from home on a 20/80 basis (80% working from the office). We will consider applications to work on a part-time, flexible, and job share basis wherever possible.

Key Requirements

Are you able to communicate effectively with students experiencing distress or complex circumstances? Are you able to work independently within agreed procedures, escalating where needed? If so, we'd love to hear from you.

Our ideal candidate will be experienced in managing high-volume enquiries and administrative processes in a student or customer-facing environment. They will administer shared inboxes and appointment processes, handle personal information sensitively and in accordance with confidentiality and data protection requirements, and support students in a friendly, professional and efficient manner. The successful candidate will prioritise competing demands effectively, contribute to service improvement through accurate record keeping and reporting, and work collaboratively with colleagues and student staff to deliver an outstanding Advice Service and wellbeing projects for UCL students

For full details on this role, please view the job pack attached below.

Please note - we reserve the right to close this vacancy early if we receive a high volume of applications from suitably qualified candidates. We therefore encourage interested applicants to submit their application as soon as possible.
