We are looking for an effective, innovative and highly organised Executive Assistant to support our Chief Executive and help us drive forward our mission to empower people with learning disabilities and their families.
About the Role
· As Executive Assistant to the CEO, you’ll play a pivotal role in enabling effective leadership and governance across the organisation. You’ll manage the CEO’s schedule, communications, and stakeholder relationships, while also supporting the Board of Trustees and coordinating key governance activities.
· You’ll be a champion of digital tools, using AI and Microsoft 365 to streamline workflows, enhance internal communications, and maintain our SharePoint system. Your work will also contribute to fundraising efforts and donor engagement, helping us build strong external partnerships.
Key Responsibilities
· Provide high-level executive support to the CEO, including diary management, correspondence, and project coordination.
· Organise and service Board and committee meetings, including minute-taking and governance administration.
· Support the Senior Management Team with meetings, reporting, and operational tasks.
· Oversee SharePoint and internal systems to improve collaboration and document management.
· Assist with fundraising events, donor communications, and wider organisational initiatives.
About You
· Proven experience in a PA/EA role supporting senior leadership and Boards.
· Excellent organisational and communication skills.
· Proficiency in Microsoft 365 (Outlook, Word, PowerPoint, Teams, Excel, SharePoint).
· Experience using AI tools to enhance productivity.
· Strong understanding of confidentiality and data protection.
· Knowledge of the charity sector and governance requirements is desirable but not essential.
· Familiarity with AI tools like Microsoft Copilot, ChatGPT, or Notion AI

The main purpose of the Administrative Assistant is to provide a welcoming
reception to everyone who uses our public spaces and to provide accurate and
timely administrative support to facilitate the efficient running of our services.
By providing effective administrative support, this role will help to ensure that
the charity’s resources are used effectively to support cancer patients across the
region.
Key responsibilities
Reception Duties
Greet all visitors and service users in a warm, friendly, and empathetic
manner
Handle incoming phone calls, emails, and in-person queries with
empathy, professionalism, and confidentiality, responding to questions
or concerns and signposting to appropriate services and colleagues
Maintain a clean and welcoming reception area
Provide refreshments for guests and support hospitality for in-house
events
Manage appointment bookings and room usage for services, meetings,
and events
Manage appointment bookings for transport, counselling, therapies,
group activities, and support sessions, ensuring schedules are accurate
and up to date, sending appointment reminder calls/texts/letters to
clients as required.
Coordinate volunteer transport driver and freelance therapist schedules
Liaise effectively with staff, volunteers, therapists, and healthcare
professionals to ensure that every individual receives the right level of
care and support at the right time
Maintain clear and accurate records of client interactions, appointments,
and referrals in line with GDPR and safeguarding practices
Act as a vital communication link between service users and the wider
team, flagging any concerns or urgent needs promptly
Offer a calm, reassuring presence to individuals who may be distressed,
anxious, or seeking information at a vulnerable time, engaging senior
colleagues, as appropriate
Open and close patient spaces and set up the centre space for workshops,
support groups and other events.
Administrative Support
Maintain accurate records and update databases, including service user
information
Inputting data into relevant systems accurately and in a timely manner
Assist with preparing correspondence, reports, and materials for
meetings
Assist in the processing of post, deliveries, and office supplies
Liaise with volunteers, staff, and external service providers as needed
Managing the consumables within this patient space and ordering
replacement stock as and when required.
Provide general administrative support to the wider team as required.
Take donations in any of the Weston Park Cancer Charity locations
Arranging room bookings both internally and externally.

The Learning Support Team provides targeted support to young people, helping them develop core practical and academic skills, broaden their existing interests, and explore new ideas. In this role, you will deliver both group and one-to-one sessions, including tailored Maths and English tuition based on individual needs. You will work collaboratively with the wider team to ensure each young person has appropriate access to educational opportunities and engagement.

Sessions can take place anywhere: from the beach to the kitchen, the garden, or even the gym. Who are we?
St. John's is a non-maintained specialist provision, working with autistic people, the majority of whom also have learning disabilities. Some of our learners have co-occurring conditions such as epilepsy, hearing or visual impairments, or mental health needs. We also support autistic learners who have an additional profile of Pathological Demand Avoidance (PDA) syndrome. We have a team built up of support workers, occupational therapists, speech and language therapists, nurses, PBS practitioners, assistant psychologists, and more, to support us in our holistic approach to development.
Each learner's curriculum is shaped by their individual strengths, interests, and challenges. St. John's is awarded with Autism Accreditation by the National Autistic Society (NAS). We support our learners to develop their skills in the NAS's four focus areas of:

Key Responsibilities:
● Strategic Leadership
○ Develop and implement a comprehensive ALS strategy aligned with the
college’s vision and values.
○ Oversee the effective allocation and utilisation of resources, including High
Needs and EHCP Funding.
○ Monitor and evaluate the impact of ALS interventions and initiatives, driving
continuous improvement.

● Operational Management
○ Line supervise the work of a team of 4 Learning Support Assistants, providing
