Role Overview

We are looking for a passionate and creative Volunteer Photographer/Videographer to help us capture engaging photo and video content across our community projects. This role is ideal for someone looking to build their portfolio, gain experience in the charity sector, and contribute to meaningful causes. You'll work closely with our Social Media Manager and be an essential part of how we tell our story to the public.

Key Responsibilities

• Attend and photograph/video activities at our Food Hub on Thursdays

• Capture content during Jumping Beans and other community events

• Collaborate with the Social Media Manager to plan, produce, and edit engaging visual content

• Support the creation of digital assets (short videos, reels, photos, behind-the-scenes clips, etc.)

• Organise and file digital content for use across platforms

• Respect the privacy and safeguarding needs of children and families

• Represent the charity in a professional and compassionate manner

Time Commitment

• Mondays: Office-based (between 11am–4pm, hours flexible) to work alongside our Social Media Manager

• Thursdays: On-site at the Food Hub (between 12pm–2pm, flexible)

• Additional remote editing/content creation hours based on your availability

• Flexibility offered around academic or work commitments

Person Specification

Essential:

• Access to your own camera or video equipment

• Some experience in photography and/or videography (personal or professional)

• Strong visual storytelling skills and creative flair

• Basic editing skills (e.g., using Canva, Adobe Premiere, iMovie, or similar)

• Good interpersonal skills and ability to work collaboratively

What is a Training Coordinator?

There are SSAFA branches throughout the UK and overseas. Each one has a Training Coordinator to make sure that all volunteers get all the training they need for their role and that training events are organised and run for the branch. This is a key role involving administration and coordinating people.

Why do we need you?

We’ve been supporting the Armed Forces community since 1885. Our clients come from all backgrounds and age groups and may have served in WW2 or in a more recent conflict like the Falklands or Afghanistan.

Our SSAFA branches support local volunteers to deliver services to veterans, serving personnel and their families. Some branches are divided into smaller divisions to ensure the best local service delivery. Each branch has a team of volunteer caseworkers, support volunteers, executive roles, and fundraisers.

To offer the best possible service to our clients SSAFA volunteers need training appropriate to their role. It’s important that we keep records of all the training completed by volunteers and provide local training to meet their needs, whilst also being interesting, fun and varied. We’d love to hear from you if think you could help with this important role.

When would you be needed and where would you be based?

As part of your local branch, you might have access to an office, but many volunteers are based at home. The role would suit someone looking to offer a regular commitment to the branch, but days and times could vary to suit you.

What would you be doing?

• Coordinating induction and training for new volunteers
• Completing the admin needed for new volunteer to attend local and national training.
• Running interesting and relevant annual branch training days (minimum of one per year)
• Maintaining an accurate list of all volunteers and the dates when training was completed.
• Working with the Regional Trainer, branch volunteers and the Learning and Development team to identify local training needs and arrange for the required courses to be delivered.
• Supporting and encouraging any volunteers facing barriers to completing their training
• Providing reports to the local SSAFA branch and to SSAFA’s Central Office
• Being a positive ambassador for SSAFA remembering that anyone you meet could be a potential client, volunteer, or fundraiser.
• Volunteering within the standards and values of SSAFA including observing our policies such as the Volunteering policy and data protection policy (these will be covered in your training and local induction.)

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

What is an Administration Coordinator?

There are SSAFA branches throughout the UK and overseas, each delivering support to serving personnel, veterans, and their families. Every branch has a team of volunteers who make this possible.

The Administrator Coordinator is a key member of the team, ensuring the smooth running of the branch and supporting day to day operations. This role is at the heart of the branch, overseeing the group inbox, organising meetings, and liaising with volunteers and external stakeholders.

We aim to provide financial, practical, and emotional support when it’s needed most. To do this we need excellent administrators to keep things running efficiently behind the scenes.

What would you be doing?

• Every SSAFA Branch has different needs, however, below are the main activities of a Branch Administration Coordinator.
• Overseeing enquiries: Overseeing the administration of the branch shared inbox and post, ensuring queries are answered.
• Getting people together: Organising internal meetings, both virtually and face to face
• Planning and organising: Liaising with internal and external stakeholders to arrange events such as the Branch Annual General Meeting
• Note taking and recording: Maintaining accurate records of meetings and decisions.
• Communicating: Supporting the Branch Chair with internal communications, keeping other volunteers up to date and informed
• Tracking and ordering: Keeping a record of branch assets, ordering stationery, and ensuring maintenance of equipment
• Supporting health and safety: Supporting the Branch Chair with administration of personal, office and event risk assessments where required

The remit of this role may change over the next 12-18 months depending on the outcome of a trial currently being undertaken.

What is the Access Advisory Group?

We want to be able to share the Royal Air Force (RAF) story with everyone, including those living with all kinds of disability, visible or hidden. Our Access Advisory Group is a group of volunteers who meet to support and advise the RAF Museum to ensure access for all. Examples of previous areas of group input include new exhibitions to commemorate the centenary of the RAF and the access information available on our website.

What will I be doing?

• Attending meetings a few times a year, which you can opt to attend either online or on site,

• Giving the Museum your opinion and advice on matters relating to access,

• Contributing to tangible improvements and changes at RAF Museum London.

This role is perfect for you if you…

• Live/have lived with a disability or have an understanding of living with a disability, or live with dementia or are supporting/have supported someone living with dementia,

• Have an interest in museums and a commitment to making museums accessible,

• Have the ability and willingness to use your experience to help us improve access throughout the Museum,

• Are committed to attending three meetings per year either online or at the RAF Museum in Hendon.

How much time would I need to commit?

The group meets three times per year (on dates agreed in advance). You can opt to attend on site or online. Meetings last for approximately two hours and are usually held during Museum opening times (10am – 5pm). We may also send occasional emails asking for advice and opinions.

It is expected that the next meeting will take place in mid to late June 2024. Generally meetings are held every four months. Our address in London is Grahame Park Way, NW9 5LL.

What are Serving Community Teams?

Volunteers are the lifeblood of SSAFA. SSAFA has developed Serving Community Teams for volunteers to support serving personnel their families in the UK and overseas.

A Serving Community Team is run by a small team of volunteers on or near a British Armed Forces base, to provide emotional, practical and financial support to the serving community. Our volunteer Administration Coordinators are an integral part of the team supporting the volunteers to host meetings, events and support beneficiaries in their local community.

Why we want you

There is a SSAFA presence throughout the serving community, both in the UK and overseas. In many areas SSAFA has Serving Community Teams which offer financial, practical, and emotional support to serving personnel and their families. Each team consists of a group of dedicated volunteers who make this possible. That’s where your skills come in. Could you spare some time to provide excellent administration support to the team of volunteers on a regular basis? The Administration Coordinator keeps things running smoothly behind the scenes. This is a key role involving organising and recording team meetings, supporting with general planning, and helping with events administration.

What you will be doing

• Providing administrative support for Serving Community Team meetings - at least four per year, held either in person or online. This includes sending invites and recording minutes.
• Working with the Chair and wider volunteer team to create an annual plan of activity based on local need.
• Supporting members of the team with general administration tasks. For example, helping with fundraising events, local engagement and publicity events.
• Responding to general enquiries to the SCT where needed.

Requirements

Volunteers need to be a minimum of 18 years old.

Time commitment

Depending on the needs of the team, this role would suit someone who would like to volunteer a couple of hours a week.  There will be times when attendance is required for a team meeting which may be in person or virtually.

Support

Full training is provided for this role, with some e-learning modules online and a live Teams webinar. You will also be supported by your SCT chair and Serving Community Support Team.

We are very much a new concept within the charity and business world, what we aim to do is not focus on just one business activity and force people to work within it but to grow along side our teams and develop new business opportunities based on the skill sets and abitions of our teams.

Below are the details of the general responsibilities of a trustee within Living Reasons and the 12 areas we wish to recruit trustees in so that we can start to develop the charity more and start the process of registering and ultimately launching the charity within the next 12 months.

Nonspecific trustee criteria (all trustees must meet this criteria)

1) Ability to understand how the charity works in the public interest and ensure that all activities the charity carries out always fulfil this requirement. Bringing in to question any activities that may not fall within the charity’s public interest obligation, to the other trustees.

2) Agree with and agree to always work within the charity’s governing document and within the law. Making sure that the charity always operates within the governing document and within the law.

3) Act within the charity’s best interests by agreement within the other trustees on the board and following all trustee processes including decision making and voting. Avoid conflicts of interest with the operation of the charity and bring any potential conflicts of interest, to the attention of the trustee board as soon as possible.

4) Manage the charity’s resources responsibly, including ensuring the charity’s assets are used for the charity’s purpose, not take any inappropriate risks, do not over commit to the charity, taking special care when investing or barrowing and ensure the charity complies with any funding restrictions.

5) Always act with reasonable care and skill.

6) Ensure that the charity is always accountable, ensure that the charity is able to demonstrate it is compliant in law, well run and effective. Where responsibility has been delegated, trustees must ensure that the charity still remains accountable.

7) Must not be an undischarged bankrupt or be in an IVA.

8) Must not have any unspent convictions or be on the sex offenders register.

9) Must not be banned from being a company director or trustee.

All trustees will be required to attend 1 full board meeting every quarter which may be in person or over online video calling.

1 additional meeting annually that will also be at the same time as the annual general meeting must be attended.

There may be further meetings if you are on other committees or are voted on to the executive board of trustees (this is not mandatory and is a further voluntary commitment that you can nominate yourself for election).

We are looking for 12 trustees in total, once we have key trustee roles filled, we will then register the charity and move forward as we continue the recruitment process. The three main trustees we would like to have in place before registering the charity are: Operational, Financial and Income Generation. This does not mean we are not recruiting the other 9, we just won't register until after people with these skills have been recruited. This is a brand new idea and concept for a charity and business activity and requires a team that are forward thinking and are not restrained by previous ways of working, putting people at the heart of what we do, this is a charity that is supply a service for people who have struggled in the work environment as it is but will be directly generating the income for the charity as well, our service users will be our employees, trainees and volunteers and that needs to be seen as a positive move forward by anyone involved in the charity from day one.

Jason, the person starting this charity has autism, ADHD, as well as mental health issues and physical conditions that are dibilitating and has spect 20 years in the charity retail industry and has loved his time working in them but has found it increasing more difficult to work in the environment due to, what he considers undue and unnecessary pressures that hinder rather than help the charity sector to reach its full potential and he feels that, key to changing this for the better is understanding the neurodiversity of humanity and catering for it in the workplace. This is how Living Reasons was developed as an idea and now he needs to find people to bring the idea to life.
