Main Duties of the Role
- To ensure the smooth running of the office on a day–to-day basis

- To assist with training events and activities held at Enfield Carers Centre including liaising with sessional workers/trainers/speakers preparing room set-up, refreshments and set up of Zoom
- To lead on matters relating to office management including supporting the CEO and ensuring the office adheres to health and safety compliance issues
- To assist in maintaining ECC’s electronic database, website and email system e.g. ensuring events are uploaded and attendance data kept up to date

About you:
Knowledge / Experience:

What you will do:

To be considered for this role, you will have significant experience as a Grants Administrator/ in Charity/NGO Grant activities, with experience in managing projects and knowledge of funder/ grant portals such as FLUXX, Cybergrants or Givingdata. You will have strong organisational skills, be highly proficient with MS Office suite and have the ability to work a fast-paced and dynamic environment.
Please note, this is a full-time role, 37.5 hour per week. You will be required to be based on site at their Covent Garden office 3 days every 2 weeks, with the remaining days WFH (there can be flexibility with this). ROLE OVERVIEW
Working closely in a small and dedicated team, this is a critical position that will use proven administration skills to support our brilliant women’s charity. While you’ll report directly to the Head of Operations and People, you will work closely with and enjoy relationships with our wider small team.
Location: You have the option to work from home 1 day a week and for 2 days a week either at our LOVELY SHED co-working space or at venues in London for our core programmes with women
Salary: £15,600 for 3 days a week (FTE £26,000) plus a 5.25% staff pension subject to employee contribution of 1.75%
Hours: Normal working hours are 9.30am-5.30pm
Holiday: 15 days per annum (FTE 25 days)
Contract: 6 months (3 months probation)
KEY TASKS AND RESPONSIBILITIES
- Manage CEO’s and Head of Operations and People diaries
- Provide support relating to the successful operation of the team and office including sorting and dealing with correspondence, filing, photocopying
- Order stationary and other office supplies as required
- Work with our lovely accountant to log incoming and outgoing charity expenses through QuickBooks
- Organise and maintain filing systems e.g. dropbox
- Resolving queries promptly and appropriately, liaising as necessary
- Provide ad hoc administration support as required
- Provide logistical support at Friday workshops for women
PERSON SPECIFICATION
You will be someone who LOVES to do lists and actioning them, is a naturally organised and process driven person who enjoys ensuring the smooth running of an office environment.

The Human Dignity Trust (HDT) is a London-based legal charity that provides technical legal assistance to defend the human rights of LGBT people globally. HDT are embarking on an exciting growth phase, thanks to significant successes in the organisation's work in strategic human rights litigation and legislative reform in countries that criminalise LGBT people.
The steady growth in the organisation has driven organisational change and the opportunity to hire a newly created Operations Team, of which the Finance and Operations Administrator will be key.
The Finance and Operations Administrator will provide finance and administrative support on a range of business activities, reporting to the newly appointed Head of Finance and Operations and working alongside the new HR and Facilities Manager. The role will support a range of finance and office management functions and support the streamlining of work to drive efficiencies across HDT.
Key Responsibilities:
- Finance Administration: Process all AP/AR transactions, expenses, payment runs, journals, and reconcile balance sheets; support Head of Finance and Operations with finance committee presentations, spreadsheets, and financial reports; identify ways to streamline finance processes and finance systems.
- Corporate Support: Coordinate and provide secretarial functions for Board and Sub-Committee meetings including taking and distributing minutes; register/de-register trustees (Companies House / Charity Commission); provide CEO support including diary management, meeting schedules and correspondence.
- Office Support: Support for all office facilities, equipment, and supplies; manage day-to-day IT systems, liaising with external IT supplier; first point of contact for enquires; maintain all office procedures including data entry, document, travel booking and file management; support HR and Facilities manager with HR database matters and HR reporting.
What you'll offer us:
- Significant experience of providing finance and office administration support to a busy team, and ideally working towards a finance qualification (AAT / ACCA / CIMA)
- Working knowledge of finance systems and processes in a small organisation
- Proven experience of using office IT systems, CRM, and troubleshooting basic problems

Main Areas of Responsibility
Your responsibilities will include:
- Supporting Harris Federation as a main provider ensuring all data remains accurate
- Preparing and updating PowerPoint presentations to promote Apprenticeship programmes
- Organising and promoting events and information sessions
- Ensuring the promotional/marketing strategy drives an increase in apprenticeship applications and delivery across the Federation
- Organising and managing information days for prospective learners / students and supporting the recruitment to various Apprenticeship programmes
- Monitoring and updating records on the DAS (Digital Apprenticeship Service) system and other data trackers
- Maintaining apprenticeship records
- Helping to maintain the PICSWEB system to declare our monthly ILRs (Individual Learner Records)
- Supporting implementation, procurement, quality assurance and evaluation of the apprenticeship offer to support business objectives
- Data analysis and preparing regular reports
- Creating and maintaining an up-to-date apprenticeship dashboard of current learners on their progress and completions
- Maintaining and managing the generic apprenticeship email inbox
- Supporting the Apprenticeship Manager in virtual and face to face promotional sessions
- Liaising with training providers, ensuring they share up to date reports, apprenticeship documentation and making sure they are OFSTED approved
- Facilitating meetings and taking, preparing minutes and records
- Supporting line managers and staff members with Apprenticeship queries
- Managing and actively updating the virtual learning platform
- Supporting with the on-boarding of learners on the Harris Federation main provider provision and the completion of relevant enrolment documentation, procedures, and guidance
What We are Looking For

- Excellent organisational and communication skills, with the ability to engage a range of audiences internally and externally
- High levels of competence in standard office ICT applications and basic design of web pages or learning platforms
- Understanding of learning platforms and their maintenance
- Proven strong organisational skills within an administration role
